Position Title: Administrative Assistant

POSITION OBJECTIVE:

Under general supervision, provide diverse Administrative support of general office duties. Requires judgment and comprehensive knowledge of applicable operations. Answer incoming telephone calls, greet and direct visitors.

ESSENTIAL FUNCTIONS MAY INCLUDE:

• Answer incoming telephone calls, not received by auto attendant, and direct calls to the appropriate person/department; take messages as needed.

• Greet Clients and Visitors.

• Sort and distribute mail daily; accept packages delivered.

• Communicate with Assessors, Case Managers and Medicaid

• Prepare (postage) outgoing mail, to include adoption, foster care and independent living subsidies, as well as account payable authorization letters, invoices and packages in a timely manner.

• Transport mail to local post office when needed.

• Maintain cash log book, make appropriate copies of checks, and complete weekly deposit slips for bank deposit, enter data on spreadsheets

• Make photocopies, fax, and scan material as requested.

• Run errands as requested.

• Serve as backup for Executive Assistant for mission critical duties (i.e. book travel arrangements).

• Reconcile travel vouchers, code travel and enter general ledger vouchers into Accounting software.

• Prepare Donation Letters for CEO signature.

QUALIFICATIONS:

REQUIRED:

• High School Diploma or GED equivalent

• One year of clerical office experience

• Training in typing, filing, and office procedures

• Ability to create and update spreadsheets

PREFERRED:

• Prior experience as a receptionist in a similar setting

SKILLS:

• Basic computer skills

• Good interpersonal skills

• Ability to speak read and write English at the high school level

• Excellent telephone etiquette

• Knowledge of various types of office equipment (i.e. copier, fax, etc.)

• Basic knowledge of MS Word, MS Excel and MS Outlook
