Duties and Responsibilities:Responsible for the bi-weekly payroll process. Duties include:Process new hires, rate changes and other personnel changes in the system.Process terminations in the system.Interpret and process wage garnishments and withholding orders.Keep employee records updated with current employee information, i.e. rate, org assigments, work contact info, etc. Run time leveling report in payroll system to verify all employees have entered their hours.Verify hours and coding on employee timesheets are correct and notify employees of necessary changes.Verify that employee timesheets have been approved by the supervisors.Review time entry for errors and make appropriate corrections.Perform review of payroll data before processing payroll.Run payroll process, print reports, print checks and direct deposits.Prepare and file various bi-weekly, monthly, quarterly and annual reports along with accompanying payments.Maintain payroll information, files and records for the purpose of providing an up-to-date reference and audit trail for compliance.Process a variety of payroll related documents and payments, i.e. ACH transfers and HSA payments to banks.Enter bi-weekly 403(b) contribution amounts to investment providers' websites.Reconcile all payroll related accounts to the general ledger.Research payroll issues/discrepancies and processes necessary ply with regulatory standards and policies and procedures of payroll.Assist employees with payroll related questions, including questions related to garnishments and other withholding orders.Process and distribute employee W-2s and ensures W-3 reporting to Internal Revenue Service (Social Security Administration).Assist auditors for the purpose of providing supporting plete employment verifications and return to specific agencies.Maintain 403(b) Fee Disclosure mail list for terminated employees with account balances and mail the annual Fee Disclosure Notices to those terminated employees.Reconcile weekly and monthly benefit bills, verify employee coverage and process monthly payments.Participate in workshops, in-service trainings, etc. for the purpose of conveying and/or gathering information required to perform the job functions.Assist the Senior Payroll and Benefits Manager with special projects as assigned.Maintain a positive, strong, credible, professional and interpersonal relationship with all parties relevant of MPHI projects, and represent the best interest of MPHI at all times.Qualifications/Requirements:Education:A bachelor’s degree in human resources, accounting or business related field.Experience:A minimum of three years’ experience in payroll processing. Important Skills and Characteristics: Position requires a high level of professionalism and diplomacy, strong organization, the ability to work independently, ability to pay attention to detail and understand the audit implications of work performed; excellent oral and written communication, and computer. Must have the ability to act as a team player and to function autonomously. Additionally, must be able to manage multiple projects and possess effective problem solving skills.Work Environment and Physical Requirements: The job may require moderate physical effort including lifting materials and equipment of <50# and involves viewing a CRT or VDT screen 25% to 75% of the time. Standard office environment. May require valid vehicle operator’s license where needed to perform duties of the position. RESPONSIBILITY FOR THE WORK OF OTHERS:Occasional Leaders: Occasional leaders lead some projects and serve as a team member on others. IMPACT ON PROJECTS, SERVICES AND OPERATIONSThis Payroll Specialist has access to a large amount of confidential data – a breach in confidentiality could be harmful to MPHI as an organization as well as to the employees. This position has access to confidential employee salary and employee bank. Honesty, confidentiality and accuracy are extremely important in this position. This position is a highly visible position as it works with all MPHI employees. The extent to which these duties are accomplished will dictate the extent to which the department is effective.
