PROGRAM SCOPE

Our Service Bureau division provides printing, mailing and electronic filing of W-2’s to SSA and 1099 tax returns to IRS plus to those states participating in the CSFSP for the appropriate 1099 forms. All printing, mailing, and IRS/SSA filing services are performed in our secure, SOC Certified facility. Our Service Bureau team is always available to provide you with the personal and professional assistance you deserve. We are dedicated to the highest level of quality and service.

Secure electronic processing and document management is of paramount importance to us. We provide the ability for our customers to upload their data files to our internally managed SFTP service. This allows our customers to have peace of mind that their data is safe and secure at all times during our processing and handling of their confidential data.

We offer document printing, mailing, and efile services for the following form types:

W-2 Wage and Tax Statement

1098 Mortgage Interest Statement

1098-T Tuition Statement

1099-B Proceeds From Broker and Barter Exchange Transactions

1099-C Cancellation of Debt

1099-DIV Dividends and Distributions

1099-INT Interest Income

1099-MISC Miscellaneous Income

1099-R Distributions from Pensions, Annuities, Retirement or Profit-Sharing

Plans, IRAs, Insurance Contracts, etc.

1099-S Proceeds From Real Estate Transactions

In addition to the above forms we have the ability to print and mail many other types, such as 1098, 1099, 3921, 3922 and 5498 forms.

For added confidence and confidentiality, all print and mail forms are printed on white ledger 28# Pressure Seal stock. Most 1099’s are printed on 8.5”x11” stock. W-2, 1099-B and 1099-R forms are printed on 8.5”x14” stock. Our pressure seal stock has no windows that could allow confidential information to show through.

W-2 Wage and Tax Statements are printed in a 4-Up horizontal format with Copies B, C, 2 and 2. The 1099-B is printed 1-Up horizontal format with the recipients Copy B. The 1099-R is printed in 3-Up horizontal format with Copies B, C and 2. All three have the appropriate employee/recipient instructions as required.

All other 1099’s forms are printed on 8.5”x11” stock with one Copy B image on the top one-third of the page, the instructions in the center one-third of the page, and the mailing piece (Sender Address, Recipient Address, Tax Legend, and postage) in the bottom one-third of the page.

All forms processed in our print and mail facility will have the required tax legend “IMPORTANT TAX RETURN DOCUMENT ENCLOSED” printed on the face of the mailing piece. All mail is sent USPS First Class including postal barcodes for expedited mailing.

PROGRAM OVERVIEW

Service Bureau

COMPLYRIGHT offers several different print and mail programs. Each is designed to provide our customers with a high degree of flexibility, while also saving time and the expense of producing tedious, once a year governmental forms. Our programs are geared to companies that have 500+ documents to process and are looking for secure and efficient way to handle the task.

Do-It-Yourself

The DIY option allows you to upload your data file into our COMPLYRIGHT website, print summary reports, validate totals, make any corrections needed and select the type of services needed: Efile Only, Print and Mail Only or Print, Mail and Efile.

This is the perfect option for the customers that are comfortable working with, and submitting data to secure on-line processing sites. It can be helpful if they are somewhat technical, but support is also available at the site. This option allows the customers to manage and be responsible for the entire process, with the added option of offloading the print and mail component to our secure printing facility.

A Little Guidance

With this program, COMPLYRIGHT will provide a template for the customer to use to submit their data for any of the services offered. The customer will enter the information onto the template and upload the file to their own folder on our internal SFTP site, using their account credentials, which we will provide. Our team will import the file, and run the required reports for the customers review and approval. If any errors exist, we will provide an error report so the customer can fix them and provide a corrected file. Once we have a valid file and the reports have been approved, our team will push the file forward for the services the customer has asked us to provide. This option includes e-file only, print and mail only, and print, mail and efile services. This is the best option for those that want to monitor and assist the process but would appreciate the experience of our team to guide them along the trail.

Make It Happen

The COMPLYRIGHT team understands this is a necessary task that many companies would prefer to let us handle the process and just make it happen, allowing them to focus on running their business. In fact, the majority of our customers enjoy this level of service and over the years we have become an important part of helping them complete their tax form distribution requirements. We have a team of specialists that are ready to do it all. Our team will take the file you create (.csv, .txt, .xls, IRS format or other) and post to our SFTP site. We’ll map or convert the data to fit our template and process it, based on the services the customer request. Summary reports will be provided for review and approval. If there are errors in the data provided, we’ll advise what those errors are and assist with correcting them so we can process the files. Our team will be there to assist every step of the way. Additional fees may apply for this service level based on the amount of Development Time and/or Data Manipulation to complete the process.

Every attempt is made to share in the savings we are able to get from our centralized processing facilities. Based on historical data, and the every changing USPS postage rates, we calculate a blended USPS First Class Postage Rate that we apply to our domestic mailings. Exceptions to this, is if we receive incomplete or inaccurate addresses, these pieces will require manual processing and result in full current USPS First Class Postage rates. Within the context of our normal document flow, these instances are referred to as Rejects, to be manually processed.

Since we have such minimal quantity of International mailing pieces, we are not able to provide any savings from standard published International First Class Postage rates.

All files received no later than January 27th, are guaranteed to mail by the IRS/SSA deadlines. Our team strives to mail all documents received prior to January 31st by that deadline, however if we have a significant amount of files submitted at the last minute, we will not be able to guarantee the process. We strongly suggest coordinating to ensure the majority of your files are submitted by January 27th.

CASS and NCOA processing

To meet USPS requirements and ensure speedy delivery of your documents part of our process includes CASS certification (Address Clarification) and NCOA (National Change of Address). We do not alter the recipient information that was provided to print on the face of the document (in the form). We only update the address that prints on the front of mailing piece once the document is folded and sealed. We do not offer any reporting back to the customer with this process. If our software is unable to accurately perform the CASS certification and manual processing is required, the blended pre-sort rate will not apply. Those pieces requiring manual processing will be charged domestic postage at current USPS First Class postage.

We do offer CASS and NCOA reporting services for those customers that would prefer to send us their address data prior to starting the Print/Mail/Efile process. We’ll run it though our process and provide back to the customer the original info and the updated address information. The updated info will include Zip+4 which many companies frequently don’t have within their own records, it also provides the correct address format for each recipient address (Example: 43 Main Street should be 43 Main St). Doing this before the tax processing, allows the customers to update their systems so all future mailings/documents will have the updated address information. Additional fees apply for this service.

CD-Rom with PDF Files

COMPLYRIGHT can supply a CD-ROM with copies of all forms printed in a searchable PDF format. Additional fees do apply if a CD-ROM is requested. These CD’s are often requested as the file copy for the employer to keep for their records. Request must be made prior to, or at time the original files are submitted for processing. Unless otherwise requested, one CD is created for each individual file submitted.

E-File

COMPLYRIGHT will hold onto your print and mail data files for e-file processing until Mid March, unless otherwise requested by the customer. Often the client will choose to make corrections to the original print and mail data prior to submitting for e-filing. If corrections or changes are needed, a new file will be required. A new file can be uploaded to our SFTP site for efile processing or directly to our efile site with the DIY program. The new file will only be used for E-filing, it will not flow to our print and mail processing. The data file will be prepared for submission to the IRS or SSA. COMPLYRIGHT will schedule an E-file appointment with the appropriate divisions at the IRS/SSA to submit the data records prior to the efile deadline of March 31st, 2015. COMPLYLRIGHT will notify our customer once the IRS/SSA has accepted the file.
