September 11, 2018

7:00 p.m.

Members:

Lisa Bansen-Harp Sheila Svoboda (DCFM) Cathy Melver

Rae Leonard Ed Labbe (Elder) Marian Wahl (Deacon)

Opening Prayer

Approval of August 14, 2018 minutes

Agenda: Additions/Corrections

UPDATES:

YOUTH EDUCATION/ACTIVITIES – Ed Labbe

o Youth Vision Team – Jenna Reid has accepted final position on the team, joining Natalie Labbe, Gregory Works, Kacey Yates-Gable and Scott & Celeste Vollmer. The Pastor and Moderator of Discipleship are also included, as well as the incoming Youth Coordinator.

o Interviews for the incoming Youth Coordinator are underway. We hope to have someone in place by the end of the month.

o Back to School Pool Party – August 26 at Shaw JCC

• Kevin Melver organized.

• Greg Works and Cathy Melver chaperoned.

• 3 Youth attended the Pool Party (4 for pizza).

• We anticipate that after the new Youth Ministry Coordinator is in place, the process for recruiting chaperones and for getting the word out to youth will be smoother and result in greater participation.

o Sunday School curriculum and teaching staff are confirmed.

o Next Youth Event: Trip to Ramseyer Farms – 10/14/18

• Ed Labbe will organize.

• There will be some cost to Youth with some cost picked up by church.

• Bulletin and Sunday Updates on 9/30 and 10/7

• Pulpit Announcement on 10/7.

o ADULT EDUCATION - Rae Leonard

o Fall / early 2019 classes planned:

• September 9 – 30: Rae is teaching a series on how the Bible came to be in its current form. Rae did a bulletin insert to publicize the classes in late August

and a Minute for Ministry on Sept. 2.

The first class had 11 in attendance.

Suggestion made by class members: could the PowerPoint slides Rae prepares for the lessons be printed? Since there are so many in the class, it would be impractical to print copies for all. Perhaps printing a few copies to use in class would be a good solution, then sending an electronic copy to those who would like one.

• October – November: “God Saves His People” – a consideration of the many times in the Bible where the people strayed, and God was steadfast.

• December: Jon will do series built around the book A Dog in the Manger and Other Christmas Stories.

PRAYER QUILT MINISTRY – Marian Wahl

o Update.

The group has several people in mind for quilts.

CHILDREN AND FAMILY MINISTRIES - Sheila Svoboda

o Parenting Speaker – 2019

• 40% ($384.40) of this year’s Pentecost donation will go to toward the event.

• Plan is to make the Godly Play training a double-header: one day of training for the Sunday School teachers + a session with parents on how to support their children’s spiritual development in the context of the Godly Play curriculum / approach. The last two weekends of March 2019 are possible dates. Sheila will work on finding a trainer.

o $3000 donation given to support the Children’s and Family Ministry. Continued discussion on how we can use some of the funds to support children in worship.

• Sheila’s proposal for new Worship Boxes and shelving was approved by Properties and executed with an adjustment to put them outside the sanctuary doors. Some have already been put near both entrances.

o Tween Event (at Skyzone): 10/7/18 11:30 AM – 2:00 PM

• Should have Bulletin and Sunday Updates on 9/23 and 9/30 and Pulpit Announcement on 9/30.

o Reverse Halloween is set for October 20, 2:00-4:00 at Rockynol.

Sheila has coordinated the event with Jessica at Rockynol.

We will meet at WPC, practice some songs, then walk to Rockynol to share in activities with the residents (activities planned by Jessica).

o Sheila’s proposal that we add the message below to the bulletin starting on Rally Day was approved by Session with the added caveat of “when and as directed by staff”. It was also requested that we take under advisement a request to add language about removing unruly children from church.

Discipleship took the request under advisement and determined that the message as written already provided a polite formulation concerning possible disruptions and how parents should respond.

To the parents of our young children,

RELAX! God put the wiggle in children. Don't feel you need to suppress it in God's house. All are welcome.

Sit toward the front, where it's easier for your little ones to see and hear what's going on.

Quietly explain the parts of the service and actions of the pastor, choir, etc.

Sing the hymns, pray and voice the responses. Children learn liturgical behavior by copying you.

If you have to leave the service with your child, feel free to do so, but please come back. As Jesus said, "Let the children come to me."

To the members of our congregation,

The presence of children is a gift to the church, and they are a reminder that our congregation is growing. Please welcome our children, call them by name and give a smile of encouragement to their parents.

o Library Conversations series has begun. The group will read and discuss the book Small Animals, about how and when parents can give children more independence in our culture which often shames parents for not actively controlling every aspect of their children’s lives.

CHURCH-WIDE DISCIPLESHIP EVENTS

o Ice Cream Social: August 18th.

o Mr. Hal Walker performed to much inter-generational enjoyment.

o We paid a $200 honorarium

o Marian organized the ice cream and got dry ice.

o Rae and Bob Leonard and Sarah and Marie Harp served.

o Lisa put garden fencing up to keep the garden area intact.

Note for next year: some members of the congregation didn’t attend because it was at the

same time as PorchRockr. Perhaps next year, schedule the Ice Cream Social for a Sunday

evening? The 3rd Sunday in August next year would be August 18th, the same evening as the

August Third Sunday Dinner. The Ice Cream Social could be scheduled at 6 p.m. and provide

dessert and entertainment for the dinner. Ed will check with Outreach to make sure this

would be acceptable to them.

UNFINISHED BUSINESS:

Cathy is leading in refreshing the library and had a kickoff meeting on Sunday, Sept. 2 with Harriet Chapman and Shirley Werner. Her notes are as follows:

“In a nutshell, first steps will be some efforts for awareness/engagement of the congregation (mainly headed by Harriet) and cataloging/shelving the several boxes of donated books under the desk and labeling the shelves (mainly Cathy).  We agreed that many of the adults in the congregation likely aren't even aware of the amount that is in the library for them.   We agreed a reasonable goal will be to have some kind of call to the congregation for books and possibly a workday in the lull after the holidays.

We also discussed some exciting potential for the library as a home for archives of the history of our church family, both in terms of things that may be tucked away around the church and things that members may have at home.  We have already found some amazing items around the library.”

Cathy reports that there are ample materials in the library to implement these ideas (except for a computer).

o September 9: Rally Day kick-off for education and programming

▪ Sheila did a Minute for Ministry on August 26 to promote it.

▪ This included a Ministry Fair: Discipleship invited groups in the congregation to have a representative and materials about the group.

▪ We had tables from the following groups.

• Outreach – Gert Wilms

• Children's Music – Zach Troyer

• P.W. – Margo Works

• Deacons – Walter Hayes

• Children & Family – Sheila

• Youth – Kacey Yates Gable

• Noon Bible Study - Ellen & Charlotte

• Adult Sunday School – Rae Leonard

• Book Group – Cathy Melver

• Discipleship – Ed/Lisa

• Choir – Stacey Franzmann

▪ We will continue to display the different groups’ trifolds, posters, or sign-up sheets in Wright-Herberich for a couple of weeks after the fair on extra tables by the Connection Point area.

▪ Script article due by September 18 to alert members of the congregation to the Talent Show coming up in the spring. Lisa will write it.

o September 30: Music Ministry welcomes our new Director of Music. This will be Alcee’s first Sunday at WPC. The Labor Day picnic is being moved to this date as part of the celebration.

In recent years, Discipleship provided chicken from Showcase Meats. The rest of the meal was potluck. Deacons did set-up and serving. Deacons met to discuss the schedule change and other relevant details. There was further discussion with church staff and the Director of Music Search Committee. Discussion ensued with Session and decisions were made to do things differently this year. An unnamed donor will cover expenses for sandwiches from Acme with a $100 stipend from Discipleship.

Ed will NOT schedule a pulpit announcement and get an announcement in the bulletin.

Lisa will NOT order chicken from Showcase Meats and arrange for pick-up.

Session is adamant that the Fall Picnic be moved back to Rally Day in 2019 (and perhaps going forward). This would preclude a Ministry Fair on Rally Day.

Ed suggested that to give groups an ongoing opportunity to get their messages out to the congregation, we could have one or two groups at a table by the Connection Point on the first Sunday of each month during the coffee hour (there’s birthday cake that Sunday to keep people around…). The committee concurred that this would be a good idea.

o Proposed budget spreadsheet is attached with agenda. It is not final, but Stewardship is looking for a starting point for their campaign. Proposed changes are in red. Many items were shaved by a little to get in better sync with actual spending. Godly Play training was re-added and the Library account was re-activated. Adjustments were made with the Youth budget. Budgeted expense numbers are still higher on average than recent actuals, which gives the committee a margin so that if we need to go over on any one line item, we still have funds elsewhere to make up for it.

NEW BUSINESS

o Open to floor.

o Closing Prayer

o Next meeting – October 9, 2018 @ 7 pm
