Minutes of July 22, 2008 Meeting

President Fred called the meeting to order @ 7:02 PM. Trip to the Berry Barn to follow.

There were no guests this evening.

Fred asked if there were any errors or omissions for the minutes of the June 24, 2008 meeting and none was indicated. The minutes were M/S by Gene Searcy and Luc Vangool, carried.

Wayne Oscvirk gave the treasurers report. Wayne gave a breakdown of all income and expenses incurred since the June meeting. He also gave the most current bank balance. M /S by Wayne Oscvirk and Ken Stinson, carried.

Dave Ballantyne gave the auditor’s report of our 2007 books. It was completed in April and a financial statement was filed with provincial non-profit office at the end of April. Dave read out a synopsis of the audit done by him through the company he works for, Hergott, Duval, Stack and partners. There were no problems with the audit. Dave asked for a motion to accept the report. Motion made by Don Erlandson and seconded by Ken Johnston, carried. He then asked if there were any questions and the only one presented was concerning the year Dave gave about our financial audit when reading the synopsis, 2006. Dave corrected himself and said the correct year should be 2007. Dave will be moving sometime in the near future but will still be available to audit the 2008 finances. Fred mentioned that our club bylaws allow the audit to be done by club members but there will be time to possibly find a replacement for Dave, who will charge us as reasonable cost as Dave does, prior to the audit in 2009. Thank you Dave for all your help.

Correspondence at the front table this evening: Jim Ewert was unavailable to speak this evening but asked that everyone be reminded of the Scattered Spokes tour to Davidson, Craik and area on August 15 to 17. Applications were available at the front table for this tour. There was a letter and a card from Mr. and Mrs. White of Calgary expressing their thanks for the International tour and commending all aspects of same. There were applications available for the Eliminator’s car club run in Swift Current August 15 – August 17 as well as information about the Saturday August 9 show and shine in Wakaw at Cenaiko Park. Oliver Lodge at 1405 Faulkner Crescent is looking for about 10 cars on Friday

August 22 from 2 to 4 PM for the residents to view. Fred asked for a show of hands about people who would be attending Cruise Day downtown Sunday August 24. 14 people raised their hands. There are approximately 25 spots available on the south side of 21st Street between 1st and 2nd Avenues where we traditionally park each year. The reason the request was made was that the Partnership will be supplying us with placards for our windshields that entitle us to that parking area as their way of showing their appreciation for our support of this event for many years. Placards will be available to you when you arrive downtown Sunday morning and remember to get there early for a parking spot. There were also copies of the latest Old Autos newspapers, applications for various tours in and around our area, copies of the club bylaws, auto events calendar for 2008 and NAAACCC membership cards.

Jim Ewert also asked if there would be any interest for members to go to Drake and area for a garage type tour on a Saturday. This could take place in August or be held next year as interest shows. It was decided it would best to wait as there are quite a lot of events taking place in August. More to follow.

President’s report: Not too early to think about the upcoming January elections. There will need to be nominees for the following executive positions: 3 two year directors, secretary, treasurer and president. Please let the executive know if you would like to have your name stand to fill any of these positions. If you know of someone who may be interested ask them to step forward.

Old business: Fred thanked everyone who volunteered their time to man the “cowboy coffee” area at Pion-Era July 12 and 13. He also thanked all those who brought cars to display there over the two days. At this time Fred made mention of the difficulty we have consistently find volunteers for tasks and events. Fred then made note of Orville Dunlop, who had a lengthy hospital stay early this year, bringing a car out to Pion-Era. He would have brought two had been able to find a driver.

INTERNATIONAL TOUR - Fred congratulated Ray Graves and Norm Mowles, co-chairs and also all committees and volunteers for a successful event. There was some discussion about photo access to view images of this event. Currently this access is through a type of Facebook site and will possibly need to be changed so people may access it better. More discussion will need to take place on this aspect of the tour. Ray Graves said there were 126 entrants and that Edmonton got 125 in 2007. He said everyone seemed to enjoy the tour and various venues visited. The Delta Bessborough hotel had to move the Friday night supper inside to the Adam Ballroom due to the persistent rainfall that day. Ray stated that was probably the first time burgers and chips were served in that room. As stated previously all venues were very well done and financially the tour may make some money but the final numbers were not in prior to this evening’s meeting. Then Fred referred to the letter, outlining the Sunday June 29 morning meeting after the International meet, dated July 21, 2008 and addressed to the SAAC given to him from Ray and Norm handed out prior to tonight’s meeting. A copy of this was also given to the SAAC secretary. At this Sunday meeting Ray Graves moved three motions that were seconded by members of the committee of the International Antique Car Meet. In referencing this letter Fred raised a concern Ray has committed the club to something without a discussion either with the executive or the general membership. Fred stated there is procedure needed in dealing with something of this magnitude. Fred also asked why he was not informed of and or invited to this Sunday morning meeting. Ray noted that it is was always well known about this meeting and it was open for Fred to attend. This questioning led to a heated discussion between Fred and Ray about process and progress. Ray stated he has had more time in the club than Fred and he was more interest in getting it done than the process of getting it done. When all was said and done Fred asked if there were any other questions or comments. Orville Dunlop was the lone speaker who said he supported Ray and what he has done for this past tour. At the beginning of the process of hosting the 2008 International Antique Car Meet Orville stated a lot of people were down on the idea of hosting it in two short years so it was a good thing Ray took charge. In the attached letter it is noted after the three motions that it is suggested our club advise the tour committee at the 2009 meeting about our intentions to hold the tour again in 2014, club’s 50th anniversary or wait until the 10 year rotation. It also states the SAAC is not obligated to host a tour on any particular date. Please see copy of the letter attached at last page for complete details.

JUNE GARAGE TOUR- Fred thanked Warren, Sheldon and Jeanette Weinert for allowing us to invade their home after the June meeting for not only a tour of their shop but to host the pizza and refreshments too.

Fred spoke of the mileage reimbursement available to members who travel for club business as well executive members from outside Saskatoon. Currently it is 15 cents per kilometer. Fred would like to see it increased to 25 cents due to rising fuel costs. Dave Huber made a motion to increase the mileage allowance, seconded by Jack Harris, voted and carried.

Mike Van Grondelle presented the executive at their last meeting with a proposal for club business cards. At that time he had a sample of what he thought should be on the card to be handed out to people who may wish to join the club or left on windshields of interesting vehicles to inform their owners of our club at events SAAC members attend. On the card is information about our meeting days, our direction for the old car hobby, a spot to put your name and phone number as a contact, etc. The executive asked

Mike to get some printed up through Howard Titman. Those newly printed cards were available for anyone to take tonight to drum up interest in our club anytime a member sees fit.

The SAAC canopy that Norm Mowles recently purchased and had decaled with our club logo for car events will be made available to any club member who wished to use it an event they will be attending. This decision was made at the past executive meeting. There will be no stipulations other than you will need to let the executive know ahead of time when you will require it.

SAAAC REPORT- Ray Fribance and Sheldon Weinert attended this meeting in Moose Jaw Sunday June 15. Ray gave a synopsis of the meeting and discussions therein. He said it was a short meeting and one thing discussed was the cancellation of the Great Race 2008 that was to go from New York to Paris and would have come through Saskatoon this past June. It was cancelled due to problems entering China and revocation of travel permits through the country. There may be another attempt at a later date, possibly more information to follow on this event. There will be a cross Canada tour in 2010 just like the one in 2000. There will be 200 spots available and information can be found on naaaccc.ca or at . It was decided at this meeting that the SAAAC would stay with the provincial insurance policy that is in place. The roster will be reprinted in 2009 so it will be soon time to pass the old one around and do revisions for your insertion. More information on this roster to follow at future SAAC meetings. Ray spoke about the SAAAC provincial tour that took place July 17 to July 20 in north Battledford. There were four SAAC members that attended this tour. Ray reminded everyone our club hosts this tour in 2010 and it is imperative we attend other clubs tours so they will attend ours. The provincial tour is in Estevan / Weyburn in 2009. At the SAAAC meeting they also discussed modified cars, usually hot rods without bumpers or fenders, and that there are exemptions available. There is to be an A & W national tour for one day but more information will have to follow. Due to the Hobby Show being defunct the fall SAAAC meeting usually held in November will be held in Regina October 4 at the Majestics swap meet.

The Saskatoon Mustang and Classic Ford club is hosting the 29th International Mustang Meet Friday August 29 to Monday September 1. The host hotel is the Saskatoon Inn. The club requires volunteers to assist with parking and security for this event and to that end a sign up sheet will be passed around at the regular SAAC meeting Tuesday August 26 for anyone to help out. The Mustang club helped during the International tour in late June so this will be our time to reciprocate and help them with their event.

The social committee stated that all that has been previously decided for the rest of the season is set. Any changes will be announced at the appropriate time.

Wayne announced all Barn Playhouse tickets for Wednesday August 27 have been sold and the problem with some tickets having the September 3 date on them has been rectified.

Fred reminded all executive members that he will not be able to attend the Tuesday August 5 meeting and they should read the email he sent out and then decide on a course of action from there.

Ray Fribance told everyone there will be International Tour bags for sale after the meeting tonight for $10.00 each. There were a projected 150 entrants but only had 126 so would like to sell as many bags as possible to cut down on storage. These tour bags contain a dash plaque, lapel pin, 28 page tour booklet, 2 laminated placemats- Derby car ad & collage of entrants’ vehicles as well as list of participants.

Jack Harris was on the International Tour committee and thanked everyone who assisted the committee as volunteers. He also spoke about being on the North Battleford SAAAC tour and going to a beautiful museum in Radisson. If you are ever in the area try to get to see this place. Jack also spoke of club member Ritchie Rasmussen, who as most people know is never one to back away from helping someone, and his recent hospitalization due to a vehicle accident. Ritchie was in La Ronge assisting to install an overhead door when on the return trip home on the highway the truck he was a passenger in rolled after hitting an approach. Ritchie had no broken bones but has quite a lot of bruising and other trauma. Jack will let us know of any changes as he can. Jack also stated Bob Reynolds had passed away.

There was a sign up sheet passed around tonight for volunteers to help with parking for Super Run Saturday August 2 and Sunday August 3.

50/50 draw was won by Jim Berg. The amount was $36.00.

MEMBER NAME TAGS- Ray Fribance has some new ones as well as old ones not picked up. He read out the names on the tags he has to see if anyone was present this evening to pick them up. He also has a list of new members who require a tag to be made. If you don’t have one perhaps Ray has it or will need to put you on the list for a new one.
