|Design / Production Administrative Assistant |

|Summary |Reporting to the Operations Manager, this position will support the overall effectiveness of the Design, |

| |Production & Shipping Departments |

|Duties/Responsibilities |Maintain a positive relationship with all staff using good communication skills. |

| |Provide production paperwork which includes map out production batches for shipping, creating customer packages,|

| |organizing paperwork in shipping office and file and pick up paperwork in the shipping office. This is to be |

| |done in a timely and accurate fashion to ensure deadlines are met. |

| |Attend and record minutes of regularly scheduled design meetings so as to stay informed with the department and |

| |contribute to discussions about its processes and direction. |

| |Maintain Kanban of design office supplies. |

| |Helping with monthly inventory |

|Customers |Continually look for new and better ways of servicing our customers |

| |Ensure that customers are satisfied with our products and service |

|Knowledge |Experience in operating Mitel or comparable phone system |

| |Experience in operating typical office equipment (i.e., fax, copier, etc.) |

| |Computer skills including Microsoft Office. |

| |Knowledge of Mitek and Bistrack Software. |

|Misc |Maintain housekeeping practices in your work area. |

| |Assist in answering switchboard and other reception duties as needed. |

| |Assume other duties as assigned by the Design Manager or Operations Manager. |

|Personal Attributes |Ability to communicate both written and verbally in a professional and effective manner. |

| |Strong organizational skills to manage multiple projects. |

| |Effective time management skills to ensure deadlines are met. |

Knowledge:

• Experience in operating Mitel switchboard or comparable phone system for phone relief

• Experience in operating typical office equipment (i.e., fax, copier, etc.)

• Knowledge of Mitek, Bistrack software is an asset but not a requirement.
