Banquet General Information

Printed banquet menus are for overall reference. Our Catering Management and Culinary teams will be pleased to offer tailored menus to fulfill your specific needs. Products and their availability dictate that all prices listed are subject to change. Our Catering Managers will confirm final menu prices. Function rooms are assigned based on anticipated number of guests. Fluctuation in attendance may result in the hotel reassigning function space. The Hotel may require security officers for certain events. The catering Office will advise our clients of the available arrangements.

Event Guarantees

A “guaranteed” attendance figure is requested three business days prior to the event. The guaranteed figure represents the minimum charges that will be incurred for the function. Overages to the guaranteed figure will be charged at the agreed upon rates for the event. Guaranteed figures are not subject to reduction inside the (72) hour point. The Hotel will set and prepare to serve 5% over the guaranteed figure. In the absence of a guaranteed figure, the expected attendance figure will used to establish minimum charges.

Payment

Your Catering Manager will advise terms of payment. Advance deposits and prepayments will be requested. A 10% deposit is requested to reserve function space and dates. Full prepayment of the event is asked to be proffered with the final guaranteed figure. Overages to the guarantee may be paid at the conclusion of the event. Credit may be established with the hotel with a ninety-day notice and completion of the hotels requested credit information letter.

Guest Packages

Packages shipped to the hotel are requested to arrive not earlier than five days prior to the event or guest’s arrival. Package labeling should include: Guest’s name, Meeting Name and Event date. Return shipping is the responsibility of our guests. Return arrangements may be made through our Business Center. Prevailing Business Center rates will be in effect.

Decorations

The Catering Office will make arrangements for floral centerpieces and decorations of any type. The hotel asks that items not be affixed to the walls or ceilings of function rooms. Special arrangements may be made through the Catering Office and are subject to Hotel approval. It is requested that drayage companies and any entities moving heavy equipment in the function space provide carpet protection that shall be approved by the hotel prior to move-in or move-out.

Audio Visual/Power Requirements

Electrical requirements exceeding standard outlet service will be assessed a service fee based on those needs. Electrical charges for support companies may be placed on you master account. Royal Productions is our in-hotel audio-visual supplier. The Catering Office will advise guidelines regarding items provided by other audio-visual providers.
