This will be a temp to perm position. We are looking for a multi-tasker extraordinaire to provide hands on support to our Chief Administrative Officer, Office Manager, and management team in day-to-day payroll and personnel functions. Not only does this person serve as the Firm’s employment “first impression”, but they will also play an integral role in executing our people initiatives, providing great internal customer support, and assisting in driving HR/payroll functional excellence and process improvement in a fantastic Firm.?Primary Responsibilities?Human ResourcesMaintains accurate and complete employee records for approximate 130 firm employees in electronic and paper form, as applicable, and ensures all recordkeeping requirements are met.Updates HRIS system with new employee information, status changes, pay increases, and filing all other documentation.Assists in the onboarding of new employees through new employee orientation.Assists with oversight of the I-9 form documentation retention and auditing.Assists with the recording and maintenance of employee information, such as personal data, compensation, benefits, tax data, attendance, performance reviews, disciplinary actions, and terminations/separations of employment.Assists in research, generation of reports and collection of data.Participates in HR internal audits (i.e., I-9’s, employee classifications, job codes, etc.) to ensure compliance to federal and state policies and internal procedures. Assists with coordinating leave of absence administration and disability claims for all employees. Assists in performance reviews for employees.Collaborates with management to update and retain all job descriptions.Assists where needed with diversity and inclusion initiatives.Serves as a super-user of Paylocity, the HRIS system.Performs additional duties, tasks, and responsibilities, as needed.PayrollAccurately and timely processes bi-weekly payroll for hourly, non-exempt staff, using established Firm policies and procedures, and in compliance with all federal, state, and local laws and regulations; works with employees to ensure that timecards are completed timely and accurately.Maintains a high level of accuracy reviewing, editing and issue research to ensure all employees are paid correctly and on time every payroll cycle by providing general oversight of hourly time records, managing PTO requests, administering deductions/reimbursements, and running appropriate reports, including bi-weekly payroll register, to ensure information is properly reconciled prior to payroll run.Prints and reviews payroll employee transactions and total hours worked reports on a bi-weekly basis. Verify attendance, hours worked, PTO, from the time clock and other records, and address discrepancies. Posts pay adjustments, and other payroll changes to designated time records. Assists with performing payroll quality assurance reviews including year-end W2s and wage and tax register reviews.Maintains PTO accrual records and makes all necessary adjustments and updates.Enters all direct deposit information in HRIS system, and process final pay per established guidelines.Maintains complete confidentiality of all payroll records and reports.Researches and responds to payroll-related requests for information from employees, and from outside entities.Researches and remains current on federal and state payroll law and other applicable laws and regulations affecting payroll administration.Performs all work duties and activities in accordance with the company's policies and procedures.Educates and trains employees on Firm’s timekeeping systems and use of self-service solutions.Backup Office Manager on semi-monthly salaried, exempt employee payroll process.Performs other duties and projects as assigned by Firm management team.Education/Experience/Skills?Bachelor’s degree in Human Resources Management or a related field of study and/or appropriate combination of education and experience to ensure on-the-job success.3+ years of progressive experience working in an HR or payroll environment.3+ years working within an HRIS system, including data entry, reporting capabilities and limitations.3+ years of payroll experienceKnowledge of Paylocity payroll systems is a plus.Knowledge of principles and practices of human resources administrationTechnologically savvy with high proficiency in Microsoft Office programs; intermediate to advanced knowledge of Microsoft Excel.Excellent written and verbal communication skills with an exceptional ability to clearly communicate with all levels of personnel.Strong project management skills with the ability to initiate and move projects to successful completion with efficiency and a sense of urgency.Ability to prioritize and work successfully both independently and as part of a team.Solid understanding of reporting and analysis.Self-starter who demonstrates consistent follow-through.Ability to maintain sensitive information; confidentiality and discretion are required.COVID CONSIDERATIONS:All employees are required to wear a mask in all common areas.
