REPORTS TO: Business Office Manager DATE: 03/18/2010

POSITION SUMMARY:

Perform various accounting and clerical duties including answering switchboard calls and office support for the department; serve as cashier for box office during theatre and special events.

ESSENTIAL TASKS:

n Answer multi-line telephone for college, provide general information and transfer calls.

n Sell tickets for theatre and special events as well as cover the Box Office during events.

n Perform routine clerical tasks to include correspondence, filing, and updating spreadsheets.

n Assist other business office personnel with clerical tasks including stuffing payroll, AP checks and other correspondence for mailing.

n Distribute mail to business office departments.

n Answer inquiries regarding student accounts.

n Maintain appropriate files of all payments received.

n Assist with disbursement of faculty, staff and student work study payroll checks, refund checks, W-2, 1098T, 1099.

n Assist auditors as needed.

n Prepare and enter data from timesheets for biweekly payroll; review checks for final verification of name, address and amount.

n Maintain inventory of office supplies for Business Office; place Office Max orders as necessary.

n Assist with 911 calls when necessary by alerting other offices.

n Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe and efficient manner and with minimal supervision.

ADDITIONAL DUTIES:

n Assist with cashiering as needed.

n Perform other related duties and responsibilities as may be assigned.

KNOWLEDGE, SKILLS, and ABILITIES:

n Knowledge of department and college policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations.

n Knowledge of basic accounting procedures money management, and computer skills.

n Knowledge of general office procedures and filing systems.

n Ability to perform mathematical computations and tabulations accurately.

n Excellent communication and customer service skills.

n Ability to make rapid and accurate calculations on a ten-key calculator.

n Ability to shift quickly between several tasks without loss of continuity.

n Ability to operate telephone, computer, copy machine, and other typical office equipment.

n Ability to examine documents for accuracy and completeness.

n Ability to handle confidential matters judiciously.

n Ability to plan, organize and implement assigned responsibilities and to work well under pressure to meet established deadlines.

n Ability to work accurately and efficiently in a fast paced environment with frequent interruptions.

EQUIPMENT/SOFTWARE:

n Use office machines such as telephones, copiers, credit card machines and 10-key calculators.

n Use computers for data entry; Use Microsoft XP, Microsoft Office (Excel, Word, Outlook).

n Use Colleague (college database system); customized applications.

The noise level in the work environment is usually moderate.

PHYSICAL REQUIREMENTS:

▪ While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance and stoop, kneel, crouch, or crawl.

▪ The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds.

▪ The position may also require close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

n High School Diploma-GED

n One year related experience; accounting experience desired.
