Customizing Word’s Grammar Check

To get to this Options box in Word, click the Tools pulldown menu and select Options while Word is open. Next, click on the Spelling & Grammar tab. This will be the “off the shelf” configuration. The Spelling section has checkboxes for your preferences. The button reading Custom Dictionaries is misleading in that all the dictionaries are stored there, even the extensive default dictionary. Next, we can tell that below the Spelling section is the Grammar section. See the down arrow just to the right of the words Grammar Only, if we click on the arrow we can check Grammar and Style in our writing by clicking so that the box will read “Grammar & Style.” The Check Document button enables authors to make changes in the configuration of their Spelling & Grammar check then run the proofreader using the changed settings right away. After noting the configuration checkmarks in the grammar section, click the settings button and see the next page of this appendix.

As we can see, there is value in checking everything in the “Require” category. Under the Grammar section, the checked boxes are defaults. We can use the slider to gain access to the Style options. See below.

Again, by default the spelling and grammar check does not review style. There is considerable value in taking control of your own destiny and checking boxes that you may determine are your weak areas, or those areas in which you may want to verify compliance with established norms.

Again, in the style section

we have a lot of precise control. Note that you can ask Word to search for “use of first person.” Some Hamilton teachers prefer a formal writing style that avoids the use of “I” and “we.”

The final screenshot for the spelling and grammar check, style section, is to the left and contains more choices than most people’s vocabulary on the subject.
