There are two ways to do this: OPTIONS METHOD:Open Outlook and click on the “File” tab. Select “Options” from the side-menu. A pop-up screen will appear.Click on “Mail” from the Outlook Options menuClick on the “Signatures” Option:A second pop-up screen titled “Signatures and Stationary” will appear. ORNEW EMAIL METHOD:Open Outlook and click on “New Email”. A pop-up will appear; we will begin by working within this pop-up. Click on the “Signature” button on the top menu screen:A dropdown menu will appear; select “Signatures…”A second pop-up screen titled “Signatures and Stationary” will appear.To customize your Email Signature, we will be working within this pop-up.Under the “Select Signature to Edit” section, Click “New” Name the footer so you know what to select later, throughout the year:Create your desired Signature or Copy & Paste the Email Templates in the section below into the empty space. This signature works just like Microsoft Word, so the options should be familiar to you. See the next section “Add Image or Hyperlink” for more information.Click “Okay” To save this Signature and the “Signature and Stationary” Pop-up window will automatically close. From your “New Message” Pop-up window, you can now click “Signatures” and select the new signature you created: Choose your Default Signature:You can select your default signature for Outlook to populate every time by clicking on the “Signature” menu option, and clicking “Signatures” on the Dropdown menu. From there, you will see a section titled “Choose Default Signature” – select the desired signature to be on all new emails and all replies/forwarded emails:Click “Okay” to save this change and close the “Signature and Stationary” pop-up window. Add an Image or HyperlinkNote: Websites and Emails automatically become clickable links in your signature, so you do not need to go through this process unless you wish to hide the address behind a tagline, name, or image. From “Step 3” in the “Add A Custom Email Signature” section, you have the option to add an image or hyperlink to your signature. These two functions are the last icons on the right of the Signature menu:ADD AN IMAGE:There are two ways you can add an image: Copy / Pase: Copy the image from a secondary source (a Word Document / Email) and paste it into the Signature edit screen.Place your cursor where you wish your image to appearComputer Hotkey for this is: Ctrl + C for Copy and Ctrl + V for paste on a PC and Command+C for Copy and Command+V for Paste.Insert an image Place your cursor where you wish your image to appear. Click on the “Image” icon and your File Explorer will openFind the folder where your image is located:Click “Insert” and the image will appear.ADD A HYPERLINK:Use the last icon in the Edit Signature menu to add a hyperlink. You must highlight a word/phrase or select an image to create a hyperlink. If you simply click the link button without anything to attribute, the link will simply appear as a website URL:To select an image to connect the link to, simply click on the image – a visible border will appear:Highlight Text to attribute the link to your name, a phrase, etc: Once your image or text has been selected or highlighted, click on the icon and the “Insert Hyperlink” pop-up menu will appear:To add a website URL, keep the default option selected and enter the URL into the space that states “Address”. Click “Okay” to finalize. Note: Websites and Emails automatically become clickable links in your signature, so you do not need to go through this process unless you wish to hide the address behind a tagline, name, or image. You will most likely never use the other options however, if you wish to connect a phrase, name, or image to an email address, select that option under the “Link To” menu and once again, fill out the information in the new menu that will display: Email Footer Templates:Copy and Paste the desired Footer into the Signature Window and fill-in the necessary information.
