However, nothing in this manual alters an employee’s status. The contents of this manual shall not constitute nor be construed as a promise of employment or as a contract between the company and any of its employees. The manual is a summary of our policies, which are presented here only as a matter of information.You are responsible for reading, understanding and complying with the provisions of this manual. Our objective is to provide you with a work environment that is constructive to both personal and professional growth.Changes in PolicyThis Manual supersedes all previous employee manuals and memos that may have been issued from time to time on subjects covered in this Manual.However, since our business and our organization are subject to change, we reserve the right to interpret, change, suspend, cancel, or dispute with or without notice all or any part of our policies, procedures and benefits at any time. We will notify all employees of these changes. Changes will be effective on the dates determined by the Company and after those dates all superseded policies will be null.No individual supervisor or manager has the authority to change policies at any time. If you are uncertain about any policy or procedure, speak with your direct supervisor.Mission Statement“Our Mission is to provide quality Metal Building Systems to our clients; on time, within budget & in a safe manner.”GCB Services Pre-Engineered DrawingsInhouse takeoffs for labor and materials with complete submittal shop drawings for all projects.Pre-Fabricated BuildingStandard building packages such as industrial, agricultural, commercial and residential.Self Storage ExpertsSingle-Story and multi-story facilities.Metal Wall PanelInterior liner panel systems, exterior siding panel systems, insulated wall panel systems.Steel ErectionInstallation of any kind, upheld to strict OSHA Standards.Steel Metal SupplierFrom design to material supply for all pre-engineered building systems.Metal RoofsMetal roofing positively impacts your building performance by providing longevity and sustainability.Self Storage Door & Hallway System InstallationExpert Installation of specialty storage locker, door & hallway systems for climate & non-climate controlled facilities.Canopy SystemsArcitectural canopies, covered RV/Boat canopies, gas station / CNG & LNG canopies, commercial applications, medical, auto dealerships and retail canopy systems.Public Office HoursGCB Metal Building System, LLC office is open for business from 8:00am to 5:00pm Monday through Friday, except for Holiday’s (see Holiday’s Section for details).EMPLOYMENT POLICIES“Employees” DefinedAn “employee” of GCB Metal Building Systems, LLC is a person who regularly works for GCB Metal Building Systems, LLC on a wage or salary basis. “Employees” may include exempt, non-exempt, regular full-time, regular part-time and temporary persons and others employed with the Company who are subject to the control and direction of GCB Metal Building Systems, LLC in the performance of their duties.EXEMPTEmployees whose positions meet specific criteria established by the Fair Labor Standards Act (FLSA) and who are exempt from overtime pay requirements.NON-EXEMPTEmployees whose positions do not meet specific criteria established by the Fair Labor Standards Act (FLSA) and who are paid one and one-half their regular rate of pay for hours worked in excess of 40 hours per week.REGULAR FULL-TIMEEmployees who have completed the 90 day probationary period and who are regularly scheduled to work 35 or more hours per week. Generally, they are eligible for the Company’s benefit package, subject to the terms, conditions and limitations of each benefit program.Regular Full Time employees can be either salary or hourly wage based employees.REGULAR PART-TIMEEmployees who have completed the 90 day probationary period and who are regularly scheduled to work less than 35 hours per week. Generally, they are NOT eligible for the Company’s benefit package, subject to the terms, conditions and limitations of each benefit program.Regular Part-Time employees are hourly wage based only & not offered a salary.TEMPORARY (FULL-TIME or PART-TIME)Those whose performance is being evaluated to determine whether further employment in a specific position or with the Company is appropriate or individuals who are hired as interim replacements to assist in the completion of a specific project or for a vacation / paid-time-off (PTO) relief. Employment beyond any initially stated period does not in any way imply a change in employment status. Temporary employees retain that status until they are notified of a change. They are not eligible for any of the Company’s benefit programs or packages.Non-Disclosure / Confidentiality PolicyThe Protection of confidential business information and trade secrets is vital to the interests and the success of GCB Metal Building Systems, LLC Such confidential information includes, but is not limited to the following examples:Compensation DataComputer ProcessesComputer Programs and CodesCustomer / Client ListsPotential Client ListsCustomer PreferencesFinancial InformationMarketing StrategiesPending Projects and ProposalsEmployees who improperly use or disclose trade secrets or confidential business information will be subject to disciplinary action, up to and including termination of employment. Possible legal action may also be taken even if employee does not benefit from the disclosed information.New Employee OrientationOrientation is a formal welcoming process that is designed to make you feel comfortable, informed about the company and prepared for your position. New employee orientation is conducted by a Human Resource Representative and includes an overview of the company history, an explanation of the company core values, mission,; and company goals and objectives. In addition; the new employee will be given a overview of benefits, tax, and legal issues and complete any necessary paperwork.Employees are presented with all codes, keys and procedures needed to navigate within the workplace. The new employee’s supervisor then introduces the new hire to staff throughout the company, reviews their job description and scope of position, explains the company’s evaluation procedures and helps the new employee get started on specific functions.Employee Performance Review and Planning SessionsSupervisors will conduct performance reviews and planning sessions with all regular full-time and regular part-time employees after six months of service. Supervisors may conduct informal performance reviews and planning sessions more often if they choose.Performance reviews and planning sessions are designed for the supervisor and the employee to discuss his/her current job tasks, encourage and recognize attributes and discuss positive purposeful approaches for meeting work-related goals. Together, employee and supervisor discuss ways in which the employee can accomplish goals or learn new skills. The planning sessions are designed for the employee and his/her supervisor to make and agree on new goals, skills and areas of improvement.GCB Metal Building Systems, LLC takes these evaluations into consideration with wage & salary increases. Your performance reviews and planning sessions may have a direct effect on changes to your compensation. For this reason among others, it is important to prepare for these reviews carefully and participate in them fully.New employees will be reviewed at the end of probationary periods. When an employee completes the probationary period, the employee will be notified of his/her new status with GCB Metal Building Systems, LLCProbationary Periods are 90 calendar days; unless otherwise specified in writing during the time of employment.Personnel FilesEmployees personnel files include the following:Job ApplicationW4 Form / Corporate Tax DocumentsJob DescriptionPhoto I.D.Resume’,Records of participation in training eventsSalary / Wage HistoryRecords of disciplinary actionDocuments related to Performance Reviews, Coaching and MentoringStatus Change Forms (if any)Employment Eligibility Verification Form I-9Personnel files are the property of GCB Metal Building Systems, LLC and access to the information is restricted. Management personnel of GCB Metal Building Systems, LLC who have legitimate reason to review the file are allowed to do so.Employees who wish to review their own file should contact their supervisor or the Human Resources Representative. With reasonable advance notice, the employee may review his/her personnel file in Company’s Office and in the presence of their supervisor or Human Resource Representative.Employee Change of Status / Data Form Policy & ProcedureThe Employee Change of Status Form needs to be filled out for a variety of reasons.New HirePromotionTransferPay Rate ChangeName ChangeAddress ChangePhone # changeIndividuals for Emergency ContactsOtherIt is the responsibility of the employee to make sure their personal file is up to date at all times. Once the form is completed, the employee should submit to the Home Office for any status updates.Employment Reference Checks PolicyTo ensure that individuals who join GCB Metal Building Systems, LLC are well qualified and have strong potential to be productive and successful, it is the policy of GCB Metal Building Systems, LLC to check the employment references of all applicants.GCB Metal Building Systems, LLC will respond in writing only to those reference check inquiries that are submitted in writing. Responses to such inquiries will confirm only dates of employment, wage rates and position(s) held. No employment data will be released without a written authorization and release signed by the individual who is the subject of the industry.Immigration Law Compliance PolicyGCB Metal Building Systems, LLC is committed to employing only United States citizens and legal aliens who are authorized to work in the United States and does not unlawfully discriminate based on citizenship or national origin.In compliance with the Immigration Reform and Control Act of 1986, each new employee, as a condition of employment, must complete the Employment Eligibility Verification Form I-9 and present documentation establishing identity and employment eligibility. Former employees who are rehired must also complete the form if they have not completed an I-9 form with GCB Metal Building Systems, LLC within the past three (3) years; or if their previous I-9 is no longer retained or valid.Employees with questions or seeking more information on immigration law issues are encouraged to contact GCB Metal Building Systems, LLC Employees may raise questions or concerns about immigration law compliance without fear of reprisal.Lunch PeriodsEmployees are allowed a (45) forty-five minute lunch break. Lunch breaks generally are taken sometime between the hours of 11:00a.m. and 2:00pm. on a staggered schedule, so that your absence does not create a problem for co-workers or clients.Break PeriodsGCB Metal Building System, LLC does not provide for employees to break during production activities except for the above outlined Lunch Period. GCB Metal Building Systems, LLC allows for breaks under the following circumstances:Bathroom breaksWater / HydrationMedical needs as prescribed by a licensed medical physicianBreaks approved by your immediate supervisorIf employees have unexpected personal business to take care of, they must notify their direct supervisor to discuss time away from work and make provisions as necessary. Personal business should be conducted on the employee’s own time.Employees who do not adhere to the break policy will be subject to disciplinary action, including termination.All breaks for temporary, part-time or hourly wage employees are unpaid breaks.Return of Property PolicyEmployees are responsible for all GCB Metal Building Systems, LLC property, materials, tools, equipment, devices and written information issued to them or in their possession.Employees must return all GCB Metal Building Systems, LLC property immediately upon request or upon termination of employment. Where permitted by applicable laws, GCB Metal Building Systems, LLC may withhold from the employees’ check or final paycheck the cost of any items that are not returned when required. GCB Metal Building Systems, LLC may also take action that is deemed appropriate to recover or protect its property.Insurance on Personal EffectsAll employees should be sure that their own personal insurance policies cover the loss of anything occasionally left at the office, job site or workplace. GCB Metal Building Systems, LLC assumes no risk for any loss or damage to personal property.Outside Employment PolicyEmployees may hold outside jobs if they meet the performance standards of their job with GCB Metal Building Systems, LLC All employees will be judged by the same performance standards and will be subject to GCB Metal Building Systems, LLC’s scheduling demands, regardless of any existing outside work requirements. If GCB Metal Building Systems, LLC determines that an employee’s outside work interfaces with the performance or ability to meet the requirements of GCB Metal Building Systems, LLC as they are modified from time to time, the employee may be asked to terminate the outside employment if he / she wishes to remain with GCB Metal Building Systems, LLCOutside employment that constitutes a conflict of interest is prohibited. Employees may not receive any income or material gain from individuals / companies outside GCB Metal Building Systems, LLC for services rendered while performing their jobs.Progressive Discipline PolicyThe purpose of this policy is to state that GCB Metal Building Systems, LLC’s position on administering equitable and consistent discipline for unsatisfactory conduct in the workplace. The best disciplinary measure is the one that does not have to be enforced and comes from good leadership and fair supervision at all employment levels.GCB Metal Building System, LLC’s own best interest lies in ensuring fair treatment of all employees and in making certain that disciplinary actions are prompt, uniform and impartial. The major purpose of any disciplinary action is to correct the problem, prevent recurrence and prepare the employees for satisfactory service in the future. Although employment with GCB Metal Building Systems, LLC is based on mutual consent and both the employee and GCB Metal Building Systems, LLC have the right to terminate employment at will, with or without cause or advanced notice. GCB Metal Building Systems, LLC may use progressive discipline at its discretion.Disciplinary action may call for any four (4) steps;Verbal WarningWritten WarningSuspension with or without payTermination of employment depending on the severity of the problem and the number of occurrencesProgressive discipline means that, with respect to most disciplinary problems, these steps will normally be followed:First (1) offence may call for a verbal warningSecond (2) offence may be followed by a written warningThird (3) offence may lead to a suspensionFourth (4) offence may lead to termination of employmentGCB Metal Building System, LLC recognizes that there are certain types of employee problems that are serious enough to justify either a suspicion or in extreme situations, termination of employment without going through the usual progressive discipline steps.While it is impossible to list every type of behavior that may be deemed a serious offence, the Employee Conduct policy includes examples of problems that may result in immediate suspension or termination of employment. However, the examples listed are not all necessary serious offences but may be examples of unsatisfactory conduct that will trigger progressive discipline. By using progressive discipline, we hope that most employee problems can be corrected at an early stage, benefitting both the employee and GCB Metal Building Systems, LLC.Employment Termination PolicyTermination of employment is an inevitable part of personnel activity within any organization and many of the reasons for termination are routine. Below are examples of some of the most common circumstances under which employment is terminated:Assignments not completed.Drug or Alcohol use at the office, job site or workplace.Discharge – Involuntary employment termination initiated by the organizationLayoff – Involuntary employment termination initiated by the organization for a non-disciplinary reason (due to lack of work)Resignation – Voluntary employment termination initiated by an employeeEmployee benefits will be affected by employment termination in the following manner. All accrued, vested benefits that are due and payable at termination will be paid. The employee will be notified in writing of the benefits (if any) that may be continued and of the terms, conditions and limitations of such continuance.Any GCB Metal Building Systems, LLC owned property (i.e. vehicles, laptops, tablets, mobile hotspots, cell phones, tools, equipment, fleet cards, etc.) is to be returned to the Home Office or the Operations Manager upon date of termination. Any unreturned property will be deducted from the employee’s final paycheck and legal action may be taken depending on the property taken.Since employment with GCB Metal Building Systems, LLC is based on mutual consent, both the employee and GCB Metal Building Systems, LLC have the right to terminate employment at will, with or without cause at any time.Expense ReimbursementExpenses incurred by an employee must have prior approval by a supervisor. Reimbursements of any dollar amount must accompany the following:Expense Report filled out in its entirety & signed by the employee and direct supervisor.Job Related Project Number and/or “Office Expense” DescriptionOriginal Receipt for requested expense to be reimbursed (copy of receipts is NOT acceptable).Approval Acknowledgement of Expenses by direct supervisors signature on the Expense Report.Mileage Report (must be filled out completely and approved by supervisor)Map Information (Starting point to finish)To get reimbursed for your purchases, you must turn in a copy of the expense report along with the original receipts to the home office. If you do not keep up with a receipt, you cannot expect to be reimbursed for it. If no receipt is attached, then no reimbursement will be given!You should always make a copy for yourself of all receipts prior to submitting to home office. Management will review the expense report and approve or deny it prior to issuing a reimbursement check.Expenses WILL NOT be reimbursed without prior written approval for what is to be purchased from your direct supervisor via email with date & time stamp.Submit ALL original forms and receipts to Home Office Administrator. Employees should contact their supervisor is additional assistance or information is needed. *Abuse of this business expense policy, including falsifying expense reports to reflect costs not incurred by the employee can be grounds for disciplinary action, up to and including termination of employment. Costs should NOT exceed to $500.00 per month unless approved by a GCB Metal Building Systems, LLC corporate Principal*SUPPLIES; EXPENDITURES; PETTY CASH; OBLIGATING THE COMPANYOnly Authorized persons may purchase supplies in the name of GCB Metal Building Systems, LLC No employee whose regular duties do not include purchasing shall incur any expense on behalf of GCB Metal Building Systems, LLC or bind GCB Metal Building Systems, LLC by any promise or representation without written approval.Each office location is given petty cash for certain operating expenses. This petty cash is to be used for office expenses only. Things like stamps, paper towels, toilet paper, cleaning supplies, coffee supplies can be purchased with petty cash.Al all times, if you add your receipts together with your remaining cash, you should always have the original amount of money that you started with in your office.You should always keep the petty cash in the office, not at your house or in your bank account. All cash should be kept in the petty cash box that is assigned to each office. If you are a manager that travels, please have the petty cash fund assigned to the person that stays in the office.Business Auto / Travel Expenses PolicyGCB Metal Building System, LLC will reimburse employees for reasonable business travel expenses incurred while on assignments away from the normal work location.Employees whose travel plans have been approved are responsible for making their own travel arrangements.CAR EXPENSESIf you fly to the location and must rent-a-car, GCB Metal Building Systems, LLC will reimburse you for car rental (limited reasonable fee) as well as, fuel purchased when you fill up the rental car.If you use your own personal vehicle, you will be reimbursed .40/cents per mile from your site location and back (please submit map information location); NOT to exceed any expense over the limitation of the amount printed on the original receipt. Employees who are involved in an accident while traveling on business must promptly report the incident to their immediate supervisor.Vehicles owned, leased or rented by GCB Metal Building Systems, LLC may not be used for personal use without prior approval.Employees who are driven to work by another employee are NOT entitled to being reimbursed for travel expenses.AIR-TRAVEL EXPENSESAll air travel should be coordinated through the GCB Home Office & not put on personal accounts, unless specifically authorized in writing to do so. If you need to fly to a location, GCB Metal Building Systems, LLC will reimburse the air travel expense for the flight only, if the booking is placed on a personal account & authorized by GCB Home Office to do so. A checked bag may be booked by home office, pending on the duration of the out-of-state travel timeframe.GCB Metal Building Systems, LLC home office will arrange for transportation of all tools & equipment necessary for a project. Employees will not be personally reimbursed for transportation of tools or equipment; therefore all arrangements must be run through the home office.All additional air travel baggage charges will be at the cost of the employee & GCB Metal Building Systems, LLC will NOT reimburse the costs. Any additional charges for flight upgrades, services or other will be at the cost of the employee & it is understood that GCB will have those extra expenses taken out of the employee's paycheck.Building SecurityAll employees who are issued keys to the office or jobsite are responsible for their safekeeping. These employees will sign a Building Key Disbursement form upon receiving the key. The last employee, or a designated employee, who leaves the office at the end of the business day assumes the responsibility to ensure that all doors are securely locked, the alarm is turned on and armed, thermostats are set on appropriate evening and/or weekend setting and all appliances and lights are turned off with exception of the lights normally left on for security purposes. Employees are not allowed on Company property after hours without prior authorization from Brian Harrington (the Building Owner).The last employee on a job site, who leaves at the end of the business day assumes the responsibility to ensure that all company tools & equipment are securely locked up and secure. All heavy equipment & other keys are to be held in a secure location.Employees are responsible for the security of their own personal property.Upon employment termination; all keys are to be returned to the GCB Metal Building Systems, LLC home office location immediately.ParkingEmployees must park their cars in areas indicated and provided by the Company.Safety PolicyTo assist in providing a safe and healthful work environment for employees, customers and visitors; GCB Metal Building Systems, LLC has established a workplace safety program. This policy has been instituted strictly to protect the employee.A written “permission to work” from the employee’s doctor is required at the time or shortly after notice has been given. The Doctor’s note should specify whether the employee is able to perform regular duties as outlined in his/her job description.A leave of absence may be granted on a case-by-case basis. If the need arises for a leave of absence, employees should notify their supervisor and Human Resource Representative.Employee Requiring Medical Attention In the event an employee requires medical attention, whether injured or becoming ill while at work, the employee’s personal physician must be notified immediately. The company considers an absentee rate of 3% or less as acceptable. Holiday pay will be calculated based on the employee’s straight-time pay rate (as of the date of holiday), times the number of hours the employee would otherwise have worked on that day. Only Regular Full-Time employees are eligible for holiday pay.To be eligible for holiday pay, employees must work the last scheduled day immediately preceding and the first scheduled day immediately following the holiday.A recognized holiday that falls on a Saturday will be observed on the preceding Friday. A recognized holiday that falls on a Sunday will be observed on the following Monday.If a recognized holiday falls during an approved employee’s paid absence (such as a vacation or sick leave), holiday pay will be provided instead of the paid time off benefit that would otherwise have applied.If eligible non-exempt employees work on a recognized holiday, they will receive holiday pay plus wages at their straight – time rate for the hours worked on the holiday.Paid time off for holidays will not be counted as hours worked for determining overtime.Jury Duty PolicyGCB Metal Building System, LLC encourages employees to fulfill their civic responsibilities by serving jury duty when required. Regular full-time employees may request up to three (3) days of paid jury duty leave over any one (1) year period.Jury duty pay will be calculated on the employee’s base pay rate times the number of hours the employee would otherwise have worked on the day of absence.If employees are required to serve jury duty beyond the period of paid jury duty leave, they may use any available paid time off (for example, vacation benefits) or may request an unpaid jury duty leave of absence.Employees must show the jury duty summons to their supervisor as soon as possible so that the supervisor may decide to accommodate their absence. Of course, employees are expected to report for work whenever the court schedule permits.Military Leave PolicyA military leave of absence will be granted to employees who are absent from work because of service in the United States uniformed services in accordance with the Uniformed Service Employment and Reemployment Rights Act (USERRA). Advanced notice of military service required, unless military necessity prevents such notice, or it is otherwise impossible or unreasonable.The leave will be unpaid. However, employees may use any available paid time off for the absence.Benefit accruals, such as vacation, sick leave, or holiday benefits, will be suspended during the leave and will resume upon the employee’s return to active employment.Employees on military leave for up to thirty (30) days are required to return to work for the first (1) regularly scheduled shift after the end of service, allowing reasonable travel time. GCB Metal Building Systems, LLC defines “immediate family” as the employee’s spouse, parent, child, or sibling; the employee’s child’s spouse; grandparents or grandchildren.Regular full-time employees will be provided up to two (2) days of paid bereavement leave.Bereavement pay is calculated based on the base pay rate at the time of absence and will not include any special forms of compensation, such as incentives, commissions, bonuses or shift differentials.Bereavement leave will normally be granted unless there are unusual business needs or staffing requirements. Employees may, with the approval of their supervisor, use any available paid leave for additional time off as necessary. Paid Time Off (PTO) PolicyPTO is an all purpose time-off policy for eligible employees to use for vacation, illness, injury, and personal business. It combines traditional vacation and sick leave plans into one flexible, paid-time off policy. Only regular full-time employees are eligible to earn and use PTO as described in this policy.Once employees enter an eligible employment classification, they begin to earn PTO according to the schedule below. However, before PTO can be used, a waiting period of ninety (90) calendar days must be completed. After that time, employees can request use of earned PTO including that accrued during the waiting period.The amount of PTO an employee can receive each year increases with the length of their employment as shown in the following schedule:Upon initial sixty (90) day waiting period, the employee is entitled to three (3) PTO days each year, accrued weekly at the rate of 0.058 days.After one (1) year of eligible service the employee is entitled to five (5) PTO days each year, two (2) sick days accrued weekly at the rate of 0.096 daysAfter five (5) years of eligible service the employee is entitled to ten (10) PTO days each year, three (3) sick days, accrued weekly at the rate of 0.0192 daysThe length of eligible service is calculated based on a “benefit year”. Employees who have an unexpected need to be absent from work should notify their supervisor before the scheduled start of their workday, if possible. The supervisor must also be contacted on each additional day of unexpected absence. To schedule planned PTO, employees should request approval fourteen (14) days in advance from their supervisor. Requests will be reviewed based on many factors, including business needs and staffing requirements.PTO is paid at the employee's’ base pay rate at the time of absence. It does not include overtime or any special forms of compensation such as, incentives, commissions, bonuses, or shift differentials.EMPLOYEE COMMUNICATIONSStaff MeetingsQuarterly Staff Meetings will be held on the first Tuesday of every month; unless otherwise notified. These informative meetings allow employees to be informed on recent company activities, changes in the workplace and employee recognition; among other things.Bulletin BoardsBulletin boards placed in the break room provide employees access to important posted information and announcements. The employee is responsible for reading necessary information posted on the bulletin boards.Procedures for Handling ComplaintsUnder normal working conditions, employees who have a job-related problem, question or complaint should first discuss it with their immediate supervisor. At this level, employees usually reach the simplest, quickest and most satisfactory solution.
