ASSIGNMENT OF DUTIES

TITLE: Administrative Assistant- Public Engagement Team

CLASSIFICATION: APS Level 3/ APS Level 4

LOCATION: Sydney

SUPERVISOR: Director – Public Engagement

DUTIES:

1. Provide comprehensive administrative assistance and office management to the Public Engagement Team, including:

a. diary management, arranging appointments, and meetings

b. management of shared email inboxes in the Public Engagement Team and responding to enquiries from the public

c. organise travel and accommodation arrangements and bookings for the team

d. database, file and record management (hardcopy and electronic), including data entry

e. updating Commission webpage as required

f. coordination of communication such as correspondence and telephone calls, including drafting responses on behalf of the Director, taking minutes at meetings

2. Provide budget support to the Public Engagement Team, including processing paperwork, maintaining and acquiring office supplies and reconciling accounts.

3. Work collegiately with other members of the Public Engagement Team and other internal stakeholders across the Commission in the planning, administration and conduct of the team’s work and in the development and delivery of the Commission’s identified goals and priorities.

4. Undertake research tasks under the direction of, and in consultation with, the Director and Deputy Director – Public Engagement

5. Providing support to event management and logistics co-ordination for major meetings and internal and external Commission events as required.

6. Other duties as directed.

SELECTION CRITERIA:

1. Ability to provide high-level executive/administrative support and to work flexibly and collegiately in a team environment.

2. Good organisational and administrative skills including technology/computer skills and the ability to work with minimal supervision, to set priorities and to meet deadlines.

3. Demonstrated capacity for and confidence in using a range of social media platforms.

4. Excellent written communication skills, including the ability to write clearly and effectively, for a wide range of audiences.

5. Good verbal communication skills, including the ability to:

a. communicate with members of the general public

b. liaise with senior representatives from government, civil society and business – as well as their Executive assistants

c. communicate sensitively and effectively with people from a range of backgrounds.

6. Understanding of contemporary human rights issues within Australia (desirable).
