You will receive an email asking to complete a form, giving as much detail as possible. The more we know about how you work, the better we can support you. For example, make sure you list any non-standard applications that you currently use so we can prepare for any Applications that have not been identified to date. The laptop comes directly from our supplier with no software installed. However, all standard Barnardo's applications will auto-install as part of the image when you first set up your laptop.But certain applications will require a manual installation from new company portal on your new laptop. If Application is still not available at this point, then please contact Raj Sharma who will work with you to resolve.If you need any additional software/Applications, that you do not currently have, you will need to contact the Service Desk to request these as per the current process.You will receive your new laptop within four weeks of filling out the form.At the point, your laptop is ready to be dispatched, the project team will email you with the expected delivery date.What is involved?You will receive a new Microsoft Surface Laptop Go and a protective sleeve. The computer has been selected from a shortlist by Barnardo’s colleagues in a consultation exercise. It has been chosen because of its build quality, lightness, and screen size. If you are working with external screens/ monitors/mice or keyboards we are aiming to provide a hub, but only if you need one, and you need to tell us this in the form, so you can plug these peripheral in.Everyone will have all Office applications installed on your computer. You’ll also be able to access Office 365 apps. Everyone will get Microsoft Teams too. You will initially use Teams for video conferencing to replace Google Meet.? As Microsoft Teams is rolled out across Barnardo’s, expect it to significantly improve how you work together.?Teams brings together everything a team needs in one place: chat and threaded conversations, meetings & video conferencing, calling, and content collaboration with Microsoft 365 applications.Everyone will get help from a dedicated support team. You will receive an instruction guide for getting started with your laptop and there are online application guides to start you off with Microsoft 365. You can use our Technology Transformation | Group | Workplace to raise any questions, learn from our Pilot users, this is also where we will keep you up to date with any changes, drop in surgery sessions and training opportunities.There’s a great online training library for the expanded range of applications that come with Office 365.?Existing Windows users will be able to work more quickly and collaboratively straight away.?Mac users, if you would like to retain your mac Laptop, then make this clear in your individual requirements/ software section of the New Device request form, and we will transition you emails over to 365 without issuing you with a new laptop.If you would like to know how to securely use Microsoft 365 or take note of your responsibility around?information security and data protection, this can be found Microsoft Pilot - Information Security.pdf (.uk)2. Applications / Software2.1 Has Microsoft Office 365 and Windows laptop been tested to make sure it is compatible with Gloucestershire County Council access to EHM before we are given the laptops? This is our only recording system and it is crucial there is no loss of access.”Please be aware that you should be able to access the GCC portal as this is done via a web browser. We are in contact with their IT department to discuss this so we can test and to make sure that their end is set up correctly as we are aware that people are having access issues via our old devices as well as their own personal ones. 2.2 Concerns re potential delay in accessing EHM Liquid Logic due level of safeguarding and my role.”Please be aware that you should be able to access the Liquid Logic portal as this is done via a web browser. If you experience any access issues you will still have your old laptop while we send out the new ones so you will be able to revert back until any access issues are resolved. 2.3 Will my calendar and contacts also be transferred to the new machine??”Please note that you will not lose any calendar or contacts when you are migrated over to MS Office 365 as they will all be migrated over. They only difference you may encounter is a slightly different layout, but most functions will be the same as what you are used to. 2.4 Can I add further software in the future if needed”.Any applications that you currently use that has been installed via the application store will need to be manually installed on this new laptop using our new company portal. All standard Barnardo's applications will be preinstalled as part of the image when you first set up your laptop.If you need any additional software/Applications, you will need to contact the Service Desk to request these as per the current process.2.5 Sharefile and Huddle is an essential part of my job to redact and share childcare files.Any applications that you currently use that has been installed via the application store such as Adobe X Pro will need to be manually installed on this new laptop using our new company portal. All standard Barnardo's applications will be preinstalled as part of the image when you first set up your laptop.If you need any additional software/Applications, you will need to contact the Service Desk to request these as per the current process.You will have plenty of time to test your access to these applications on the new laptop before you need to return the old laptop. If you have any issues you can fall back to the old one until we can resolve any issues with the new one.You should use OneDrive instead of ShareFile, as the platform will be decommissioned with the removal of Citrix XenMobile within the next few months.2.6 Will I be able work on large workbooks for Finance?”Please be aware that the new devices will have Office 365 on it giving you access to excel so you should be able to work on your finance workbooks.If you query relates to the screen size, you can request an external screen via the current IT hardware procurement process.You will have plenty of time to test this access before you need to return the old laptop. So, if you have any issues you can fall back to the old one until we can resolve any issues with the new one.2.7 Do we have to install any programs? Can we link straight into the Barnardo's system?Please be aware that you will receive instructions on how to set up the new laptop and will have a dedicated support team to contact if you have any issues.Any applications that you currently use that has been installed via the application store will need to be manually installed on this new laptop using our new company portal.All standard Barnardo's applications will be preinstalled as part of the image when you first set up your laptop.2.8 Will I need to do anything to my emails etc, or will they be transferred automatically? Also, will I need to move my documents from my computer onto the System or will these still be accessible until "old" laptop is returned?”Please note that you will not lose any emails when you are migrated over to MS Office 365 as they will all be migrated over. They only difference you may encounter is a slightly different layout, but most functions will be the same as what you are used to. Please be aware that you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in content sever or OneDrive before you need to return the old laptop.2.9 I work with South Wales police and various local authorities I am concerned about the security of the emails should they change to Microsoft and not remain as Barnardo's. I don't think emailing using Microsoft would satisfy security with these other organisations and may restrict me in receiving emails also. How do we get around this? The information my role deals with is very sensitive.”Please note that you will not lose any emails encryption functionality when you are migrated over from MS Office 2010 to MS Office 365. You will still can encrypt emails including attachments you send to internal and external recipients. You will have more options for sending secure emails internally and externally.They only difference you may encounter is a slightly different layout, but most functions will be the same or better than what you are used to. Will my ad hoc docs saved on my current desktop disappear? Please see below doc on how to export and save your internet favourites.Please be aware you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in content severs before you need to return the old laptop.All Barnardo's standard application swill be accessible via the new laptop.Export favourites from Internet Explorer.Log into your old machine (or the computer with the Favourites on).Open Internet Explorer and click the Star to show your favourites.Click “Import and export…”Choose Export to a file and click Next:Tick Favourites and click Next:Ensure Favourite are highlighted and click Next:Choose where to save the file and click Export:Click Finish:Email the file to yourself, save it to content server or google drive or wherever you can access it from your new computer.Import favourites to Internet Explorer.Log into your new computerLocate the file you created on your old machine, and that you either emailed to yourself, saved to content server or google drive, and save it to your desktop.Open Internet Explorer and click the Star to show your favourites:Click “Import and export…”Choose Import from a file and click Next:Tick Favourites and click Next:Browse to the file you saved to your desktop earlier and click Next:Click Finish:Your favourites will now be available in Internet Explorer and you can delete the file you created from your desktop.2.11 I have certain things set up on my laptop i.e., programmes relating to recruitment etc will I still be able to use the same logins?”Any applications that you currently use that has been installed via the application store will need to be manually installed on this new laptop using our new company portal. All standard Barnardo's applications will be preinstalled as part of the image when you first set up your laptop.If you need any additional software/Applications, you will need to contact the Service Desk to request these as per the current process2.12 Am I able to have a software that allows me to dictate to the laptop and it transcribes to the laptop please?”Please be aware that the laptop has a touch screen whereby you can use a capacitive stylus pen to write on which should then convert to text – Unfortunately, we haven’t tested this yet so we cannot recommend which stylus pens to use, but it is something we are considering going forward, Please note the stylus pen is not included and won’t be provided as part of the roll-outThe laptop does however come with a speech-to-text feature that you may want to explore in the interim.. Hardware – Monitors, Printers etc3.1 How big is the screen on this laptop, will we have access to larger screens with cameras to connect it to?The Surface Laptop screen is, 12.4” PixelSense? 1536 x 1024 (148 ppi) display and interactive touchscreen.For further information on the laptop spec, see below link. be aware that all if you use an external monitor and keyboard you will need to mention this on your form to be supplied with a Windows approved HUB that will allow you to connect an external Monitor and Keyboard.Note that the HUB will have the following ports:USB AUSB CVGAHDMIEthernet If you require an external monitor, you will need to request this via Firstpoint as per the normal IT equipment request process.3.2 I do not currently have a monitor or keyboard (I work from my laptop) but have requested and approved by my manager - will these be supplied?Please be aware that external peripherals such as monitors, and keyboards are not supplied as part of the Technology Transformation Project.If you require an external monitor, you will need to request this via Firstpoint as per the normal IT equipment request process.3.3 Can you provide me with the travel hub to allow connection to external projectors etc. as I facilitate training, this is sometimes off site using a variety of connection media, e.g., vga, hdmi, usb?Please be aware that if you noted on your form that you use external peripherals on your form then you will be provided with a travel hub.3.4 I currently work with 2 external monitors, mouse and keyboard. If you have any issues you can fall back to the old one until we can resolve any issues with the new one3.5 Do I need to change my laptop? or can I continue using my ThinkPad?Please be aware that your Lenovo laptop is no longer fit for purpose. Between February and June 2021, everyone will update to Windows 10 and will start to use updated versions of familiar applications including Word, Excel, PowerPoint, Outlook and Teams in Office 365. You can find out more here.Please be aware you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in content severs before you need to return the old laptop.You will also receive a start-up guide which will include the returns process for your old laptop.3.6 I have an Epson Printer/Scanner installed on my current laptop – can this be installed on the Surface Go.Please be aware that if you stated in the questionnaire that you use external peripherals such as printers, you will be supplied with a Windows approved HUB that will allow you to connect an external Monitor, Keyboard and Printer.Note that the HUB will have the following ports:USB AUSB CVGAHDMIEthernet You will have a dedicated support team to contact if you have any issues and they will also be able to install your own personal printer.3.7 Will I be able to connect my laptop to my larger monitor?Please be aware that if you stated in the questionnaire that you use external peripherals such as printers, monitors you will be supplied with a Windows approved HUB that will allow you to connect an external Monitor, Keyboard and Printer.Note that the HUB will have the following ports:USB AUSB CVGAHDMIEthernet You will have plenty of time to test your external peripherals on the new laptop before you need to return the old laptop. If you have any issues you can fall back to the old one until we can resolve any issues with the new one3.8 Do you have any additional equipment, that I could write on and it converts into text type, which I can add to my assessments? That could work alongside the laptop. The laptop has a touch screen whereby you can use a capacitive stylus pen to write on which should then convert to text – Unfortunately, we haven’t tested this yet so we cannot recommend which stylus pens to use, but it is something we are considering going forward.The laptop does however come with a speech-to-text feature that you may want to explore in the interim. I am a service administrator and work from a Desktop computer normally.? I requested a laptop to allow me to work from home but would still like to access my desktop - will that be possible?”Please be aware that most staff will be assigned individual laptops. Once this has been accomplished, we will be looking to remove all Desktop computers from our sites as these are no longer fit for purpose. They will be replaced with static shared laptops; these will need to be enrolled by the site administrator and then can be used by other colleagues.You will not lose any emails when you are migrated over to MS Office 365 as they will all be migrated over on your new laptop. They only difference you may encounter is a slightly different layout, but most functions will be the same as what you are used to. All standard Barnardo's applications will be preinstalled as part of the image when you first set up your laptop.3.10 Please can you ensure I have access to use my laptop remotely when able to travel. Please could you ensure I have a camera fitted.?.”Please be aware that the laptop has the ability to connect to Wi-Fi allowing remote access. It also has a camera as standard, please see link below for further details on the laptop spec: As I have a Barnardo's ipad2 and a large home Apple mac?which?I prefer to use because of the keyboard and large screen, is it possible for me to have?Apple laptop?”Please be aware that we do not supply Apple MacBook’s – All staff will be supplied with the new Windows Surface Go. please see link below for further details on the laptop spec: you require an external screen, you can request this via the current IT procurement process via First Point. 3.12 If I have missed any applications or systems can I ask for them to be added at a later date and if there are any new applications that are identified to assist me in our work will these be easy to add?Any applications that you currently use that has been installed via the application store will need to be manually installed on this new laptop using our new company portal. All standard Barnardo's applications will be preinstalled as part of the image when you first set up your laptop.If you need any additional software/Applications, you will need to contact the Service Desk to request these as per the current process.3.13 Is it possible to have Icons installed on my main screen as shortcuts for CHARMS, Zoom, Teams, Survey Monkey and Facebook Please be aware that you can still create internet desktop shortcut icons. See below link on how to do this: Will I be required to back up my emails / documents before setting up the new laptop?Please be aware you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in Content Server before you need to return the old laptop. If the documents are non-confidential you will be able to transfer them into Microsoft OneDrive. (details will be shared on how to use OneDrive when you get the new laptop) you will receive instructions on how to set up the new laptop and will have a dedicated support team to contact if you have any issue.You will not lose any emails or folders when you are migrated over to MS Office 365 as they will all be migrated over on your new laptop. They only difference you may encounter is a slightly different layout, but most functions will be the same as what you are used to.The email retention policy going forward will be now set to 2 years.One DriveOneDrive is available in Software Centre for you to download and install on your old laptops.Users should find it?under “Software Center”:??You'll then see 'One Drive' listed in your folders similar to how it is on your new laptop.Just drag and drop any files or folders you need uploading and it will start to do this in the background.3.15 I currently use a desktop machine whilst in work and would like to continue to have the use of keyboard, monitor, mouse and /or docking station once my laptop arrives.? Please could you confirm if this can be included in the request or whether we are able to keep and plug in our existing monitors / keyboard etc?”Please be aware that most staff will be assigned individual laptops. They will be replaced with static shared laptops connected to an external Monitor, Keyboard and mouse, These will need to be enrolled by the site administrator and then can be used by other colleagues.All standard Barnardo's applications will be preinstalled as part of the image when you first set up your laptop.3.16 Fingerprint Reader on Surface Laptop GoYou may (or may not) be aware but you're shiny new Surface Laptop has a fingerprint reader built directly into the power button.?We're currently investigating how we can securely turn on this feature so you can use it to login to your device and your applications. Once we have got everything signed off from a data protection and technical perspective, we'll let you know when it's ready.4. Delivery of Laptops and Returns4.1 Will we be told what day to expect delivery as will be at office one day a week?”Your new laptop will be sent to the address that you gave us when you completed the form. Note that you will be sent further communications on delivery date and support on how this will all processed a few days before delivery. You will have to be in as long as someone cannot take receipt on your behalf.4.2 What do I do with my current laptop?Please be aware that you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in Content Server or OneDrive before you need to return the old laptop.Note that you will be sent further communications and support on how this will all processed nearer the time of rollout. You will also receive a start-up guide which will include the returns process for your old laptop. You will need to return your laptop after 2 weeks unless there is reason for not returning it which we will need to be notified off.4.3 How to return your old Laptop.We use TNT to manage our IT Returns process. Please follow the instructions below carefully:Package the old laptop in the box that the new equipment arrived in.Call 0800 100 600 to arrange a FREE collection at a time that suits you.Select option 3?to talk to a person and?quote?account number 0280501617.Make a note of the reference number?which TNT will provide. This will be needed should there be any future queries about the collection.A returns label is found on the next page. Please print and stick this label on the package, covering any existing labels on the box. Once TNT has collected the equipment to be returned, please send the consignment number via email to Sue Nightingale, IT Supply Manager (sue.nightingale@.uk) so that it can be tracked. Ensure the email subject line is ‘Return of existing laptop’. The customer reference number is not required in this email. Questions you may be asked by TNT.Full address where the package is to be picked up from.Contact name and preferred telephone number.Confirmation that it is being returned to Barnardo’s in Barkingside (this will be the only address it is possible to return items to on this account number).Number of boxes for collection and the box contents.Dimensions of boxes (width, height, length) and box weight. Is there any specific preparation to do for our current laptops?”Please be aware each member of staff will be contacted individually to have their device replaced; this will not be done in bulk.You will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in Content Server or One Drive before you need to return the old laptop.You will also receive a start-up guide which will include the returns process for your old laptop.4.5 What will happen to my current laptop? is it possible to buy it from Barnardo’s?”Please be aware you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in content severs before you need to return the old laptop.We are sorry, we have looked into the feasibility of re-selling the laptops to staff, but any device that is still fit for purpose will be reused by the organisation, and the rest will not have any operating system or software licenses and would cost us more to clear up security than we could charge for them. So even that doesn’t make financial sense.You will need to return your laptop Barnardo's House to be wiped and repurposed. You will also receive a start-up guide which will include the returns process for your old laptop. 4.6 Can the delivery driver of the laptop please phone me first as my deliveries often get sent to the wrong address. Please be aware that our supplier put all mobile numbers on the shipment card, so the courier has it on the paperwork.DPD do not give us the options to call before I’m afraid, they do usually call if they can’t find the address though.We can add extra notes to the address though (if not to detailed) If you want to do this, please resubmit the form and add these details to the delivery address section. 5. Transferring / Saving Documents5.1 Can you give me a guide on how to transfer or save to transfer key documents as I have had my device since 2014 and have created my own resources (non-personal or with personal data) and would like these to remain accessible to me.?? Please be aware you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in Content Server or One Drive before you need to return the old laptop.If you need help on how to remove these documents from your old laptop you can contact the Service Desk who can advise on how you can back these up.5.2 How does the transition between laptops work? When will out old laptops stop working and what do we do with them when the new one arrives?Please be aware that you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in Content Server or OneDrive before you need to return the old laptop.Note that you will be sent further communications and support on how this will all processed nearer the time of rollout.5.3 Is there an easy way I can transfer documents saved on my laptop to my new laptop?”Please be aware you will need to backup any documents that are saved on your current laptop. You will have plenty of time to back these up in Content Server before you need to return the old laptop. If the documents are non-confidential you will be able to transfer them into Microsoft OneDrive. Note that there will be no difference on how you access Content Server.You will have plenty of time to test this access before you need to return the old laptop. So, if you have any issues you can fall back to the old one until we can resolve any issues with the new one.6. Setting up laptop6.1 I have always been a home-based worker. Will I need to access a Barnardo's office for Barn Corp to set my laptop up?Please be aware that you will receive instructions on how to set up the new laptop and will have a dedicated support team to contact if you have any issues. The laptop can be set up from home therefore no need to visit a Barnardo's site.6.2 “I am not highly qualified in IT issues so setting up can be dreading for me.Please be aware that you will receive an easy-to-follow step by step instruction on how to set up the new laptop and will have a dedicated support team to contact if you have any issues.You will also have a community in Workplace where people can work together to support each other and share ideas.Training7.1 What training is available?Basic training will be available, The sessions are not mandatory to join – entirely up to you.We will be offering the following sessions between February and May:Office 365 Overview Introduction to Office 365/new ways of working.? Introduction to Windows 10, differences from Windows 7, using the start menu, settings.OutlookMicrosoft Outlook allows employees to work efficiently with email, calendar, contacts, tasks, and more—together in one place. Microsoft 365 integration adds the capabilities to share attachments from OneDrive, book conference rooms, and track RSVPs. Outlook Mobile offers an even easier way to get connected and organised by brining Outlook to iOS and Android. This course will offer a brief introduction to Windows 10, explore navigation, and offer an open forum where users can ask questions about the transition to a modern desktop.ExcelThis training will focus on the introductory features within Microsoft Excel to help users get familiar with some of the basic functions included in Excel to better understand how they can use it in their day-to-day responsibilities. It assumes that users have basic experience with Excel previous to the training.
