SUMMARY: Under the direct supervision of the Warehouse Manager II, the Materials & Stores Supervisor II is responsible for the daily operations of the Clothing Distribution and Maintenance Warehouse area. This position supervises the Clothing Distribution Materials & Stores Supervisor I’s in the exchange of inmate’s soiled clothing for clean; delivery and pick up of clothing from the institution laundry; ordering clothing, bed linens, and mattresses for the inmate population. This position supervises the Maintenance Warehouse Materials & Stores Supervisor I in receiving, issuing, ordering and physical inventories. Maintain order and supervise the conduct of inmates assigned to Clothing Distribution and Maintenance Warehouse. . Inform supervisor of any issues or problems that may arise.

WORK HOURS: Monday – Friday 0730 thru 1530

(Position may require incumbent to work flexible hours and/or overtime).

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING (other duties may be assigned):

40% Guide, train, instruct, direct, monitor, evaluate, and supervise the Materials & Stores Supervisor I’s in the performance of their duties in relationship to Clothing Distribution and the Maintenance Warehouse. Ensure training and/or safety procedures are adhered to.

25% Oversee, ensure, or perform the ordering, issuing, and distributing of clothing product as necessary throughout the institution. Maintain adequate inventory of all clothing and other items for the efficient operation of Clothing Distribution. Maintain all records pertaining to Clothing. Coordinate Clothing Distribution activities with Prison Industry Authority Laundry, Custody, and Medical to ensure smooth clothing operation.

25% Oversee, ensure, or perform the ordering, stocking, issuing, and physical inventories using SAP/BIS program for the Maintenance Warehouse. Maintain all records pertaining to the Maintenance Warehouse.

5% Maintain security such as inspecting premises for contraband; i.e. weapons, illegal drugs and stolen merchandise. Prevent inmate escapes and injury to them to themselves or others or to property; maintain security of working area and work materials. Responsible for maintaining proper key, tool, and vehicle accountability and security.

5% Act in the capacity of the Warehouse Manager II in his/her absence.

SUPERVISORY RESPONSIBILITIES: (8) Materials & Stores Supervisor I’s

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactory. The requirements listed below are representative of the knowledge, skills, and or ability required. EDUCATION AND/OR EXPERIENCE: One year of experience performing the duties of a Materials and Stores Supervisor I (Correctional Facility) or Materials and Stores Supervisor I in California state service. OR II Three years of experience in a storeroom or warehouse in work involving the receipt and issuance of a large volume of varied commodities. (Experience in California state service applied toward this requirement must include at least one year in a class at a level of responsibility at least equivalent to Materials and Stores Supervisor I.)

KNOWLEDGE: Modern warehousing methods and practices, including the keeping of receiving, shipping, and inventory records; freight rates and classifications; Office of Procurement specifications; regulations involved with consolidated freight shipments, stock array systems; freight claim procedure; operation of motorized material handling equipment; inventory and quality control. In addition to the above, the Department's Affirmative Action Program objectives; a manager's role in the Affirmative Action Program and the processes available to meet affirmative action objectives.

ABILITIES: Read and write English at a level required for successful job performance; perform heavy physical labor; estimate possible future demands of various supplies based upon past needs; direct the work of others; keep accurate records and prepare reports of work done; analyze situations accurately and take effective action; learn the operation of forklifts and other types of motorized material handling equipment. In addition to the above, determine whether incoming supplies meet the standards set up in the Office of Procurement and agency specifications; effectively contribute to the Department's affirmative action objectives.

CERTIFICATES, LICENSES, REGISTRATIONS: Valid California Drivers License

ADDITIONAL DESIRABLE QUALIFICAITONS: Education equivalent to completion of the twelfth grade; completion of college-level work in the fields of accounting and/or business administration.

SPECIAL PERSONAL CHARACTERISTIC: Strength, good physical agility, and willingness to do heavy manual labor.

Stooping/Bending/Kneeling/Crouching: Frequently – while inventorying, consolidating, organizing, packing and unpacking materials.

Reaching in Front of Body: Frequently – while posting documents into the computer, opening boxes, stocking shelves, pulling orders, opening and closing doors.

Reaching Overhead: Frequently – while loading and unloading trucks, pulling stock from top shelves and general housekeeping duties when needed.
