Summer Student Employment Guidelines

A Student Summer Temporary Employment Authorization Form must be completed for each student working this summer and submitted to the Office of Human Resources prior to their start date.

Summer Payroll Dates: May 28th – August 31st

Students needing to complete paperwork should come to the Office of Human Resources between 8:30 a.m. and 4:00 p.m. to allow time to complete new hire forms.

Payroll Paperwork:  Students are required to complete U.S. Form I-9 Employment Eligibility Verification, U.S. Form W-4 Employee’s Withholding Allowance Certificate, and Massachusetts Form M-4 Massachusetts Employee’s Withholding Exemption Certificate before working in any capacity at Williams.  These forms are to be submitted to the Office of Human Resources. Students working out of the area must complete these forms before leaving campus.

Social Security tax (F.I.C.A.) must be withheld from summer employment on campus.

Direct Deposit: Students who would like to take advantage of payroll direct deposit need to bring verification of their account number to the Office of Human Resources, e.g., bank statement, voided check or deposit slip. If they previously worked on campus and had direct deposit set up, it will continue as before.

SU Boxes: Students who receive checks or direct deposit advices need to contact the Paresky Mail Room and request their SU boxes remain open for the summer.

Forwarding Addresses: Students who would like to set up a summer forwarding address need to complete the Summer/Leave Forwarding Address form found on the Registrar’s Office website.

Employees must be at least 16 years old. If under 18, a work permit must be obtained from their school and brought to HR prior to the start of work. Some schools do not issue work permits. In this case, a work permit may be obtained at the Mount Greylock Regional High School in Williamstown.
