Church of the Holy TrinityParish AdministratorJob DescriptionUnder the supervision of the Rector/Interim/Priest in Charge, and in cooperation with the Wardens and other parish leadership, the Parish Administrator will oversee the smooth, day-to-day operations of the parish. Job ClassificationRegular, Part Time; Non-ExemptPrimary DutiesCommunication:Telephone - answering the office telephone, delivering messages to the appropriate people, keeping outgoing voicemail messages current. Visitors - greeting guests at the door, directing them to the proper person, giving short tours of the building when time allows.Mail - distributing the mail, assisting with parish mailings.Email - responding to or forwarding email coming to the parish office.Newsletters - overseeing the publication and distribution of the periodic parish newsletter and creating it when necessary, passing along announcements and information for inclusion in the weekly parish eNewsletter.Assist parish leadership in maintaining the parish website.Signage - maintaining current messages on the outside signboards and inside bulletin boards, creating and placing temporary signs for events and meetings as needed.Advertising - placing ads or making press releases concerning parish events, as directed.Newcomers – make copies of pew cards and guest book sheets and submit to the Rector for response.Inquiries – field standard requests for baptism or marriage, forwarding parish customaries to those inquiring.Create and duplicate the annual report to be available one week prior to the annual parish meeting on the last Sunday of January, send out notices and reminders to parish leaders concerning their reports.Office Administration:Supplies - order and store office, cleaning and sanitizing supplies.Calendar - maintain an up to date master calendar for use of the building by parish and other groups, keeping the Rector and Building Committee Chair informed of changes or onetime events.Keys - administer the keys to the building, keep a record of who has what keys, administer key deposits when appropriate, have additional keys made when necessary.Building use – maintain paperwork for building use by individuals or groups, make sure an insurance certificate is in our file for any outside group using our space, receive payment from individuals and groups using our space, giving receipts for cash.Building care – work with the Wardens, Rector, and Building & Grounds Committee Chair to inform the appropriate people about building issues, open the building for contractors performing maintenance tasks, make appointments with contractors on behalf of the Wardens or Rector when asked, keep Building & Grounds Committee informed about building issues.Liturgy Support:Sunday Bulletins – generate and make copies of bulletins for Sunday and other worship services as directed, maintain information for parish announcements, coordinate with those in charge of scheduling liturgical assistants to get their names into the bulletin.Funerals and Weddings – generate and reproduce bulletins for funerals and weddings as directed by the Rector. Record Keeping:Maintain up to date parish list of names, addresses, phone numbers, and email lists in coordination with the publishers of the parish eNews and Newsletters as well as the Treasurer, generate copies of the list as needed.Work with parishioners in charge of flowers to facilitate the dedication of flowers in memory of or in honor of someone, track payments for flower dedications.Keep a record of memorial donations received, inform family members of memorial donations made in the name of their relatives, send thankyou notes to donors.Maintain and submit bi-weekly timecardKnowledge, Skills, and AbilitiesWelcoming disposition and ability to work with all of God’s childrenMinimum 2 years office experienceAbility to maintain confidentialityEffective oral communication; excellent written communicationExcellent organization skills, maintaining schedules and calendars, establishing priorities, and meeting deadlinesAbility to work independently with little supervision, take initiative, and self-motivateAbility to work with others as part of a teamAbility to identify when to take initiative and when Proficient in MS Office products; Zoom; Facebook; interfacing with other software as well as the internetSalary and schedule$20 per hour15-25 hours per week – schedule to be determined in agreement with RectorBenefitsStandard probationary period applies.
