Job Title Events Administrative Assistant

Location Stroud (Brimscombe)

Reports to Corporate and Events Lead

Salary £17,500 - £19,000 pro rata pa depending on experience

Hours 21 hours per week with flexibility to work additional hours during busy periods

Holidays: 25 days pro rata pa plus statutory

Pension: Auto enrolment (6% employer contribution)

MAIN PURPOSE OF THE JOB

The Nelson Trust is a registered charity providing residential and community based treatment, care and support for people with drug and alcohol dependencies , as well as those with complex psychological and social needs and those at risk of offending. The charity operate in Gloucester, Wiltshire and Somerset.

The Fundraising Team is a fun and dynamic team with shared responsibility for raising vital funds through events and marketing to enable the organisation to continue to support our beneficiaries.

The team manage relationships with all stakeholders including individual supporters, fundraising committees, event committees, corporate partners, grant making trusts, foundations, press and statutory commissioners.

As the Events Administrative Assistant you will be responsible for supporting the work of the team with a focus on administration for the corporate & events programme across three counties. You will support the Fundraising team across all areas of its activity. You will help set up and maintain effective administrative systems within the team.

The role is subject to review and change as the needs of the organisation dictates.

KEY TASKS

Key Duties

• Event support - To support all activities in relation to Fundraising events, Reunions, third party and in-aid of events, conferences and celebration. Out of hours working will be necessary.

• Managing Data - To support the Events & Corporate Lead and wider team in maintaining accurate records for events, ticket sales and individual donations.

• List management - To support the team in research and communication to and with individual and corporate supporters.

• Communications – to work with the Marketing & Communications Officer to share information about events through social media, Mailchimp and email.

• Website maintenance – ensure all information relating to the events programme and supporter communications is properly and regularly uploaded to

• Active fundraising – Support the Events & Corporate Lead to secure raffle and auction prizes for all events.

• Event delivery – communicate briefings and information for, suppliers, speakers, volunteers and staff.

Administration Duties

• To provide an effective and efficient administration service to the team (e.g. scheduling team meetings, collating reports for Fundraising Committees, Senior Management)

• To receive and co-ordinate internal/external queries via phone and email and pass them onto team members or other teams as appropriate.

• To maintain service standards relating to the timely issuing of “thank you” letters.

• To respond to information requests by phone, via email and in writing.

General Duties

• Attend all relevant meetings as and when directed or identified.

• Take Minutes at meetings.

• To participate in the overall development of the FR team.

• Be responsible for own safety and others affected by your activities and to ensure adherence to the Nelson Trust policies and procedures regarding Safeguarding, Health & Safety, equality and diversity, data protection and confidentiality, reporting concerns to an appropriate person.

• To undertake training as identified or directed by line manager.

• Promote the vision, mission and values of The Nelson Trust.

• Perform any other duties as may be reasonably expected from you as directed by line management.

Probationary period: All posts within The Nelson Trust are subject to a six month probationary period with a mid-point review at 3 months.
