A MEETING OF THE VESTRY OF ALL SAINTS EPISCOPAL CHURCH, LEHIGHTONWAS HELD ON MAY 29, 2020, 10:00 A.M.VESTRY MEMBERS PRESENT:Cheryl Ann Ault, ’23, Senior Warden; Cyndi Levis, ’23, Junior Warden (via phone);Jillian Miller-Mallory, ’21, Clerk of Vestry; Darlene Hagenbuch, ’23, Outreach; Jennifer Vandermeer, ’23, Finance - Joseph Evanko, excused absence, workingSTAFF PRESENT: Ginny Fairchild, Housekeeper; Cindy Mack, Organist Choir Director; Louis Bugno, Parish AdministratorPARISHONERS PRESENT: Clare Fox, Altar Guild; Kathy Miller, Community MealThe meeting was called for the purpose of approving a plan to re-open our building including offices, and meeting areas and specially to include our plans for a worship service. After voting on the document our Senior Warden will present the document to Bishop Kevin and his staff for approval.All Saints, Lehighton, PA – Plans to reopenSince we are currently in the ‘Yellow Zone’ of the planned re-opening of the Commonwealth of Pennsylvania it is our plan to open our Parish office three days a week beginning June 9, 2020. The office will be open Tuesday, Wednesday and Thursday 9:00 A.M. until 3:00 P.M. Small groups that work with the Parish Administrator will be permitted to meet while always adhering to CDC and the Commonwealth’s guidelines for safety at meetings These same guidelines will be observed in the Parish officeIt is our hope to have TWO worship areas prepared to begin worship on the Second Sunday After Pentecost June 14, 2020. Our Moyer Hall is used each summer beginning the middle of June for worship since it is air-conditioned. We are able to maintain the cleanliness of our main worship space should it be needed for overflow(Some of the following items refer to both areas other items pertain only to the main worship area, those items are referenced with an (* asterisk). Remove all prayer books and hymnals from each pew.* (Louis, Ginny, Cheryl Ann)Remove toys from the back of the church.* (Louis, Ginny, Cheryl Ann)Designate where those attending are to sit.? Starting from the front Gospel side of the sanctuary to the back.? Leaving families sit together and have 2 pews between each row of worshippers. Some pews would be designated for families. * (Louis, Ginny, Cheryl Ann)Moyer Hall will have single chairs appropriately spaced and also an area where families can sit together. (Louis & Ginny)There are a few questions here. If we run out of space can we have overflow seating in an adjacent room for approximately ten people? Or move additional worshipers up to our main worship space? Does 25 people consist of 25 total in the entire church or 25 in each space (ex: Moyer Hall and sanctuary)??We will clean and disinfect the church sanctuary, Mary Packer Cummings Room, and upstairs restroom. Our Housekeeper will clean all areas of the church building including Moyer Hall and will disinfect areas using appropriate disinfecting sprays. (Ginny)We will continue to print Sunday service booklets for each member. This is done for every service by our office staff.Church members will be instructed to call parish office and register to attend for a specific service date.?The Parish Administrator will remind everyone who calls about social distancing and the need to wear a facial covering. Keeping in mind there is a limit of 25 person total in the yellow phase we realize that number certainly will change as we move into the green phase. If members know in advance they cannot attend, they will be asked to inform the parish office.? The parish administrator will contact the next person wishing to attend should there be a waiting list and inform them that a space is available. It is hoped that we can have our separate overflow worship space approved to accommodate more who wish to worship that day. Refer to #3 above.There will be one entrance/exit into church.? This will be on Coal Street as we worship in Moyer Hall. Ushers will be scheduled by and given instructions by Louis.Our musician is responsible for bringing/removing her belongings into/from the worship area. The musician will play a prelude and postlude. There will be no singing of hymns. There will not be any vocal solos. Acolyte(s) will perform duties as normal, ensuring he/she maintains a safe 6-foot distance from priest or worship leader, lay reader, and musician.? He/she is responsible to disinfect the candle lighter before and after the service. (The Altar Guild will make sure that a disinfectant is available for this purpose.)Lector/Reader is to sit near the lectern. Each person arriving for worship must wear a facemask before entering and during the service. The parish will have adequate face masks (office will supply) available should anyone forget theirs. Proper face covering of mouth, nose, and chin must be followed.Each parish member will be asked to use hand sanitizer, as they are able, as they enter the building. New bottles will be purchased (Cheryl Ann will supply). Disposable gloves will be available for those who would like them especially for those who cannot use hand sanitizer.? The ushers will instruct those who arrive for the Service of Morning Prayer (later the Holy Eucharist) where to sit.The usher(s) will record the name and contact information of each member/GUEST attending. The usher(s) will be provided with a list of those pre-registered so that those individuals can be checked off as having attended.At beginning of the service the leader of the service will announce that there will be no physical contact during the Service of Morning Prayer (later the Holy Eucharist).There will be an offering/pledge box at the church entrance, the usher will show those coming for worship where the box is located. As noted previously there will be no hymn singing or chanting of the various parts of the liturgy.At the completion of the Service of Morning Prayer (later the Holy Eucharist), the usher(s) will instruct those who have come to worship when to leave.? The worshipers will bring their booklets and place them in a designated recycle box outside the church. The booklets will be recycled not reused.? The usher(s) will have those who are in attendance leave the building from back to front. There will be no coffee hour, if folks would like to talk to each other the ushers should suggest to do so on the lawn of the church or the breeze-way at a safe distance.The entire service should be recorded (if possible) and be placed on Facebook and/or church websites. The service will also be available in printed form as it currently is should anyone request it.Women’s AA meeting will continue to meet through Zoom, until their members request a face to face meeting space.Girl Scouts will not meet until the fall of the year.The Counters on Tuesday will begin as they are able and feel comfortable once the building is re-opened.The Holy Folders (Thursday) will begin as they are able once the building is re-opened.The choir will resume rehearsals as it is deemed safe by the Diocese.Our Community Meal will continue as a drive through event, dates areJune 18NO JULY MEALAugust 20VESTRY VOTE this document was approved by unanimous vote one member would have liked every other Sunday worship plan based on the last name.
