Preliminary Work

Determine the Primary Category

2 Decide what page the link is to appear on

3 Decide what box on that page the link is to appear in

4 The category is the sequence of steps to get to that box:

Note: Sub-category & Sub-sub-category may not be needed. Category is shortened accordingly.

Is an image, document, or other asset involved?

12 Is the asset to be “associated” to the content?

13 Create HTML content (see below) first

14 Add and Auto-Associate an Asset from bottom of Edit Content screen (see below)

15 Is the asset to be a simple link (as to a PDF file from a template page)?

16 Use Add Asset from left navigation (see below)

17 Add Link Content (see below)

18 Is the asset to be embedded in the content?

19 Use Add Asset from left navigation (see below)

20 Create HTML content using link and image features of Web Edit Pro or other HTML editing tool. (see below)

Determine if this it to be Link or HTML content

22 HTML content will present information to the user within your web site on a page that has a title and left & right navigation.

23 Link content does not go to an HTML page within your site. It will be one of three types:

24 A link to a menu page within your site

25 A link to a page outside of your site, including other sites

26 A direct link to a PDF or other document file

Determine how this will be ordered (see attached)

29 Priority

30 Alpha

Add Content

Create HTML Content:

1. Select Add Content (from left navigation)

2. Select Site-Button category combination of primary category determined above

3. Select Primary Category – Make sure you select the whole category, as determined above.

4. Enter Title of content item (Limit 255 characters – it will count them for you)

a. This will display as the text of the link to the piece of content

b. This will display on the content page at the top as the title

c. This will display on the title bar of the browser

d. This is used when searching for a piece of content on the List Content screen

e. This is used by search engines to help locate content

5. Enter Release Date

6. Enter Event Start & End Dates if content is part of a Calendar of Events

7. Enter Expiration Date if needed

8. Enter Priority

9. Enter Agency Contact Name, Phone & Agency if Press Release

10. Select Content Type = HTML

11. Enter Description (Short Text) (Limit of 4000 characters – it will count them for you)

12. Enter Body (must include HTML formatting)

a. You may use Web Edit Pro (limit of 100K)

b. You may paste HTML code from another source (unlimited in size if using IE, 64K if using Netscape)

c. You may type HTML code directly into body box (unlimited in size if using IE, 64K if using Netscape)

13. Enter Keywords

14. Click Add

15. If an Asset is to be associated to this content, you can do one of the following under Associated Assets:

a. Enter the Asset ID number and click Associate

b. Click Add and select the Asset using the Add New Association ASSET tool.

c. Use the Add and Auto-Associate an Asset feature (see instructions below)

16. If this content is to be associated to another category, click Add under Associated Categories and select the additional category.

Create Link Content

3 Add Content (from left navigation)

17. Select Site-Button category combination of primary category determined above

18. Select Primary Category – Make sure you select the whole category, as determined above.

19. Enter Title of content item (Limit 255 characters – it will count them for you)

a. This will not display

b. This is used when searching for a piece of content on the List Content screen

20. Enter Release Date

21. Enter Event Start & End Dates if content is part of a Calendar of Events

22. Enter Expiration Date if needed

23. Enter Priority

24. Select Content Type = Link

25. Enter Description (Short Text) (Limit of 4000 characters – it will count them for you)

26. Enter Keywords

27. Select Link Type

a. Internal will open the page in the same window. Links within your site and to other sites should be internal.

b. External will open the page in a new window. Links to outside sites should be external. In addition, you may choose to open PDF files and links to applications in an external window.

28. Enter URL

a. Enter an Absolute URL (include the http://) if it is going to a site other than .

b. Enter a Relative URL (start with the / after ) if it is going to another page.

c. If this is to be a link to an Asset or an HTML Content page, simply enter the ID number for the Asset or Content and select the appropriate radio button.

29. Enter Link Text

a. This is what is displayed for the text of the link on the page

b. Should be the same as the Title Field above

Add Asset

Add and Auto-Associate an Asset

2 Make sure you know where the asset is located and have access to it.

3 Get to the Edit Content screen for the content for which you wish to add the association.

4 At the bottom of the screen, under Associated Assets, click Add and Auto-Associate an Asset.

5 The Add Asset screen will be presented.

6 Add the asset using the method below, starting with step 3.

7 When finished, you will be returned to the Edit Content screen.

8 You may repeat for other assets to be associated to the same piece of content (for example a list of PDF files).

Add Asset (from left navigation)

10 Make sure you know where the asset is located and have access to it.

Please Note: ALL filenames should be letters and numbers ONLY. Do not use special characters except an UNDERSCORE or a DASH. Remove spaces completely or replace them with underscores.

11 Click Add Asset from left navigation.

12 Browse to the asset file and double click. (See Note above.)

13 Select the Asset Permissions from the drop down menu.

14 ALWAYS select the Button-Asset category in which you are working.

15 If this is an image that is to be used on a photo gallery page or displayed in a component box, check the Thumbnail box.

16 Enter the Asset Description.

17 Use a description that will be unique to this asset.

18 Your agency may have some naming conventions, please check with your site administrator.

19 If the asset is an image, enter the Alternate Tag.

20 This should describe the image so that a visually impaired person will understand what the image represents when a screen reader reads the text.

21 This is what will be displayed when the mouse is hovering over the image.

22 Enter the CMA keywords.

23 This is used to search for the asset within the CMA.

24 Include any identifying words or phrases to help YOU locate this asset.

25 Do not complete the file information fields. The CMA will insert that information for you when the Asset is loaded to the database.

26 Click Add.

Special Notes:

• Press Releases –

o Primary Category must be the Press Release category

o Add date of release to description and body of document

o Enter Agency Contact and Phone

• Calendar of Events –

o Enter Event Start and End dates.

o Both fields must be entered. If it is a one-day event, make both dates the same.

• Photo Gallery –

o Create HTML content

o Add and Auto-Associate the photo

o Check the Thumbnail Box when adding the photo as an asset

• Image Assets –

o You don’t need to include the image dimensions when adding a new asset. The system will read the actual dimensions of the image.

o When replacing one image for another in a given asset, make sure the new image either has the proper height and width measurements entered or delete the dimensions. If the dimension fields are blank, the proper size will be updated.

o The Asset (image) Filename must NOT contain square brackets, [ or ], as part of the filename.

• PDF (or other document) Assets –

o Keep the file size relatively small; it will take longer for you to upload the file and for your user to download the file if it is large.

o If the file is greater than 5 mg, divide it into smaller units, such as chapters.

o Check with your site administrator to determine if there is a standard for indicating that the file is a PDF. Some options are as follows:

▪ The letters PDF may be added to the end of the description/link of the file in parentheses (PDF).

▪ An introductory paragraph may be included for a page of PDF links.

▪ A statement may be included in the body of the content item which links to the PDF file.

o Most agencies choose to have PDF files open in another browser window. Please check with you site administrator to determine your agency’s policy on this.

o The Asset (PDF) Filename must NOT contain square brackets, [ or ], as part of the filename.

Ordering Method on Agency Sites

NOTE: the portal works differently.

Unless specified otherwise:

• Release Date = Most recent date is first

• Priority = Lowest number is the highest priority (1 is first, 2 is second, etc.)

• Alphabetic = A - Z

Component information: Site Admin specifies if release date, priority or alphabetic.

(This applies to Component type templates as well as components on Special templates and introduction components on Categorized Content type templates.)

Press Releases: Release Date

Monthly Events: Event Date

Theme: Same order as left nav, going left to right first, then top to bottom

Quick links: Release Date, then priority when release date is the same.

Tip: to order by priority, for each content item, set all the dates to 01/01/2002 and set priority.

Tip for using Priority:

Number the priority by 10s or 5s to allow room to add another item in between existing items.

When adding new content, determine the method of ordering for the component by determining the type of template and looking at the existing content and noting the date and priority of the items surrounding the location of the new item.
