Forms to Use for Registration and Order Taking

The registration and order taking process can be confusing as to which forms to use. This document is meant to serve as a reference to understanding your options and how they relate to Arbonne’s official Policies and Procedures.

StartNOW Independent Consultant Application & Agreement form

This can be separately purchased as Business Aid Item # 9513. There are 10 in a pack for $2.25.

This is a 3-part 2-sided form that must be used to register both Consultant Consumers and Consultant Business Builders.

It is Arbonne policy (see Section 2.2, “Filling Out and Submitting Enrollment Applications” of the Policies and Procedures) that new Consultants either submit a signed hard copy of this application to Arbonne or that the new Consultant personally submit the application online. Although this is Arbonne’s legal statement it is sometimes impractical to have your new Consultant Consumers actually get online and perform the process. It is much easier for you to collect the necessary application and order information and submit it for them online. This is especially true for people that you’ve met through a group presentation that want to be become Consultant Consumers at that presentation. Therefore, to meet the legal requirement of proving that you have informed your new Consultant Consumer of the Terms and Conditions of this agreement, a signed copy of the application form should be retained by both you and the new Consultant Consumer.

If this application was being mailed in to Arbonne and you were not registering your new Consultant online, the third part/copy of the form would mailed to Arbonne.

Be sure to explain that an additional $7.00 Shipping and Handling Fee is added to the $39 fee to become a Consultant if the product order being placed, at the time of registration, is not $325 or higher. Therefore, you may need to calculate the Order Total on this form appropriately.

You can download and print this form from the Internet Consultants Home Page / Tools / Download Forms. However if you use the downloaded form, you will need to have your new Consultants sign two copies – one for them and one for you. You will also need to be sure that the Terms & Conditions found on the back of the form are printed and included with the copy retained by the new Consultant.

For your new Consultant Consumers, this form is used in conjunction with the Consultant Product Order form (discussed below).

For your new Consultant Business Builders, this form only needs to contain the person’s name, address, birth date (which you may want to keep track of), and their signature and date signed. Since you will be helping them place their first order online, you will not need to use the Consultant Product Order form.

Use of this Independent Consultant Application & Agreement form is mandatory for registering all Consultants.

NOTE: Consultants registering as a Partnership or Corporation will not register online. They will instead need to fax a copy of this Independent Consultant Application Agreement, a completed Business Entity form, and their Incorporation papers to the Arbonne business office. And after Arbonne approves their registration, place their first order. Call Arbonne for details.

Retail Price List & Order form

This can be separately purchased as Business Aid Item # 9511. There are 10 in a pack for $3.50.

This is a 3-part 3-page form that may be used when you are selling Arbonne product to retail Clients at the full Suggested Retail Price (SRP). Note that the 35% Consultant discount is not mentioned on this form.

It is Arbonne’s policy (see Section 6.2, “Sales Receipts” of the Policies and Procedures) that you must provide your retail Clients with two copies of an official Arbonne sales contract and receipt executed by the retail Client at the time of the sale. These receipts set forth the 45-day money-back Client Satisfaction Guarantee as well as any consumer protection rights afforded by provincial laws. Arbonne’s policy suggests that you must orally inform the buyer of his or her cancellation rights (see Section 8.1, “Client Product Satisfaction Guarantee”). Arbonne’s policy also suggests that you must maintain all retail sales receipts for a period of two years and furnish them to Arbonne at the Company’s request.

This form serves not only as a quick and simple method for the retail Client to simply check off what they are purchasing but it is also the official 2-copy receipt for retail Clients.

To complete this form:

1. Total the dollar amount of the products the Client wants to order and place that total in the Product Total box in the Client Order Summary section of the form.

2. Be aware that this form does not separately list the Bonus Products (Cleansing Gel, Body Lotion, Hand Cream, and Herbal Foot Cream) that are available to a client for $8 for each $65 SRP of their order. Note that there should never be more than one increment of $65 to their order, because if they purchased $130 or more they should have registered to become a Consultant. If applicable, place the $8 bonus total in the Bonus Total line and indicate somewhere on the form which of the 4 products they have chosen.

3. There shouldn’t be any specials available to a retail client because their total order will be too small. Therefore, the Specials Total box is not used.

4. This form does not provide you with a chart to calculate Shipping & Handling. You will need to refer to either a Consultant Product Order form or a Retail Order Worksheet to determine this cost and place that amount on the Shipping & Handling line.

5. Sum the above totals and place in the Subtotal box.

6. Calculate PST and GST taxes and place on the appropriate line.

7. Add the taxes to the subtotal and place in the Order Total box.

8. Determine method of payment and if applicable, collect the appropriate credit card details.

9. Indicate expected delivery time, if you choose.

To save money, this form can be downloaded and printed from the Internet Consultants Home Page / Tools / Download Forms. But be aware that you will not be able to keep a copy for yourself and also provide 2 copies to the Client without rewriting the order 3 times.

Use of this Retail Price List & Order form is not mandatory but is recommended when you are selling retail.

Retail Order Worksheet

The Retail Order Worksheet is found at the back of the Arbonne catalogue and may also be used to record retail sales. It can be used as a simple replacement for the Retail Price List & Order form.

If you use this Worksheet, you will not be able to meet the “official” Arbonne policy of providing your Client with two copies of the receipt nor the satisfaction guarantee details or the consumer protection rights. However, most Arbonne Consultants waive the “official” requirement and use this form for convenience. If you are doing group presentations, it will be much easier for a participant at the presentation to record the items they are interested in purchasing right on this worksheet during your presentation with the catalogue in their lap. If your retail Client requires a receipt at the time of sale (which most don’t), you will need to quickly copy the ordering and billing detail onto another form that you will use when entering the order into your computer and leave them with their Retail Order Worksheet attached to their catalogue.

Completion of this form is fairly intuitive. However when Bonus Products are included, calculating the Order Total can be confusing. Tax is calculated on the full suggested retail price of the Bonus Products not the $8 special offer. Therefore, here are the steps needed to calculate the final Order Total:

1. Sum the Total Price column of the products to be ordered and place that total on the Retail Price Total line.

2. If any Bonus Products are to be purchased, place a quantity next to the specific bonus product in the grey Bonus Products section of the form. Record the full suggested retail price of that product on the Bonus Product Retail Price line. Record the $8 promotional price on the Bonus Product Total line.

3. Calculate shipping and handling by summing lines 1 and 3.

4. Calculate taxes by summing lines 1 and 2.

5. Calculate the Order Total by summing lines 1, 3, 4, 5 and 6.

Note that the Retail Price List & Order form calculates taxes by using the $8 Bonus Product amount that the Client pays not the full suggested retail price. Therefore, the Arbonne Consultant is left holding the bag for about $2.10 for taxes that he/she will pay to Arbonne when the order is placed compared with what they have collected from the Client on Retail Price List & Order form. Given that the Consultant is making 35% on the products sold, this becomes easy to absorb and form doesn’t go into the detail separating it out as the Worksheet does.

Consultant Product Order form

This can be separately purchased as Business Aid Item # 9507. There are 10 in a pack for $2.25.

This is a 2-part form that may be used to collect detail about an order being placed for a Consultant Consumer or Consultant Business Builder. The Consultant Product Order form lists the products ordered and allows for the 35% discount to be applied. In a way, this is the Consultant version of the Client Retail Price List & Order form. If you are using this form, it is assumed that you have already collected the necessary registration information, identified the new Consultant fee, and have gotten the Independent Consultant Application & Agreement form signed by the new Consultant.

There is also provision for listing Special Products and Business Aids and to calculate taxes and shipping. Remember that all Bonus Products and Purchase with Purchase (PwP) items are taxed at their full suggested retail price (SRP) value. The structure of the form will help you through the process of calculating this correctly.

For your new Consultant Consumers, this 2-part form may be very helpful for you to calculate the amount due at the time of purchase, especially at group presentations. It contains both consultant address and shipping address information and provides you with a quick way of supplying the new Consultant Consumer with a receipt.

To save money, this form can be downloaded and printed, but you will lose the simple ability to have a copy for yourself and a copy for the new Consultant. This actually is not an issue because when you register the Consultant Consumer online and place their order, a detailed confirmation of the order is emailed to them showing the exact products ordered and the cost. This is assuming that you have registered them with their actual email address.

This form does not specifically dedicate a line to listing the $39 or $46 Consultant fee shown on the Independent Consultant Application & Agreement form. Since the final grand total of the order to be placed will include this fee it needs to be added as a line item and the fee added to both the SRP Total column and the Total columns.

This form does not specifically dedicate a line to listing the free gift available to first time Consultants that are placing an order of $130 or more. Therefore, you will need to remember to ask about and record the free gift the new Consultant has chosen. Perhaps the blank line under Additional PwP can be used for this purpose. Since there is no tax or shipping charged on the free gift do not enter any value for it.

Also note that when the order includes a NutriMin RE9 or Intelligence Set purchase, there is no prompt for including the $13 bag for the special Purchase with Purchase price of $6.50. You will need to remember to ask them if they want the bag and record it and its value (under both the SRP and the Consultant price columns) on the form on the Additional PwP line.

If the Travel Set will be purchased, you will need to replicate the $62 in the SRP column into the Consultant Price column and the Total column. Since the Travel Set is never sold at retail, the SRP and Consultant price is the same.

Even though you may have practiced using this form to calculate the final amount that will be due, this form is so complex that calculating the exact amount is difficult. Therefore, you are best to tell your new Consultant that the total you will be calculating on this form is approximate and that they will receive an Order Confirmation via email that will show the exact amount that will be deducted from their credit card.

Consultant Product Order form (continued)

It is extremely tempting to do the data entry yourself for new Consultant Consumers. But by doing so you are creating a dilemma for yourself. In the future you will want your Consultant Consumers to place their own orders by themselves online, at anytime they wish, and without your help. Therefore, if you place their first order for them they will not have been shown how easy the ordering process is to do online. Some people who are tech savvy will think nothing of taking the Consultant ID and pin that was sent to them by Arbonne and jumping online to place their future orders. However, if we want our customers to establish this habit, we may need to provide them with some instruction first. Therefore, if at all possible, you should schedule a time where you can sit with them, one-on-one, at their own computer and have them do the entry of their first order. Be aware that this means that you will need to schedule a time with each person that chooses to become a new Consultant at a Group Presentation. This is actually a good thing because it allows you the additional personal time to discuss their potential interest in the business opportunity.

It will be helpful to prepare a list in advance of the products that a new Consultant wants to purchase so that when you sit down to the entry process it will look quick and easy. Since they will probably witness you performing the registration process first, be sure they know that they will not have to keep registering each time they order.

The fortune is in the follow-up and the reordering. Make sure you make it as easy as possible for your Consultant Consumers to reorder online without your help.

For your new Consultant Business Builders and those Consultant Consumers that you can meet with one-on-one, you will most likely be assisting them with entering their registration and their order online. Therefore, you will probably not need to use the Consultant Product Order form to estimate the amount due. Their exact total amount will automatically be calculated by the Arbonne system as they enter their order online. Some planning and listing of the items to be purchased should still be done before sitting down to the computer but it doesn’t necessary mean you have to use the Consultant Order form to create the list.

Even though some new Business Builders will be so excited about getting started that they will want to get online to register themselves and place their first order, it is still very worth while for both of you to take the time and review this process together. There are always special tricks that you have learned and questions that they will have that won’t surface if they try it on their own without you. You will of course also need to work with them in planning and selecting the appropriate Business Aids to include with their first order before you begin the data entry process.

Remember, you are modeling to your Business Builders what they will need to learn to teach their own Business Builders.

Business Aids Price List

As part of the process of registering your new Consultant Business Builders, you will need to help them choose appropriate Business Aids for their new Arbonne business. The Business Aids Price List is a good form to assist you in your planning. You should not need to purchase the form. Download the latest Price List off of the Arbonne website and print it.

Teaching Your Successline How to Use These Forms

Registering and placing orders is a very important process that a new Business Builder will need to know and it must be completely understood. Therefore, secure a copy of all of these forms and carefully read this document to each of your new Business Builders.

This means that even though you may not be purchasing and using some of these Arbonne purchased forms yourself, it may be a good idea for you to spring for a 10-pack so that you’ll have them on hand to demonstrate with. Your training folder should contain the following:
