TIME REPORTING
Purpose of this DocumentThis policy and procedure document is intended to communicate, to all employees in the Department of Pediatrics, the expectations and requirements for recording work time and benefit time. This document addresses only the most common situations and does not supercede existing University policies. Please bring any questions you may have regarding this document to the attention of the Pediatrics Human Resources Office.Standard Workday The standard workday hours for the Department of Pediatrics are Monday through Friday, from 9 a.m. to 5 p.m. Academic Professional employees are expected to work an 8 hour workday; Civil Services employees are assigned to either an 8 hour or 7.5 hour workday, dependent upon classification. Non-exempt employees are eligible for overtime when work hours exceed the assigned workweek; overtime must be pre-approved by the Director of Administrative Operations.Exempt Civil Service and Academic-Professional StaffEmployees who are ineligible for overtime pay (Exempt Civil Service, Academic Professional, and Faculty positions) are expected to be present during the operational hours of their units and at such other hours as required, and are expected to perform the work as required by their positions. The University recognizes that the responsibilities of professional staff frequently require work outside regular office hours. Academic Professionals report Leave in full day or half day increments. Personal/Vacation Leave All vacation leave requests are pre-approved by the appropriate supervisor via a Departmental Absence Slip. Bi-weekly employees report their vacation leave via web entry timesheets; monthly employees report their vacation leave via monthly Academic Vacation Sick Leave (AVSL) forms, which are reconciled by department HR staff in Banner twice annually. Leave Accumulated sick leave may be used for illness of, injury to, or need to obtain medical or dental consultation for the employee, the employee’s spouse, children, or parents, including parents-in-law within the employee’s household. Planned absences should be approved in advance by the appropriate supervisor via a Departmental Absence Slip. Unplanned absences should be approved retroactively using the Departmental Absence Slip. Absent employees should report in daily to provide the Office with an update of their condition. Holidays will be observed in accordance with the campus policies. Floating Holidays Requests to take floating holidays should be made in advance via a Departmental Absence Slip. Unused floating holiday leave will not be carried forward to the next academic year. A staff member who separates employment with the University and who has not taken his/her floating holiday before the date of separation will not be compensated for that day. A floating holiday must be taken in full at one time. For part time staff members between 50% and 99% of full time service, the floating holiday must be prorated. lunch periods, pre-scheduled vacation days, and/or unscheduled sick absence days, employees should work with a team member for coverage of phone calls and essential duties. ................
