InstructionsIn order to ensure that students continue to make appropriate progress toward their academic degrees while abroad, all A-State students planning to study abroad must complete a “Study Abroad Course Proposal.” This form certifies that your department and dean’s are aware of, and approve of, your decision to study abroad and transfer credit back to A-State. It also assures that you understand the parameters that courses taken abroad must meet in order to fulfill specific A-State degree requirements.List of offices you will need to visit (in this order):Your Academic Adviser(s)Your Department ChairStudy Abroad OfficeMeet with the Study Abroad Director to compile a course list and obtain course descriptions: The Study Abroad Director will show you where to locate course information for your study abroad program and advise you in developing a preliminary list of courses to take abroad. Using available resources (catalogs, course lists, web sites, etc.) and information on your degree requirements, complete your “Study Abroad Course Proposal.” Please note that credit hours from an overseas course will not always equal the number of hours for the same course taught at A-State. The Study Abroad Office will determine the number of credit hours you will receive for each course based on nationally recognized guidelines. In general, students cannot transfer more than 15 hours for the Fall or Spring semester (12 hours for Graduate students), or 6 hours in the Summer.Grades for courses taken overseas at colleges and universities that are not affiliated with U.S. universities are recorded as “S” for Satisfactory and “U” for Unsatisfactory. Grades that are the equivalent to an “A, B or C” as determined by the Study Abroad Office will be posted as an “S” on the A-State transcript, and grades that are equivalent to a “D” or below will be given a “U”. Letter grades for courses taken at overseas colleges and universities that are affiliated with a U.S. university are recorded on the A-State transcript, but will not be calculated into the A-State GPA.Find Out How Courses Will Apply Towards Your Degree: Meet with your Academic Adviser for your major(s) and minor(s) (if you have a double major and/or a minor, meet with all relevant Advisers) and discuss your study abroad program and the course choices you have made. Your Academic Adviser will also let you know what, if any, additional materials, such as syllabi, copies of examinations, copies of term papers, etc., may be needed in order to make a final decision regarding how credit from courses taken abroad will be applied to your A-State degree. Your Adviser(s) will sign and date the “Study Abroad Course Proposal” and should make a copy to put in your file.Get Approval to Study Abroad:Obtain approval from your department chair: Meet with the department chair. They will check your A-State records to make sure you are academically eligible to study abroad and that all of your paper work (declaring major, emphasis area, etc.) is up to date. Another copy of your “Study Abroad Course Proposal” should be put in your file there, as well.Submit Completed Form to the Study Abroad Office. Please note:It is your responsibility to contact your Academic Adviser regarding any courses that you take abroad that are not listed on the “Course Proposal for Study Abroad” and to obtain equivalencies and approval for these courses. Failure to do so may cause the credit to be counted as “elective” credit only.Overseas universities often do not issue transcripts until 6-12 months after the program ends.
