LABORATORY ASSISTANT

BUSINESS SKILLS LAB

DEFINITION

Under supervision, to perform a wide range of responsible instructional support and clerical duties related to the operation of the Business Skills Laboratory, and to do related work as required.

CLASS CHARACTERISTICS

Positions in this lab require working closely with faculty members in providing instructional assistance to students enrolled in the Business Skills Laboratory program. All personnel must have a thorough knowledge of the following: typing equipment and typing methods; a variety of office machines; competency in English grammar, composition, and punctuation; knowledge of basic math. Assistant must exercise good judgment and initiative in aiding students, correcting and recording completed work and tests, and in the clerical operations of the Business Skills Laboratory.

RESPONSIBILITIES

General: Opens/closes lab; connects phone, answers calls, and records messages; organizes supplies, test answer books, and record books; maintains hours on non-credit printout hourly/daily attendance; serves as a general receptionist, greeting students and registering new enrollees; assists in setting up individual programs for students and disseminates information as needed; duplicates and collates; assists with maintenance of the laboratory equipment; types and applies labels to folders as needed for program students; inventories supplies and performs minor housekeeping chores within our area when needed; attends staff meetings; types lists, forms, and memoranda and performs other routine clerical tasks; may independently supervise and maintain order among students using the Business Skills Lab; counts, records, dispenses, and shelves books and laboratory materials; expedites the smooth operation of the lab and coordinates all procedures.

Typing: Informs and assists students with individualized typing program requirements; instructs students about typewriter equipment and laboratory procedures; checks, reviews, calculates, and records typing scores; develops innovative and improved techniques where needed.

Office Machines: Schedules students on machines; assists new students individual1y with machines such as 10-key adding machines, electronic display and printing calculators, electronic cash register, transcription machines, and duplicating machines; helps students with written directions; distributes tests as needed after each section, times students, checks tests, and records grades; gives remedial instruction as needed.

Accounting: Gives individual aid to students who are experiencing difficulties in comprehending the accounting process; distributes and checks tests, averages and records grades.

English: Distributes test booklets, checks and records test scores; helps with use of resource materials; proofreads and gives advice regarding correct form and grammar for resumes, application letters, follow-up letters, etc.; corrects verbal grammatical errors of students.

Math: Individually assists persons who are experiencing math difficulties such as decimal placement, percentage computations, proration, and fractions; incorporates math with machines for business application; dispenses and corrects tests; records and averages grades.

Shorthand: Dispenses tapes and cassette players; records student progress.

MINIMUM QUALIFICATIONS

Knowledge of: Accounting; electric typewriter operation and maintenance; correct English usage, spelling, grammar and punctuation, business correspondence styles and formats; business math--basic math, decimals, fractions, percentages, etc.; business machines--calculators, transcription machines, etc.; cash register (electronic); filing rules and methods.

Ability to: Type at a rate of 50 net wpm from a clear, legible copy; work with a minimum of supervision; assist students in the Business Skills subjects; receive informal supervision from several instructors; exercise initiative and good judgment in a variety of procedural situations; understand and carry out oral and written directions; locate resource material; develop and maintain cooperative relationships with those contacted during the course of work.

Education and Experience: Completion of business classes leading to an associate of science degree in secretarial science, office management, or a closely related field, and one year of clerical work experience.

or

Graduation from high school with courses in secretarial/business studies and three years responsible clerical experience in the areas of need. It is necessary that a course of study at the Business Skills Lab or similar program have been completed prior to employment.

A sensitivity to and an understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.
