Job Summary: The administrative assistant creates a well-run, efficient church office that supports the work of the pastor, staff, and congregation. Also expected is excellent customer service, accuracy in duties, and contribution to a healthy church office environment. This position seeks to support the work of the church, creating a bridge of communication for the purpose of encouraging those within and outside our church walls.

Expectations: Communication/Office

Work with lead pastor to help schedule meetings and organize work flow. Prepare and send out weekly communications via email and communication software Handle the church mail, in and outgoing Answer phone and respond to emails promptly. Prepare weekly worship material. While services are online, prepare an order of service

to be emailed with the link to the service on Saturday evenings. Once in-person services resume, prepare a weekly printed worship aid for each of the two services. When in-person worship services resume, ensure that all worship aids are up-to-date and available in the Sanctuary and Chapel. Manage the church calendar Coordinate with groups (inside and outside of the church) to schedule building usage. Keep the office equipment and resources organized Greet visitors and church members with a warm and professional approach

Record/Financial Administration Manage database and membership records using Power Church software, and our communication software. Update weekly vital signs statistics for reporting to Missouri UMC Conference. Assist treasurer and finance team by managing payroll using QuickBooks, writing payroll and other checks, paying bills and taking care of all associated mailing. Monitor church credit card.

Deal with all vendors and contracts. Order all office, building and other church supplies. Some of these are at the direction of

the Lead Pastor and Trustees. Prepare all required Conference paperwork, such as annual Charge Conference forms and

end-of-year statistics. Keep membership directory up-to-date and review SOP (Standard Operating Procedure

Manual) at least every 3 months.

Online Work with current website administrator to keep the website up to date. Answer all inquiries from website and social media accounts. Manage social media accounts for the church (including weekly post to Facebook, Twitter and Instagram and uploading Sunday services to YouTube).

Job Requirements and Qualifications Associate or Bachelor's degree and/or comparable experience as administrative assistant required Experience with accounting software, Microsoft Office 365 and other comparable online programs required Experience with QuickBooks and Power Church (or comparable database) preferred Experience with social media and community engagement preferred Willingness to work additional hours as needed Friendly, flexible, and efficient approach to work

Other Expectations A criminal history and background check is required and must be successfully completed Regularly sit, talk, hear and visually intercept visitors Work at a desk and computer screen/keyboard for extended periods of time Turn, bend, reach, and occasionally use a step ladder Work in a traditional climate-controlled office environment

Hours: The position averages 30 hours per week. Church seasonal demands will understandably call for flexibility in scheduling overall.

Salary: Hourly wage commensurate with experience

Vacation/Sick Leave: Per the employee handbook. All time off or away from the church on a regularly scheduled work day is to be scheduled in advance with the Pastor.

Supervision: This person will be supervised directly by the Lead Pastor.
