Governor Denise welcomed everyone to Peterborough

Governor Elect Jennifer opened the meeting with an Invocation.

Governor Denise introduced the head table,

• made a special note of the pronunciation of her last name, Nacev and S/T Marijke’s first name. If pronunciation is incorrect going forward, you will be required to make a donation to CCOF

Governor Denise clarified the voting members for this meeting are:

Approval of Board of Directors Minutes

Approval of the 2017-2018 Financial Statement, presented by PDG Gord Holly

• PDG Gordon Holly presented the Statement to be reviewed by Auditor as of October 5, 2018

• It was noted that budget was a break-even budget

• Moved by: Sunny Mehta, Second by Vicki Mains-Hill

Approval of the 2018 Convention Report as presented by IPG Tony Edge

• Up Your Kilt in Cornwall was fun and exciting and a wonderful success

• 89 Registrants in attendance; 81 at the Old Timers Breakfast; 88 at the Governor’s Dinner; 8 JOI Members; 7 Club President-Elects; 2 Club Secretary Treasurers; 7 LGs; 3 LG Elects; 21 Club Reps

• A net income of $1,558.81 will be passed onto Governor Denise to be used during the 2018-2019 year

Approval of the 2018-2019 Budget Proposal as presented by Governor Denise

• It was noted that no one can “double dip”, meaning if an Optimist is holding more than 1 position, they will only be allowed to expense funds for one position

Approval of the Auditor for the 2018-2019 Administrative Year

• Governor Denise noted that she does not have an auditor at this time for the coming year. The one we have used in the past is no longer available, and when researched into a new one, it was found that the cost is approximately $3,000-5000.

• Governor Denise will be speaking with other Districts to see if they can help

• Some Members noted at the Executive Meeting may know a CPA, should have someone to approve by 2nd Quarter

Approval of the Depository and Signing Officers for the 2018-2019 Administrative Year

• Motion presented by Governor Denise to have the following Optimists as signing officers (2 signatures): IPDG Mac Rumble, PG Gord Holly, S/T Marijke Coffa and herself, Governor Denise

• Moved by PDG Mac Rumble, Second by G/E Jennifer Krizel

Approval of the New 2018-2019 A&A Program as presented by Barb Holly

• New recognition (including first timer points) with a star

• Graph will be done for next quarter to show

Committee Reports:

• Canadian Children’s Optimist Foundation as presented by PG Anne Donkers

o Asking for funds through your Clubs – do you have a rep?

o Sending a letter to all presidents that don’t have a rep yet

o $690 – now over $2,000

o Goal is $25,000

o Some Funds from the Pete’s game will go towards CCOF

• Candidates Qualifications as presented by IPG Tony Edge

o No names have come forward at this time

o Anyone considering, please get a Club recommendation and a second Club reference

• Conference Report as presented by Gabriella Van Hooydonk

o 76 attendees at 1st conference

o 18 tickets available to tonight’s Pete’s game (out of 50)

o Table will in the arena at Pete’s game to raise funds for CCOF

o Thank you to Best Western for the great service and lunch

o Next Conference date is February 8 and 9 in Hamilton

• Essay Contest as presented by Peter Krizel

o Subject is When All the World’s Problems are Solved, is Optimism Still Necessary

o All Winners will need to be submitted by February 28

o The contest is open to students under age 19 as of October 1st of the current Optimist International Contest year (October 1 – September 30) and is not enrolled as a degree seeking student of a post-secondary institution. Students must enter in the District in which they reside

• Growth/Membership as presented by Brett Santacona

o As of November 8, one new club made

o 43 new members

o currently at -2, 3rd in Region for growth

o Award for September - +3, Fort Erie

o Individual, Club and Zone Growth incentive (+10 members, or clubs under 20 reach 20, build a new JOI or adult club)

▪ Club with most growth - $250 towards dues

▪ Zone with most growth - $250 Visa gift card for LG

o Individual awards for sponsoring a member, submit a story, get a pin

o Fast start award – end of quarter 2, build 2 clubs and +15 members

▪ All members will be able to go to International Convention for $100

▪ First club has been built, 2nd Club is in the works

o Awards given out for sponsoring new members (last year)

• Honour Clubs as presented by Lauralee Reily

o Goal is to have half of the district be honour club

• District Convention as presented by Gabriella Van Hooydonk

o August 9 – 11 in Burlington (Newfie Kitchen Party)

o Ugly stick – find out what it is and make one and bring it to convention

o Kitchen Party theme – maybe the Governor will play the piano and play skits and nephew songs and drink screech

o Each conference there will be more information

• JOI as presented by Mathew Nacev and Julia Cooper on behalf of Shea

o Julia is on the International Board and is starting a Fundraising to help JOI members to come to convention that can’t afford to

o Newmarket & Keswick Clubs – potential of new JOI clubs

o Mathew is working with OI to bring JOI and Adult clubs into areas that don’t have clubs

o 6 JOI Members with 4 Clubs represented at this weekend’s conference

• Junior Golf as presented by Dennis Kwasnicki

o District Tournament is June 15 at Caledon Country Club in Inglewood

o Deadline is June 8 and cost is $80 per golfer, which includes green fees, lunch and prizes

o Any Club that sponsors $200 or more receive a Hole Sponsorship with club recognition at the District Tournament

o Winner in Caledon 2018 for District – Bevak (sp?) and went to Florida; 183 golfers and came in tied 19th overall

o Bevak spoke about his experience in Caledon and Florida

• Leadership Development as presented by Nina Strickland

o Developed a program for the year

o Susan Fix did the workshops for the 1st conference

o 2nd Quarter will be Lego workshop, more information to come

• Oratorical as presented by Jeff Miller

o Subject is “Is There a Fine Line Between Optimism and Reality?”

o Contest will be held at the 3rd Quarter Board in Oshawa on May 11

o Zone winners need to be submitted to Jeff by April 21

New Business

• Governor Denise mentioned international Convention in Louisville Kentucky from June 30 – July 2, 2019

o All Districts were given coloured jackets to represent the silks for jockey’s

o Reminder about $100 registration fee by building 2 clubs and +15 members for the District

• Governor Denise handed out We Believe in Making a Difference Awards

o Select members in our Clubs that make a difference, but don’t always come out to Zone or District meetings

▪ Jason from Bolton – special Olympics attending in Dubai

▪ Jim from Gratham St. Catharines – 50 years Optimism

▪ Henry from Barrie – charter member and started the soccer program

▪ Susan from Ft. Erie – worked with Port Colbourne and Ft. Erie to be a liaison with the Zone LG who doesn’t have a computer

o Governor Denise is asking clubs to give her member names that don’t normally get recognized

• JOI members thanked Susan Fix for her training

• S/T Marijke mentioned that the cenon@ email address as noted on the Club invoices is not valid, please use mcoffa@cogeco.ca to contact District Secretary/Treasurer

• PG Gord noted that Governor Denise was not in the Directory, Marijke will add her to the Directory

• Governor Denise showed the video made by Andrew Krisel on Clubs with Exceptionality, new adult clubs with special needs

• Nina suggested to submit the video to OI, Jennifer is working on the article

Next General meeting will be February 9, 2019 in Hamilton
