Taking Time Off: PTO and Attendance PolicyJanuary 2020 RevisionAt Norfolk Auto Center and Columbus Motor Company, we know that you work to live and not the other way around. In order for all of our employees to have a good work and home life balance, we hold our employees to standards of attendance that ensure full staff coverage to continue our success and ensure the care of our customers while allowing our employees the opportunity to spend time with their families.Poor attendance or excessive time off requests put a burden on other employees who are forced to work extra hours or additional shifts to cover for absences. In order to make sure that all employees have the opportunity to have a good work and home life balance, we are placing more structure around our time off policy.Probation EmployeeAll employees who are hired are on a 90-day probationary period. These first days on a job are so important to ensure that the new employee both understands how to do their job successfully, but also to help them become a part of our culture at Norfolk Auto Center/Columbus Motor Company. We do not grant probationary period employees time off during their first 90 days. All absences during the probationary period are subject to our attendance policy. Scheduled Personal Days (Unpaid Time Off)Each calendar year, all Regular (non-Probation) employees receive three unpaid Personal Days that they can take off as pre-scheduled absences. For those with PTO, their PTO must be used prior to taking one of these personal days. Exceptions to this rule are only based on other policies that may supercede this rule (i.e. FMLA, Military Leave).Requesting Time OffEmployees must request time off using a Time Off Request Form in as much advance as possible. All requests must be considered by Managers based on other planned absences and the workload of the department. Managers should endeavor to grant requests in a timely manner or must explain to the employee why the request is denied. Managers will deny any requested days off that exceed that employee’s available PTO and UTO as described above. If a manager denies a time off request and the employee is absent anyway, the absence will be considered in light of the attendance policy. All Time Off requests are logged and stored in HR and tracked against available time off.Guarantee Pay EmployeesSome positions hire employees with a guarantee pay for a probationary period of time until the employee can become commissioned. Some employees receive a base pay plus commission. Guarantee pay and base pay will be pro-rated when a UTO day is used or when an employee calls in absent resulting in an attendance point. Manager Flexibility or Manager OverrideManagers have the ability to allow a person to take a scheduled day off by having the employee make up those hours in the same calendar week if it benefits the employee and the dealership. Managers also have the flexibility to let a person miss work without made up hours in the event that business is slow and the employee’s presence is not needed for that shift. In these cases, an available PTO or UTO day is not required but a form must still be turned into HR.Sales ConsultantsSales Consultants, to some degree work as independent contractors. With the exception of those who are being paid their guarantee or off of the time clock, many sales consultants work toward goals and can have flexibility in their schedule as long as they communicate with the Sales Management Team.Attendance PolicyCommunication:Employees are required to speak to their direct manager if calling in absent and may not relay the message through another employee. Each manager can set their own standard and must communicate to employees in their department. In the event that the employee’s direct Manager is not present, the employee must continue attempting to reach their direct manager or that another department manager or must leave a detailed voice message on the Manager’s phone.Allowances:NORFOLK AUTO CENTER / COLUMBUS MOTOR COMPANY allows no more than 8 attendance points in any given 12-month period. Points are accrued as follows:Occurrence typePoint ValueTardy (3 minutes – 59 minutes late)? PointPartial day absence (1 or more hours absent)? pointFull Day Unscheduled or Unapproved Absence. 1 pointSubsequent full day absences in one occurrence? pointNo Call No Show – NCNS7 pointsAfter six months of perfect attendance without the accrual of any attendance points, the oldest point on the attendance calendar or the employee point balance if that balance is less than one point, will roll off of the attendance calendar. Otherwise points roll off one year from the accrual of that point.Flexible SchedulesDepartment Managers can adapt an employee’s schedule to accommodate situations that result in attendance infractions to allow the employee to work an adjusted schedule without accruing attendance points. Such changes should be documented. Flexible scheduling must not interfere with the staff requirements to meet our customer expectations.Coaching and CorrectionManagers will document each occurrence and coach the employee so that the employee is aware of the occurrence. This documentation will take place on the employee attendance calendar.Typical Corrective Action:First Formal Written warning will be issued to the employee after 2 points are accrued without benefit of any roll-off.Final written warning will be issued after accrual of 6 attendance pointsSeparation occurs after the employee accrues 8 points in any given year.Accrual of 2 or more points in any 30-day period will result in the escalation of the corrective action process and will result in a Final warning, with one more point resulting in discharge.NCNS – An employee will immediately be placed on a Final warning.2 Consecutive NCNS – NORFOLK AUTO CENTER / COLUMBUS MOTOR COMPANY will consider the employee to have abandoned his or her job and a voluntary separation will be processed as a Job Abandonment.Exceptions:The HR Department has the ability to make point exceptions to this policy based on human need or other extenuating circumstances. All exceptions shall be documented. Management reserves the right to change or alter this policy in any way.Effective Date:This policy goes into effect on January 1, 2020. Acknowledgement FormBy signing this form below you acknowledge receipt of the new Time Off and Attendance Policy at Norfolk Auto Center / Columbus Motor Company which goes into effect on January 1, 2020.I understand that I must use all PTO before I will be allowed a scheduled day off without pay (UTO).
