Habitat for Humanity of Findlay/Hancock CountyJob DescriptionJob Title:Administrative AssistantJob Role:The role of the Administrative Assistant is to manage the daily operations of the office and assist the Executive Director in all their duties. Qualifications: HS degree required, AA or BA degree preferred and at least 3 years of experience working in an office setting Job Duties:The Administrative Assistant will be responsible for:Answer incoming calls and respond to public inquiries about program requirements, volunteer inquiries, donations of funds and materials Provide administrative support to Executive Director (ED), program directors, the board and their committees Evaluate, recommend, document, and improve office, administrative policies and proceduresBe familiar with community health and human service resources in the community for client referralGreet/direct office visitorsOrder/purchase office supplies as needed within budget guidelinesCollect, record, receipt and deposit all mortgage/repair payments, cash and in-kind donations and other revenue Maintain office equipment, service contracts and handle service issues Assure all donors receive tax receipt acknowledgements letters within one week of their contributionMaintain donor database including in-kind as well as monetary donationsHandle sponsor correspondence and monitor sponsor payments/invoicing Assist ED, Finance Chair and Treasurer in preparation of monthly board financials and mortgage reportsSupport volunteer accounting team utilizing QuickBooks to assist with bookkeeping functions of the affiliate (accounts payable, preparing payment vouchers, paying bills, tracking unpaid invoices, some reporting) Collect, sort and distribute incoming mailArrange and oversee office volunteers. Monitor their work, safeguard the quality, provide feedback as needed and terminate if necessary (in transition).Send out home repair and homeowner applications as requestedKeep work areas clean, organized and professional looking as part of office managementProvide administrative support to fundraising activities such as the Annual Mail Campaign and Special EventsCollect committee reports, send out needed reminders, collate board meeting packets and assist in board meeting or their preparation as requested.Support program activity around events, blessings and dedications (Volunteer Dinner, Builds & Repairs)Other duties as required by Board and Executive DirectorReports to:Executive DirectorRequirements:Applicant must organized and able to work in a fast-paced environment. Good written communication skills. Must be team oriented, organized, able to meet deadlines and able to be skilled in computer use (word, excel, power point, Outlook). Must be able to appropriately prioritize tasks and responsibilities and manage multiple projects simultaneously. Able to articulate the organizations mission, values and goals. Have the ability to work effectively with a diverse group of people and the ability to represent and have an understanding of our Christian organization is necessary. Valid driver’s license, reliable transportation and willingness to have flexibility with occasional nights and weekends. Weekly/MonthlyHours:This is a full-time position of 32 hours of work each week at the Habitat office during regular business hours (Mon – Thurs., 9 am to 4 pm; ? day Friday). ................
