Memphis Grocery, Dairy, Frozen Sample Merchandise Form

Return no later than December 19, 2006

Orders for grocery, dairy, or frozen samples for display at the AWG food show should be mailed or faxed to Rhonda Loftus and received no later than five weeks (Spring show six weeks) prior to show date. NO EXCEPTIONS. Any late forms will be faxed back to the vendor/broker and you will be responsible for your own samples. Grocery merchandise will be delivered to the food show on an AWG truck, by 7:30AM, two days prior to the show. Perishables will be delivered by 7:30AM one-day prior to show day. A refrigerated truck will be on location throughout the show for overnight storage of perishable items.

New Items – Any vendor that has rolled out a new item since the previous food show, please note that one case of product will be ordered and billed to the vendor for display at the show. AWG actively promotes all new items at each of our shows with a special product display and “New Item” informational packet for our retailers.

All merchandise remaining on the truck at 4:00 PM show day will be donated to the Memphis Food Bank.

Important: A separate sample order form must be completed for each vendor number.

If you are ordering a special pack or new item, please verify the product is available for shipment ONE-WEEK prior to show date. If special arrangements need to be made, it is the vendor’s responsibility to contact the appropriate Inventory Control Specialist with instructions. Thank you.

Vendor Packets & Name Badges:

Vendor information including name badges, calendars, a booth listing, and various Food Show information will be available at set up on Monday, January 29, 2007. If you do not have a name badge on show day, you will be required to enter through the front doors and stop by the registration booth. Any vendor who has not pre-registered will be required to show a company name badge, business card etc. in order to obtain a proper show name badge. Any vendor not wearing a name badge will be asked to leave the show floor until proper ID is secured. All vendor representatives should have picked up name badges and be ready to sell by 8:00am SHOWDAY!

Parking:

Complimentary parking for all vendors is available at the Agricenter. Please do not park, load or unload in the Agricenter Employee Lot. *****Please DO NOT park in section B*****

This area is reserved for our members.

Bulletins:

Bulletins may be picked up after 1:00 p.m. on set up day at the AWG Information Booth. If you are missing any bulletins, please contact an AWG representative at the Information Booth. Any vendor that did not attend vendor proofs or order sessions and has a correction or change on set up day will be charged an additional $50.00 per bulletin for any corrections that are necessary. Any vendor missing a bulletin that did not attend vendor proofs or vendor order sessions will be charged an additional $50.00 per bulletin to print a bulletin.

Security & Samples:

AWG will provide 24-hour security at the exhibit hall. Credential checkers will be checking name badges the day of the show. Vendors need to enter through the show entrance AND have the proper badge to be admitted to the show room floor. Vendors may remove only their product from the showroom floor. Security will be instructed to check name badges for anyone carrying samples out of the showroom. Any sample products not removed at the close of the Food Show will be donated to the Memphis Food Bank. Thank you in advance for your donation.

Booth Equipment:

Please make sure any leased equipment i.e. coolers, hot cases, fryers etc. are clearly marked with the vendor/broker name and the name and phone number of the company picking up the equipment on break down day. Any leased items remaining in the exhibit hall after our contracted exit time of noon the day following the show, will be disposed of by the Center at the expense of the vendor/broker.

Memphis Bulletin Procedures

Grocery, Dairy & Frozen Departments

All bulletins will be produced through the AWG Mainframe system and printed by the Memphis Division. The price per bulletin (3 part copies) is

as follows:

75 – 100 = $ 30.00

150 = $ 45.00

200 = $ 60.00

75 sets will be ran unless additional copies are requested.

Please mark your calendars to be at AWG on the proof dates listed on the “Booth Application” included in this packet. You are responsible for proofing your bulletins! If you do not attend these proof sessions and your bulletins are wrong at the food show or are not printed because you failed to attend the proof session you will be charged an additional $50.00 per bulletin for any corrections or reprints. It is your responsibility to make sure your bulletins are correct, are included in the member preview, and correct quantity is ordered.

It is essential that you use only the final copy of your food show bulletin that you will receive at the bulletin pickup to start selling. You will be responsible for any orders turned in on incorrect bulletins!

Electrical / Telephone or Internet Service

Above services are NOT INCLUDED IN YOUR BOOTH PRICE. No electricity, telephone or Internet service will be provided without filling out the attached appropriate forms. Please submit these forms directly to the Agricenter with payment.
