Overview of WPC Staff Hiring Process



Staff Hire through an Open to the Public Job Posting

|[ ] |Department contacts Beth to report vacancy, review position responsibilities and budget for salary consideration within the |

| |given market range. |

|[ ] |Department sets position number up for recruitment in PeopleSoft – Position Management. Dean level approval is required before |

| |the position is released for recruitment (including additional hires). If you have already received an email approval from Amy, |

| |please indicate the date of approval in the comments section when submitting your position number for recruitment and forward |

| |the email to Beth. |

|[ ] |Department works with Beth and Allison to review the posting content. |

|[ ] |After the position is approved for recruitment, Department uses the Kenexa system to post the job. Under “Requisition Team”, |

| |always include Allison Webster and Beth Sepnieski. |

| |Beth and Allison will screen applicants and send the hiring manager a tiered list of qualified applicants after the job has |

| |closed and create a targeted timeline. |

|[ ] |Prior to the interview, Department contacts Beth or Allison with the selected finalist(s). Beth will send the PI survey to each.|

| |Please allow ample time (2-3 Days) before the scheduled interview. If phone interviews are used to screen large pools, the PI |

| |will not be sent until the finalist are selected. |

|[ ] |Department works with Beth or Allison to review interview questions and/or exercises. |

|[ ] |Hiring Manager discusses, with Beth, the analysis of the completed PI surveys and salary before the finalist’s Offer Form is |

| |submitted for approval in Kenexa. |

|[ ] |Hiring Manager emails desired salary and justification to Beth/cc Allison for approval. Receives “OK” from Beth to move forward|

| |with the offer. |

|[ ] |Department completes the Kenexa process to hire. |

| |Note: Use ASU internal process—Procedures for internal hiring/transfers if the finalist is a current ASU employee. |

|[ ] |Department sends a copy of the PTR, resume, Offer of Employment Letter, posting, posting approval, and the email confirmation of|

| |the new hire accepting the offer of employment to the Dean’s Office (EE Low). |

|[ ] |Department confirms new hire is showing in Job Data - PeopleSoft, then closes the job posting in Kenexa. |

Staff Hire through an Internal WPC Job Posting

|[ ] |Department contacts Beth to discuss position responsibilities and staffing plan. |

|[ ] |Department creates internal job posting ( Beth and Allison have a template) |

|[ ] |Beth or Allison reviews the job posting and the distribution list is determined. Note: Internal WPC jobs are not open to |

| |students or non-benefits eligible employees. |

|[ ] |Prior to the interview, Department contacts Beth or Allison with selected finalist(s). Beth will send the PI survey to each or |

| |use an existing one. Please allow ample time before the scheduled interview. |

|[ ] |Department works with Beth or Allison to review interview questions and/or exercises. |

|[ ] |Hiring Manager discusses with Beth the analysis of the completed PI surveys and salary before the finalist is notified. |

|[ ] |Hiring Manager receives “OK” from Beth to move forward on the offer. |

|[ ] |Prior to the Hiring Manager offering the position to the finalist, as a courtesy, the current supervisor must be notified of the|

| |intent to offer the position arranging an effective date and considering a transition plan. |

|[ ] |Department reviews notification memo with Beth then notifies finalist of selection. |

|[ ] |Department sends a copy of the PTR, resume, posting, and Notification Memo to the Dean’s Office (EE Low). |

Staff Hire through Waiver of Recruitment – Waivers Have Limited Use – Temporary and Specialty Hires

|[ ] |Department contacts Beth or Allison to discuss position responsibilities, criteria and salary. |

|[ ] |Department sends resume to Beth or Allison for qualifications and job title review/recommendation. |

|[ ] |If waiver is approved by OHR Staffing, Beth will send a PI survey to candidate. |

| |Follow the instructions for Waiver & Additional Hire Digest to hire through Kenexa. |

| | |

|[ ] |If not, the job is posted for at least 5 days through the Kenexa process. |

|[ ] |Beth will send the PI report to the Hiring Manager. |

|[ ] |Department sends a copy of the PTR, resume, Offer of Employment Letter, posting, posting approval, and the email confirmation of|

| |the new hire accepting the offer of employment to the Dean’s Office. (EE Low). |
