Description: The Administrative / Human Resources Specialist is responsible for providing high level administrative, clerical and human resources support to the Leadership Team. This position also provides back up to the Payroll / Human Resources Specialist.ESSENTIAL DUTIES and RESPONSIBILITIES: include the following. Other duties may be assigned.Create, track and update all agency forms as requiredUpdate and maintain the agency employee website (Intranet)Trouble shoot, issue, maintain inventory of all agency cell phonesReception duties of covering the front door, greeting and assisting guestsDaily receipt of incoming checks and prepare depositsDaily distribution of incoming mailIn collaboration with the External Affairs Director, tracking of all incoming donation and updating and maintaining? Donor DatabaseTrack all sales of tickets for annual Comedy Night EventAssist Leadership Staff with projects as requiredOrder, Track and Distribute Agency Bus PassesOrder and Maintain Office and Kitchen SuppliesData EntryFilingAssist Leadership Staff with projects as requiredEnsure the protection and confidentiality of all Protected Health Information (PHI) by following all policies and procedures in the TLCS HIPAA Manual.Scan, maintain and rename files of incoming resumes.Maintain an on-line recruitment tracking system and a six-month pool of qualified job applicants.Create and maintain TLCS identification badges. Other duties as assignedEnsure the protection and confidentiality of all Protected Health Information (PHI) by following all policies and procedures in the TLCS HIPAA Manual.Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Education and/or Experience: High school degree or Associates Degree preferred 5 years Office / Administrative experience preferred.Intermediate or Advanced knowledge in Microsoft Office suite Computer Skills:Must be computer literate with experience in word processing, excel spreadsheet and email familiarityOther Skills, Abilities, and Job Requirements: Must be able to handle daily responsibilities and projects with minimal direction Must have the ability to safely operate office equipment where necessary Ability to manage one’s own time and coordinate the priorities of work orders and other responsibilities in order to ensure timely competition of required duties Ability to manage one’s own tasks and proactively communicate about those tasks with the necessary parties Regular, predictable attendance is requiredAbility to get along and work effectively with others Ability to pass clearance of the Federal Bureau of Investigation (FBI) and/or Department of Justice (DOJ) background screenings.Certificates, Licenses, Registrations: Possess a valid California Driver’s License and current vehicle insurance. Driving record must meet, and continue to meet, the underwriting standards established by the generalized driving guidelines used by our insurance broker.
