Creating Transcriptions from YouTube Videos

You can easily copy and format YouTube captions into Word document transcriptions. This process is recommended to ensure accessibility for all videos.

Copying YouTube Video Transcripts YouTube automatically provides captions for uploaded videos. While these captions are not 100% accurate and require manual review, the software used to create these captions is continually improving. QU Online recommends speaking clearly and using a microphone to ensure that your voice is clear and captioned accurately. To copy the automatic YouTube transcripts, follow the below instructions. This process works for your own uploaded videos. Please note that videos uploaded by other users may not have captions.

1. Navigate to your uploaded video. Underneath the title, you will see "Like", "Dislike", "Share", "Save", and an ellipsis (...). Click the ellipsis, then click "Open transcript".

2. A transcript will open in the top right of the screen. Clicking the vertical ellipsis will give the option to toggle timestamps. If you want to provide a document transcript, you should disable timestamps unless a student requests them.

3. At the bottom of the transcript is the current language for the captions. If necessary, click it and change it to "English (Automatic Captions)" if the automatic captions were used/edited, or "English" if the captions were written from scratch.

4. Highlight your mouse over the text, then click and drag downwards in the caption box to highlight all of the text. Then, copy the text and paste it into a Word document by right clicking in the document and choosing Paste as Plain Text.

You can further format your videos to remove spacing and line breaks. This will create one paragraph of text, which you can easily break down into smaller sections after reviewing. Please view the below areas pertaining to PC or Mac.

PC: Formatting YouTube Transcriptions

1. In your Word document, click the "Replace" button under the "Home" ribbon (CTRL + h). 2. Under "Find what," type in ^p 3. Under "Replace with," enter one space. 4. Click "Replace all." 5. If you see any extra spaces throughout the document, you can return to the "Replace"

area you accessed in Step 1. 6. In the "Find what" box, press the spacebar three times. 7. In the "Replace with" box, press the spacebar once. 8. Click "Replace All." 9. The document should be finished! Please note that you will have to manually review the

document for paragraph and sentence structure. You can now upload this into Blackboard or use it as a script to recreate videos.

MAC: Formatting YouTube Transcriptions

1. In your Word document, find the search area on the top right of the screen. Click the small dropdown just to the left of the document search box.

2. When "Replace" comes up, click in the text box underneath "Replace." A menu will appear. Click the first option, "Paragraph mark," or type ^p.

3. Under the next step, "Replace with," enter one space. 4. Click "Replace All." 5. Now, you can clean up the document by getting rid of extra spaces. 6. Return to the "Replace menu" that you accessed in Step 2. 7. In the "Replace" box, press the spacebar three times. 8. In the "Replace with" box, press the spacebar once. 9. Click "Replace All." 10. The document should be finished! Please note that you will have to manually review the

document for paragraph and sentence structure. You can now upload this into Blackboard or use it as a script to recreate videos.
