TITLE:

Work Control Coordinator Grade 15

REPORTS TO: Director of Maintenance

SUPERVISES:

JOB FUNCTION: Provide orderly flow of the Division of Maintenance work requests including the generation, routing and follow through until work requests are completed.

DUTIES AND RESPONSIBILITIES:

Establish and manage central control of system-wide work requests for the Division of Maintenance.

Assign priority work orders for the Division of Maintenance.

Establish guidelines for reporting on work order completion, quality and costing.

Establish guidelines for measuring quality of work accomplished by the Division of Maintenance.

Provide information from previous work orders to help establish cost for operating projections and budgeting purposes.

Perform a wide variety of specialized and responsible duties independently in support of functions delegated to the Associate Director of Maintenance, interpret and apply rules and regulations as appropriate; perform duties to assist the administrator with administrative detail as appropriate.

Process payroll and related records for assigned payroll; compute hours and pay of employees.

Coordinate communication between the Associate Director of Maintenance and District personnel, students, educational institutions, vendors, other outside organizations and the public; obtain and provide information, coordinate activities and resolve problems.

Research, review, check, correct and compile a variety of information; verify data for accuracy, completeness and compliance with established procedures; input and retrieve computerized data in computer systems as required.

DUTIES AND RESPONSIBILITIES (CONT.):

Prepare and maintain a variety of records and logs and prepare reports as required; file records as required; assemble inventory printouts and catalogs as requested. .

Compile information from the work order system and data for a variety of reports; organize, type, and print reports and other written materials related to assigned office functions.

Operate a computer terminal to maintain records and generate reports, lists, create forms, and other materials; utilize software such as Microsoft Word, Excel, MUNIS, and a maintenance management system, as required.

Create and maintain a variety of complex spreadsheets and chart data.

Operate a 2-way radio and text paging system.

Maintain a service call center management program that routes and notifies District personnel of service requests and status reports.

Maintain professional office standards and conduct.

Perform other duties as assigned.

Maintain regular attendance.

KNOWLEDGE OF:

Appropriate safety precautions and procedures. Health and safety regulations. District organization, operations, policies and objectives. Oral and written communication skills. Methods of scheduling and monitoring maintenance work order systems. Modern office practices, procedures and equipment. Records retention. Operation of a computer terminal and a variety of other office equipment. Service providing environments with exceptional customer service skills.

ABILITY TO:

Provide orderly flow of work requests through a work order system. Establish guidelines for measuring quality of work for a variety of maintenance

trades. Plan, organize, assign and review maintenance work orders. Prioritize and assign work. Plan, lay out, direct and control a maintenance work order program involving

diversified activities. Work independently with little direction. Establish and maintain cooperative and effective working relationships with others. Communicate effectively both orally and in writing.

Maintain records and prepare reports.

PHYSICAL DEMANDS:

Work is performed while standing, sitting and/or walking. Requires the ability to communicate effectively using speech, vision and hearing. Requires the use of hands for simple grasping and fine manipulations. Requires bending, squatting, crawling, climbing, reaching. Requires the ability to lift, carry, push or pull medium weights, up to 75 pounds Requires activities involving being around moving machinery, exposure to

marked changes in temperature and humidity, and exposure to dust, fumes and gases.

EDUCATION AND EXPERIENCE:

High school diploma or G.E.D. Certificate. Experience in a service oriented environment preferred.
