Tryon Street Charlotte, NC 28217Table of ContentsOverviewThe United State Rugby League is heading into its first summer of the youth sports rugby showcase, this year they are partnering with CaAm Rugby to bring a collective experience to the group. Scouts from colleges all over the nation and even pro scouts have frequented our facilities to scout and grade prospective athletes.. For the summer of 2016, there will be a total of 10 teams entered in the single elimination tournament. The Rugby Athletic Center located on 3722 S. Tryon Street, Charlotte, NC, 28217. Established in 2014, the Rugby Athletic Center is a privately owned sports entertainment and sports venue that is located less than three miles from the city center in Charlotte, NC. The complex itself boasts 13.4 acres. There is a 25,000 square foot facility, a 28,000 square foot 3 tier stadium (capacity 1,800), and parking for over 250 vehicles. The RAC is 7.5 miles from the airport, 3.5 miles from Uptown Charlotte, and easy access to the Lnyx rail system. There are two different fields which play can occur on. We are looking for participants to be between the ages of 16-18. Mission StatementOur goal is to make the USA Rugby association more prominent and expanded. Right now, the USARL has 14 teams that are professional scattered around the United States. Our objective to expand the league would be to provide more opportunities for the portion of the population that matters most for the future of the league, the kids. Objectively, we can implement rugby as a sport into more high schools and also make more youth leagues to expand the exposure. Using the objective that we set in place, we can tentatively meet the goal of expanding the sport of Rugby in general. Below is the mission statement of the USA Rugby League that goes hand in hand with our goals and objectives.Program Goals and ObjectivesThe goal for our Rugby tournament is to showcase youth talent not only around the Charlotte area but nationwide, in hopes of exposing them to a higher level of play in the future. At this tournament, players will be coached by highly experienced USA Rugby coaches that are volunteering time out of their busy schedules to attend this first time event. We look forward to seeing competitive play, for professional rugby coaches will be there to assist and give pointers when recognized. Our program is the first of its kind in the area and new to many people. Hopefully we will receive the turnout that is expected and can expand to new heights in future years. S-We want our participants to gain confidence in their abilities and develop leadership skills.M-We will measure the confidence of the participants by handing out surveys to be completed.A-This will be accomplished by enforcing constructive reinforcement. R-The more confidence that kids play with, the more there will be enhanced levels of play.T-We hope that all of our participants gain confidence at each of tournaments.S-Increase awareness of our showcase tournament by 25%.M-We can measure the potential increase by seeing how many times we are mentioned on social media or how many patrons come to our facilities over a couple of years. A- Email youth rugby teams that have liked our organization’s Facebook page. R-Social media and attendance numbers will be the measuring stick for this objective.T-We hope to increase the awareness for the tournament over the next year.Participants Goals and Objectives Kids are four times more likely to play a sport when they are exposed to it at an early age. Our goal for participants is to create a sense of excitement about the game of rugby, in the hopes of gaining a dominant demographic for participants throughout the United States. Our goal is to increase interest in participants to the point where rugby would be considered one of the dominant mainstream sports in America like football, baseball, and basketball.S-We are looking to target male participant teams from 16-18 to participate in tournament style play throughout the weekend. M-We would like this to be a big event, one that will reach national levels of promotion for years to come. A-We only ask that participants remain positive and open-minded throughout this in what will be an amazing weekend. R-We are aiming for participants from all over the United States, hoping to incorporate the sport of Rugby all throughout America. T-Participants will be allowed to register and sign up for our event 1 year in advance.S-We are aiming to increase awareness and interest in Rugby across the states, targeting these participants at younger ages in hopes of building loyalty among the sport. M-We will track Rugby leagues across the states to measure the progress of expending Rugby leagues each year. A-Promoting for our event will start a year in advance to make sure we have enough participants that are serious about participating in this amazing event. R-The more regions we involve with our tournament, the better seeing as how our mission is to spread Rugby.T-We want the demand for Rugby leagues for teenagers to increase by 20% across the southern United States. Spectator Goals and ObjectivesOur goal for spectators is quite simple. We ask that our spectators be kind and courteous towards tournament play for the young. Being that this will be our first year hosting an event of this magnitude, we ask that the spectators (parents and outside guests) help us promote and condone sportsmanship for that we are all here to grow collectively. The second goal for our spectators is to have fun and enjoy the experience. The third goal is to increase attendance.S-We want spectators to watch with a respectful approach and act with passion and respect at the same time.M-The first year there will be crown decibel monitors within the arena and there will also be surveys conducted after the tournament is over to measure the how spectators felt.A-The surveys will have incentives tied to completing them and the patrons will know of them before completing the survey.R-A satisfactory of 70% from the patrons frequenting our facility is what we are shooting for.T-We want to see our satisfactory rate from the patrons increase by the end of the year, just in time for next year’s tournament.S-We as an organization want to increase attendance to our tournament. M-Increase attendance by 25% each year.A-Improved fan experiences and newer technology within the arena will increase attendance. R-If the increase in attendance of 25% is not met, an increase of 20% would be acceptable as well.T-At the end of the second tournament research will be conducted to decipher whether or not the increase in attendance was met. Risk Management Goals and ObjectivesOur goals are to increase the amount of care for athletes who get injured within our facilities at the Rugby tournament, enhance spectator safety at the Showcase Tournament, and lastly, to forbid any external factors that would put oneself or others at risk.S-Increase the number of athletic trainers during the Youth Rugby Tournament by having at least one certified athletic trainer per playing field. M-We will monitor our certified athletic trainers knowledge of safety procedures before each game play. A-There will be at least one certified athletic trainer in attendance of each game, ensuring that players are treating injuries before, during, and after game play. R-Our organization will create a medical station in a central location where participants can receive treatment of injuries prior to/following competition.T-Provide certified athletic training for all games throughout tournament play through for the weekend, from June 4th through June 5th. S-Increase the number of security personnel to 10 on duty around the facility throughout the entire tournament to help with crowd management. M-We will be able to monitor how many times people will try entering our facility with necessities that are not permitted within our facilities, to help keep control over the crowd that will be in attendance. Our security personnel will be challenged daily, testing their knowledge of crowd safety.A-We will conduct bag searches throughout the entire weekend (June 4th-5th) to monitor what's being brought into our facility during all games. R-Prevent any consumption of alcohol inside the facility property by conducting bag searches when individuals enter the facility continuing throughout the tournament. Prohibit any use of firearms inside/on facility property by conducting bag searches when individuals enter the facility lasting throughout the tournament.T-Have personal security available throughout the duration of USARL tournament weekend, from June 4th through June 5th.Budget Goals and ObjectivesOur goals for budgeting is to come out in the green in terms of potential profiting, to have the power to host the tournament annually, and to allocate a portion of our profits to a non-profit organization to boost our image in terms of the community. S-To gain a profit of at least $1,000 for the organization as a whole, and then to triple that in year two. M-We will measure this task by counting up our profits at the end of the tournament with hopes that it turns out in the green.A-The profits will come directly from ticket costs, concession costs, merchandise costs, parking fees, entry fees, waiver fees, and miscellaneous funds. R-We earnestly want to make a profit, but we will not make money the top priority. The overall experience will be the top priority. T-The profit discussion will conclude at the end of the tournament when the last game has been played.S-To find 5 potential organizations to receive our donation portion.M-Of the five potential candidate organizations, determine if they are in fact non-profit and conduct research to see which organization needs the funds the most.A-The objective will be attainable when the organization is in the final stretches of the tournament and organizations for the reward are taking shape.R-Limit the distribution of resources to just one agency so you as an organization don’t over due it.T-After the yearly tournament is over, the most deserving candidate will receive the funds.Marketing Goals and ObjectivesOur goals are to obtain more spectators to come out and watch the Youth Rugby Showcase Tournament, to attract out-of-state youth rugby teams to play in the showcase tournament, and lastly to propose to businesses, that support youth developmental programs, to sponsor our current and future showcasing events.S-Bring more out of state teams within the tournament in the upcoming years.M-At the beginning of each tournament mark down which teams are from out of state and which teams are in state.A-Increased advertising on social media to schools/teams that are out of state will increase out of state teams. R-Have backup in state teams ready to sign up if they out of state quota isn’t fulfilled. T-By the end of year four, have 30% of the teams in the tournament that are out of state.S-Obtain 10 more sponsors for the tournament and organization.M-Monitor the increase of sponsors after the end of every quarter business period.A-Offer incentives such as exposure to advertising to potential sponsors to lure them into partnerships.R-Send out 20 invitations to ensure you have at least 10 replies. T-By the end of year five, have ten more sponsors than we did as an organization at the start. Evaluation Goals and ObjectivesOur goals are to develop a performance survey that assess the overall execution of every showcase tournament, provide high quality customer service to all individuals associated with the tournament, and tournament coordinators will review employee operations and issue feedback. S-Surveys are to be distributed to employees to rate overall execution of the showcase tournament.M-At the tournament meeting, a survey will be attached to the tournament information packet. Employees must sign and date a staff list in order to keep track.A-Every staff member will receive a hard copy of the survey before the tournament and a reminder email after the tournament is completed.R-Surveys are to help improve our organization for future tournaments. Assessment needs to be completed as soon as the tournament is over in order to have the best results and reflection of performance.T-Surveys need to be filled out and completed within 24 hours of the tournament being completed. S-Bring in more volunteers to provide high quality customer service.M-Allow 15 volunteer spots to be filled on our organization's website. A-Increase the number of volunteers to 10-15 people. Volunteers will sign up on our website. R-Inform local high school service clubs to volunteer at the tournament to receive service hours.T-Visit local high schools 2 weeks prior to tournament.Description of ParticipantsOur participants will be males between the ages of 16 and 18, from all over the US. The participants have some experience playing rugby, and have an interest in making rugby a mainstream sport. The males will have the opportunity to compete and expand their skills in the game of Rugby. Discussion of Participant ConsiderationsWithout the participation of our participants, this tournament would be impossible. Having said this we want to provide a safe environment for rugby play, safe and adequate equipment, appropriate medical and emergency requirements, adequate instructions and supervision, to go along with safe practices, policies, and procedures! Each participant will be provided a T-Shirt with the Youth Rugby Showcase Tournament logo embroidered on it. In terms of priorities, safety sits alone at the top and we will stop at nothing to ensure that those needs are met. Personnel: Paid Employees-Tournament Coordinators: Main focus is to create a fair tournament bracket, free of biasness. Also, in charge of dealing with any questions coming from teams involved and prospective teams/fans. Weather and scheduling of tournament play is also listed in the priorities for the coordinators. -Referees: Biggest job of the referees is to maintain a secure and respectful environment and maintain your dominance in calling the game. Be sensitive to coaches, athletes, fans, and other officials at the same time. -Concessions: Provide an adequate amount of food to the participating population. Food should be prepared properly. Oversees cleanliness and sanitation of concession stand. Assists in the setup and breakdown of stand.-Athletic Trainers: Be alert and prompt in responding to injuries incurred by players. Perform tasks that you are only certified to do. Provide immediate and emergency care to the participant. -Parking assistance: Assist in parking patrons in the respective parking lots allotted to the tournament play. Assists in the setup and breakdown of any traffic cones. -Cleaning Crew: Be steadfast in cleaning the restrooms and concession stands clean and keep facility appealing to the eye. Clean up trash that has not made its way to the trashcan. Empty trash cans before they overflow.-Security: Oversees the safety of all individuals on facility property. Respond and resolve altercations in a quick manner. Makes sure external factors that could potentially harm oneself or others are taken from individuals before entering the facility. Volunteer DutiesRegistration: In charge of signing in teams and providing them with the proper equipment/forms to ensure a safe and productive environment. Volunteers may be moved to various tournament settings for extra help. Customer Service: Be tip top in terms of providing quality service to patrons that our frequenting the venues where the games are held. If you are not trained to answer a certain question or handle a specific task, refer to an employee that is higher up that can help you attain the correct answer.Clean Up Crew: Be on time to your designated areas after all of the games have concluded. Follow the instructions and directions of the employee clean up staff and work diligently. Recognition of ParticipantsAll participants will receive a free USARL Youth Showcase Tournament t-shirt upon team check in. All teams will receive a giftcard to World Rugby Shop for being the first teams to ever play in this showcase tournament. The champions of the tournament will receive a monumental trophy for being the first team to win the USARL Youth Showcase Tournament.Participant InformationAll teams must check in at the registration table before entering the concourse. At the registration table, coaches will be responsible for handing out important recruiting information to each of their players to give participants knowledge about the recruiting process. Any information that was not completed online prior to tournament must be filled out at the registration table including waivers. Registration ProceduresAll rugby teams are eligible for the rugby tournament if they meet the requirements listed below.Registration opens March 1st, 2016 at 8am and closes March 15th, 2016 at 11:59 pm. Players listed for the team must meet the age requirements and not be any younger or older. Team registration, payment, and confirmation must be submitted 2 months before the program begins.Team registration per team will be a sum of $300.00 per team. The winning team will of the whole tournament will be refunded their money completely. Team needs to provide their own equipment and will not be provided with any of the Rugby Athletic Center’s equipment. The best result is from scoring a TRY. If you can ground the ball over your opponents’ try line you get FOUR POINTS for your team. The try scoring team also gets a chance to add another TWO POINTS by CONVERTING a place kick (a placed kick from the ground) through the field posts and above the crossbar.STOPPING THE TEAM FROM SCORING – All thirteen opposing players on the field can stop his target getting over their goal-line by tackling him and stopping movement of the ball. A tackle is completed when the ball carrying arm of the player has touched the ground and a tackler is touching him. The defenders must get off the man with the ball as he brings it back into play by a PLAY THE BALL.PLAY THE BALL – Once a player is grounded or called held by the referee he then will stand up and begin the PLAY THE BALL. This is done by the tackled player placing the ball in front of his foot and then rolling it backwards with one foot to the next receiver on his team. This player who receives is known as the dummy half (similar to a Quarter Back in American Football). The defending team must go back ten meters from the PLAY THE BALL, apart from the two defenders who guard the PLAY THE BALL area with one standing behind the other. They can advance once the ball is rolled back by the foot of the tackled player. If they move early, or don’t get back the full distance, it’s a penalty.6 PLAY RULE (DOWNS) – A team is allowed to PLAY THE BALL six times to try to score before they surrender possession back to the other team. Most teams don’t like to hand the ball over on the sixth tackle and prefer to kick to gain better field position (similar to the 4 Downs in American Football except they are playing for the full length of the field).PASSING THE BALL – There is no limit as to how many times the ball is passed from one player to another but at no time can the ball be passed forward or fumbled forward with the ball touching the ground.KICK AND REGATHER – The attacking team may kick in general play and attempt to regain the ball, only if the players contesting the ball are behind the kicker when it is first kicked.LOSING POSSESSION – When a player fails to catch a ball cleanly and knocks it forward or is carried over the side line while holding the ball, the end result is a scrum with the opposing team controlling the feed of the scrum into the middle. A team also loses possession when the ball is kicked and rolls over the sideline (into touch).SCRUMS – Is when the 6 forwards from each side form a triangle, face each other and then pack down and lock heads. The referee will then instruct the Scum Half to release (or feed) the ball into the middle of the scrum where the two packs of forwards push against each other to control the direction and the outcome of the ball.OTHER SCORING – As well as scoring tries and conversions, you can also score points by kicking a place kick over the crossbar if you are awarded a PENALTY which is worth TWO POINTS. Or, with the ball in play, you can kick a drop-kick through the posts for a FIELD-GOAL to score ONE POINT. This normally happens late in a tightly fought game when both sides are avoiding a tie or draw.OFFSIDE – If a player is in front of a team-mate who kicks forward, he is offside. Having said that, we’re at an advantage for the simple fact that there aren't any rugby league tournaments being played around our products demographics. There are two locations (Richmond, Virginia and Tampa Bay, Florida) in which we will be visiting to marketing our tournament play with teams participating in these events. Being that the market is limited in our region, we really don't have much to be worried about in regards to Rugby league competition. Another outlet of competition involves the more prevalent sports such as Basketball, Football, Baseball, and Soccer. With Rugby being a less popular outlet for the youth of the US, kids are more prone to levitate towards the more popular sports. As we stated, we are aware that Rugby isn't within the vicinity of the mainstream sports in United States, but that won’t stop us from pushing it to that point. With having something exciting like Rugby, we think awareness and interest will rise to new heights with our league being new to the scene. Those same people who aren't able to tell you how a game of Rugby is played can probably telling you everything about how those mainstream sports and the history. We are aware of this challenge and will rely on our travels to help us increase awareness. Executive Summary/OverviewLocated in the heart of downtown Charlotte, USARL Youth Rugby Showcase provides an inclusive and diverse environment dedicated to improving the mental and physical well-being of the participants. Driven by a mission to inspire its patrons participating to live a healthy and active lifestyle, USARL Youth Rugby Showcase is adamant in backing up the previous statement. This tournament will host 10 youth teams each comprising of 22 team rosters and their respective coaches. Established in 2014, the Rugby Athletic Center is a privately owned sports entertainment and sports venue that is located less than three miles from the city center in Charlotte, NC. The complex itself boasts 13.4 acres. There is a 25,000 square foot facility, a 28,000 square foot 3 tier stadium (capacity 1,800), and parking for over 250 vehicles. The RAC is 7.5 miles from the airport, 3.5 miles from Uptown Charlotte, and easy access to the Lnyx rail system. Being that our tournament is an first annual event, we will incorporate our own traditions throughout the process of this event. Obviously there is no background history for our Rugby event, so every step our progression within events leading up to the tournament weekend and after will make for written history for years to come. We expect the USARL to take off from year one to reach new heights each year progressing in the future. Our goal is to make the USA Rugby association more prominent and expanded. Our objective to expand the league would be to provide more opportunities for the portion of the population that matters most for the future of the league, the kids. Objectively, we can implement rugby as a sport into more high schools and also make more youth leagues to expand the exposure. Using the objective that we set in place, we can tentatively meet the goal of expanding the sport of Rugby in general. Marketing Goals/ObjectivesOur goals are to obtain more spectators to come out and watch the Youth Rugby Showcase Tournament, to attract out-of-state youth rugby teams to play in the showcase tournament, and lastly to propose to businesses, that support youth developmental programs, to sponsor our current and future showcasing events.With our objectives, we wanted to obtain 10 more sponsors for the tournament and organization. We will monitor the increase of sponsors after the end of every quarter business period. Incentives such as exposure to advertising to potential sponsors will be offered to lure them into partnership. Sending out 20 invitations, we saw as reasonable for that we were aiming for 50% responses. By the end of our 5th year in service, we hope to have 10 more sponsorships than what we had when we created this league. The USARL wants to bring more out of state teams each year for years to go in the future. Through this process, we will track locations through a database we have created in house. This will help us track which areas are showing interest. We aim to accomplish this goal by increasing advertising on social media to school/teams, reaching out to those out of state teams. We will have backup teams ready, incase something happens to a team and they can’t make it. By the end of year 4, we want to have at least 30% of our teams to come from out of state. Company AnalysisThe goal for our Rugby tournament is to showcase youth talent not only around the Charlotte area, but nationwide, in hopes of exposing them to a higher level of play in the future. At this tournament, players will be coached by highly experienced USA Rugby coaches that are volunteering time out of their busy schedules to attend this first time event. We look forward to seeing competitive play, for professional rugby coaches will be there to assist and give pointers when recognized. Our program is the first of its kind in the area and new to many people. Hopefully we will receive the turnout that is expected and can expand to new heights in future years. Our focus will be on the players, for this tournament wouldn't be possible without them. Our focus is directed towards making this tournament an instant success, enlarging to an even bigger event for years to come. Being that this will be our first year in hosting this event, we will create our own culture. Right now, no real guidelines have been set with having traditions, but we will use our experience from this first annual event to incorporate our own swing of things. Our culture and tradition will be created through our first year experience. Some strengths that we have to our advantage is that we are one of the few Rugby leagues that offer Rugby exposure for those who seek interest. We won’t have to worry about any leagues near our demographics, competing with our league for we’re unique with having our target market set for ages 16-18. There will be a high demand for our event for those who are interested in Rugby. Also, us being able to schedule this event whenever we would like gives us strength of being able to work around certain events. Charlotte is home for the Carolina Panthers and Charlotte Hornets. We have to be mindful of other events taking place downtown Charlotte. Us having the power to schedule at our descripance is a major strength. We do face some weaknesses, such as having to take a backseat to some of the mainstream sports in the United States. Rugby is overlooked due to the fact that not many people are interested in Rugby league play. Rugby lacks awareness in America. CollaboratorsTwo collaborators are the Rugby Football League and the Charlotte Sports Foundation. The Rugby Football League is a governing body for Rugby Leagues and Community Games all over the world. In the past two years, the RFL has experienced a 27% increase in participation. Women and girl participation has increased by 42% in the last year. Also, for seven consecutive seasons the RFL has declared a profit in its final budget. The Charlotte Sports Foundation leads sports-based initiatives that enhance the quality of life in the greater Charlotte region. For the past years, the ACC Football Championship game has provided for excellent revenue for the greater Charlotte area. 64,808 came into attendance for the game, 33,000+ hotel room nights were booked, and 30.9 million in total economic impact was generated resulting from $15.9 million in direct spending. Best Wishes,USARL staffProgram/Tournament Goals and ObjectivesProgram Goals and ObjectivesThe goal for our Rugby tournament is to showcase youth talent not only around the Charlotte area but nationwide, in hopes of exposing them to a higher level of play in the future. At this tournament, players will be coached by highly experienced USA Rugby coaches that are volunteering time out of their busy schedules to attend this first time event. We look forward to seeing competitive play, for professional rugby coaches will be there to assist and give pointers when recognized. Our program is the first of its kind in the area and new to many people. Hopefully we will receive the turnout that is expected and can expand to new heights in future years. S-We want our participants to gain confidence in their abilities and develop leadership skills.M-We will measure the confidence of the participants by handing out surveys to be completed.A-This will be accomplished by enforcing constructive reinforcement. R-The more confidence that kids play with, the more there will be enhanced levels of play.T-We hope that all of our participants gain confidence at each of tournaments.S-Increase awareness of our showcase tournament by 25%.M-We can measure the potential increase by seeing how many times we are mentioned on social media or how many patrons come to our facilities over a couple of years. A- Email youth rugby teams that have liked our organization’s Facebook page. R-Social media and attendance numbers will be the measuring stick for this objective.T-We hope to increase the awareness for the tournament over the next year.Participants Goals and Objectives Kids are four times more likely to play a sport when they are exposed to it at an early age. Our goal for participants is to create a sense of excitement about the game of rugby, in the hopes of gaining a dominant demographic for participants throughout the United States. Our goal is to increase interest in participants to the point where rugby would be considered one of the dominant mainstream sports in America like football, baseball, and basketball.S-We are looking to target male participant teams from 16-18 to participate in tournament style play throughout the weekend. M-We would like this to be a big event, one that will reach national levels of promotion for years to come. A-We only ask that participants remain positive and open-minded throughout this in what will be an amazing weekend. R-We are aiming for participants from all over the United States, hoping to incorporate the sport of Rugby all throughout America. T-Participants will be allowed to register and sign up for our event 1 year in advance.S-We are aiming to increase awareness and interest in Rugby across the states, targeting these participants at younger ages in hopes of building loyalty among the sport. M-We will track Rugby leagues across the states to measure the progress of expending Rugby leagues each year. A-Promoting for our event will start a year in advance to make sure we have enough participants that are serious about participating in this amazing event. R-The more regions we involve with our tournament, the better seeing as how our mission is to spread Rugby.T-We want the demand for Rugby leagues for teenagers to increase by 20% across the southern United States. Spectator Goals and ObjectivesOur goal for spectators is quite simple. We ask that our spectators be kind and courteous towards tournament play for the young. Being that this will be our first year hosting an event of this magnitude, we ask that the spectators (parents and outside guests) help us promote and condone sportsmanship for that we are all here to grow collectively. The second goal for our spectators is to have fun and enjoy the experience. The third goal is to increase attendance.S-We want spectators to watch with a respectful approach and act with passion and respect at the same time.M-The first year there will be crown decibel monitors within the arena and there will also be surveys conducted after the tournament is over to measure the how spectators felt.A-The surveys will have incentives tied to completing them and the patrons will know of them before completing the survey.R-A satisfactory of 70% from the patrons frequenting our facility is what we are shooting for.T-We want to see our satisfactory rate from the patrons increase by the end of the year, just in time for next year’s tournament.S-We as an organization want to increase attendance to our tournament. M-Increase attendance by 25% each year.A-Improved fan experiences and newer technology within the arena will increase attendance. R-If the increase in attendance of 25% is not met, an increase of 20% would be acceptable as well.T-At the end of the second tournament research will be conducted to decipher whether or not the increase in attendance was met. Risk Management Goals and ObjectivesOur goals are to increase the amount of care for athletes who get injured within our facilities at the Rugby tournament, enhance spectator safety at the Showcase Tournament, and lastly, to forbid any external factors that would put oneself or others at risk.S-Increase the number of athletic trainers during the Youth Rugby Tournament by having at least one certified athletic trainer per playing field. M-We will monitor our certified athletic trainers knowledge of safety procedures before each game play. A-There will be at least one certified athletic trainer in attendance of each game, ensuring that players are treating injuries before, during, and after game play. R-Our organization will create a medical station in a central location where participants can receive treatment of injuries prior to/following competition.T-Provide certified athletic training for all games throughout tournament play through for the weekend, from June 4th through June 5th. S-Increase the number of security personnel to 10 on duty around the facility throughout the entire tournament to help with crowd management. M-We will be able to monitor how many times people will try entering our facility with necessities that are not permitted within our facilities, to help keep control over the crowd that will be in attendance. Our security personnel will be challenged daily, testing their knowledge of crowd safety.A-We will conduct bag searches throughout the entire weekend (June 4th-5th) to monitor what's being brought into our facility during all games. R-Prevent any consumption of alcohol inside the facility property by conducting bag searches when individuals enter the facility continuing throughout the tournament. Prohibit any use of firearms inside/on facility property by conducting bag searches when individuals enter the facility lasting throughout the tournament.T-Have personal security available throughout the duration of USARL tournament weekend, from June 4th through June 5th.Budget Goals and ObjectivesOur goals for budgeting is to come out in the green in terms of potential profiting, to have the power to host the tournament annually, and to allocate a portion of our profits to a non-profit organization to boost our image in terms of the community. S-To gain a profit of at least $1,000 for the organization as a whole, and then to triple that in year two. M-We will measure this task by counting up our profits at the end of the tournament with hopes that it turns out in the green.A-The profits will come directly from ticket costs, concession costs, merchandise costs, parking fees, entry fees, waiver fees, and miscellaneous funds. R-We earnestly want to make a profit, but we will not make money the top priority. The overall experience will be the top priority. T-The profit discussion will conclude at the end of the tournament when the last game has been played.S-To find 5 potential organizations to receive our donation portion.M-Of the five potential candidate organizations, determine if they are in fact non-profit and conduct research to see which organization needs the funds the most.A-The objective will be attainable when the organization is in the final stretches of the tournament and organizations for the reward are taking shape.R-Limit the distribution of resources to just one agency so you as an organization don’t over due it.T-After the yearly tournament is over, the most deserving candidate will receive the funds.Marketing Goals and ObjectivesOur goals are to obtain more spectators to come out and watch the Youth Rugby Showcase Tournament, to attract out-of-state youth rugby teams to play in the showcase tournament, and lastly to propose to businesses, that support youth developmental programs, to sponsor our current and future showcasing events.S-Bring more out of state teams within the tournament in the upcoming years.M-At the beginning of each tournament mark down which teams are from out of state and which teams are in state.A-Increased advertising on social media to schools/teams that are out of state will increase out of state teams. R-Have backup in state teams ready to sign up if they out of state quota isn’t fulfilled. T-By the end of year four, have 30% of the teams in the tournament that are out of state.S-Obtain 10 more sponsors for the tournament and organization.M-Monitor the increase of sponsors after the end of every quarter business period.A-Offer incentives such as exposure to advertising to potential sponsors to lure them into partnerships.R-Send out 20 invitations to ensure you have at least 10 replies. T-By the end of year five, have ten more sponsors than we did as an organization at the start. Evaluation Goals and ObjectivesOur goals are to develop a performance survey that assess the overall execution of every showcase tournament, provide high quality customer service to all individuals associated with the tournament, and tournament coordinators will review employee operations and issue feedback. S-Surveys are to be distributed to employees to rate overall execution of the showcase tournament.M-At the tournament meeting, a survey will be attached to the tournament information packet. Employees must sign and date a staff list in order to keep track.A-Every staff member will receive a hard copy of the survey before the tournament and a reminder email after the tournament is completed.R-Surveys are to help improve our organization for future tournaments. Assessment needs to be completed as soon as the tournament is over in order to have the best results and reflection of performance.T-Surveys need to be filled out and completed within 24 hours of the tournament being completed. S-Bring in more volunteers to provide high quality customer service.M-Allow 15 volunteer spots to be filled on our organization's website. A-Increase the number of volunteers to 10-15 people. Volunteers will sign up on our website. After that, we will begin discussing ways to implement the suggestions that we believe will make our organization more successful than it already is for the upcoming years. ................
