Position Title: Information Systems Support Specialist

Position Status: Regular, Full-Time, Subject to an Annual Review

Job Classification: Exempt

In compliance with the Fair Labor Standards Act, this position is classified as an exempt position and the employee is not eligible for overtime. Some evening and weekend hours may be required.

POSITION SUMMARY

This position’s primary responsibility is to manage the online giving websites for United Way of the Midlands. They provide support for a variety of systems and processes by coordinating between vendors and users both internal and external. Additionally, the position is responsible to develop the skills necessary to assist with data imports & exports, ad-hoc reports and to develop and enhance workflows and routines designed to improve the organization processes.  

ESSENTIAL DUTIES & RESPONSIBILITIES

• For each workplace running an online fundraising campaign, oversee the online giving website creation and maintenance. Coordinate this effort between the vendor, the relevant Resource Development staff, and each company running an online campaign. 

• Assist with the Technology Assistance Request process by assigning incoming tickets to the appropriate in-house parties and completing tasks for particular tickets when necessary. Assist with communicating issues to the IT Managed Services Provider. Run Power BI dashboard monthly to ensure that the vendor is recording work accurately and to find areas where there could be improvement. 

• Cross-train and become proficient over time in various key systems and processes including but not limited to:  

• Pledge Imports 

• State Campaign Pledge & Payroll Imports 

• Online giving reporting 

• Donation acknowledgements 

• Tocqueville Society donations, billing, payouts and acknowledgements process 

• Creating or maintaining existing reports in StratusLIVE, Salesforce, PowerBI, Excel, Access, etc. 

• Coordinate and assist with automation and process improvement for the campaign processing team as needed to ensure timely and accurate import of donor data.  

• Other duties as assigned. 

REQUIRED & PREFERRED QUALIFICATIONS

Required

• Bachelor's Degree from an accredited university.  

• Experience in managing customer-facing projects with multiple stakeholders. 

• Detail and deadline orientated.  

• PC skills and working knowledge of current software, especially Microsoft Excel and Word.  

• Ability to coordinate multiple projects and assignments throughout the day. Ability to problem solve utilizing critical thinking skills. 

• Skill in tact and diplomacy when dealing with contributors, volunteers and staff. Ability to listen and communicate effectively.  

• Maintains confidentiality of records and information following UWM policy and procedures.  

• Flexible in work schedule to allow for early morning activities as well as evening or occasional week-end events.  

• Ability to think independently, work as a team, and to make ethical decisions. Ability to express ideas clearly, both verbally and in writing following HR policies and laws. 

• Ability to stand, stoop, and sit for long periods. Ability to lift 15 pounds without assistance. 

• Must be able to pass any required background checks and drug testing as required. 

• Must maintain all required licenses and certifications required for the position including a valid driver’s license throughout employment. 

Preferred

• Experience in database management and/or reporting. 

• Experience with CRM systems and related concepts. 

• Working knowledge of web technologies such as HTML, CSS JavaScript etc. 

• Demonstrated ability to analyze and understand financial and fundraising data and reports.

Additional Information

• Thirty-seven and a half hours per week (8:30am-5:00pm) is the general rule.  

However, depending on the project cycles and workflow demands, additional  

hours or work schedule changes may occasionally be required.  

• Occasional physical labor required (room set up, etc.).
