Job Description – School Caretaker

SALARY SCALE: Bucks Pay Range 3

HOURS OF DUTY: 37 hours per week - full time.

RESPONSIBLE TO: School Business Manager

MAIN DUTIES

To work as a member of the whole staff team to ensure that children are provided with a safe, clean and attractive learning environment, which will enhance their achievement and enjoyment. To undertake responsibility for the maintenance, security, health and safety of the school site (including grounds, buildings, facilities and equipment) ensuring that they operate efficiently and effectively.

Security and Safety

• Be responsible for the security of the premises and contents.

• Open the grounds and school buildings and ‘unset’ alarms in accordance with daily schedules and ‘one off’ bookings (lettings)/contractor requirements.

• Lock up school doors and gates setting alarms in accordance with daily schedules or as necessary to maximise the security of the school and grounds at all times and minimise the opportunities for vandalism.

• Carry out a full site check (inside and outside the premises) on a daily basis.

• Be the key holder and respond to emergency call outs to the school at night-times, weekends and other school closure periods liaising with alarm company and police, as necessary.

• Carry out emergency security repairs where possible or contact the appropriate contractor.

• Summon appropriate assistance in emergencies and implement the School Emergency Action Plan.

• Ensure access to the grounds and buildings during holidays and evenings to be agreed in advance.

• Maintain duplicate sets of keys for all rooms and equipment.

• Assist with pupil ‘drop off’ in the mornings.

Porterage

• Receive and transport all normal education deliveries to required areas. (Not contractors’ deliveries or high-risk specialised materials)

• To move furniture, equipment and resources as required (ensuring high standards of organisation and tidiness of the school at all times) and distribute goods as appropriate with regard to Health and Safety.

• To assemble goods delivered in parts.

• ‘Lay out’ school halls and other rooms as requested to ensure lessons, parent’s meetings and school activities can take place without disruption or delay.

• To ensure that the school building and play areas are clean and ready for use, including wooded area.

Maintenance

Carry out work under some or all of the following headings.

• General repairs (replace coat hooks, door handles etc)

• Undertake a long term programme of general maintenance work, as agreed, with the School Business Manager to ensure that the school is maintained in a state of good repair on a cost effective basis in accordance with the Schools Development Plan.

• Leaf sweeping

• Painting

• Order and maintain an adequate stock of relevant materials

• To report any need for more extensive work or repair.

• To keep all outside areas clean and tidy, ensure play areas are safe, swept and tidy, ensure drains and guttering are kept free from blockages.

• To monitor the gas and electricity as required.

• To undertake water hygiene (legionella) checks as required.

• To test the fire alarm call points and other systems as specified by the fire safety risk assessment.

Electrical Installations

• Replace bulbs/shades where accessible.

• Replace, re-fuse or fit plugs (after training).

• Inspect electrical fittings and arrange for Contractor to deal with any defects.

• Co-ordinate contractor doing annual PAT testing.

Heating Systems

• To undertake the checks of the boilers in accordance with laid down schedules and to take any remedial action necessary or to report faults so that remedial action can be taken as soon as possible, to enable lessons and activities to take place without disruption.

• Carry out routine maintenance procedures for heating boilers. Ensure that proper safety precautions are observed in boiler rooms. To know the location of main stop cocks and valves, and main electricity breakers.

• To maintain adequate oil levels – order and take delivery of oil.

Cleaning

Manage a team of internal and contract cleaning staff, agreeing and implementing holiday and term time cleaning programmes.

• To keep all areas of school clear of litter including emptying bins as appropriate.

• To order and safely store cleaning and washroom materials as required in line with school ordering procedures.

• Assist cleaners with daily cleaning schedule and deep clean schedule during holidays.

• To take responsibility for cleaning any areas which the cleaners have missed, or following school events.

• To clean up areas where children have been ill or injured.

• Cleaning inside of external windows and both sides of internal windows

• Manage external refuse/skip collections

• Ensure cleaning staff comply with COSHH regulations

Grounds Maintenance

• Ensure grounds maintenance work undertaken by contractors etc. is completed to a high standard and that safe working practices are adhered to. Liaise with contractors as necessary.

• Ensure grounds are kept in a clean and tidy condition.

• Complete line painting where necessary.

• Oversee and undertake as required the cleaning of outside areas, i.e. paths, drains, gullies, car park, play areas.

• To undertake ‘litter picking’ and other tasks associated with maintaining the grounds in a clean and tidy state for pupils, staff and other users

• Snow clearance during inclement weather to ensure swift opening of school.

Monitoring Tasks

• To monitor trade and ground maintenance people on site undertaking maintenance work, including checking that work is completed to a high standard and that contractors complete required school documentation (e.g. asbestos register).

• To ensure that contractors have risk assessments in place before carrying out work on site and to ensure that they are complying with the schools risk assessments and health and safety policy.

• Supervise cleaning staff to ensure cleaning is carried out to expected hygiene and safety standards.

• Inspect fire alarm panel on a daily basis to ensure normal operation of the system.

• Test and record fire alarm on a weekly basis

• Monitor and record checks on fire exit doors on a weekly basis

• Monitor and record fire extinguishers on a weekly basis

• Monitor and record water temperatures on a monthly basis

• Monitor and record position of asbestos, noting any disturbances, on a quarterly basis

• Monitor and maintain glazing records where necessary.

• Commitment to the safeguarding and welfare of children and events of the school community.

• Monitor premises spending against appropriate budgets.

• Deal with day to day work related issues, relating to cleaning staff (e.g. absence cover, quality/quantity of work, working methods/use of new equipment/materials, liaising with the School Business Manager as necessary.

• Monitor meter readings and alert School Office of any anomalies.

Emergencies

• Deal with, or arrange the appropriate authority to deal with, all burst pipes, leaks, flooding, fires and breakages as appropriate.

• Arrange for a contractor to deal with electrical, gas, water or any other installation emergencies. Make safe by initially switching off supply and observing health and safety recommendations, liaising with all concerned.

• Liaise with emergency services including calling in emergency services as required.

• Ensure clear access and assist if required for all emergency services.

Health & Safety

• Have a good working knowledge of and share responsibility of the implementation of the Health & Safety at Work Act 1974 and Health and Safety policy.

• Ensure that all premises equipment, e.g. mechanical aids, stepladders, are in good working order and that checks are carried out and recorded – no default equipment is stored on site.

• Check evacuation routes are clear

• Liaise with external contractors and ensure compliance with Health & Safety requirements.

Management

• To check premises and equipment are maintained correctly under Health and Safety regulations to comply with the school’s health and safety policy, COHSE regulations and report to headteacher and especially in respect of cleaning fluids.

• To ensure that any issues of concern regarding health and safety are reported to the headteacher and School Business Manager and action is taken to rectify problems wherever possible.

• To work to the Headteacher and School Business Manager’s direction to address issues raised in risk assessments.

• To comply with all relevant school policies and procedures.

Training

• In consultation with School Business Manager identify and undertake appropriate training and development.

Other Duties

• Carry out lettings duty as required (with appropriate notice) and where necessary oversee such usage of the establishment

• Carry out reasonable overtime requirements (after school events)

SPECIAL FACTORS

• The nature of the work does involve the post holder carrying out work outside of normal working hours.

• The post holder may be required to attend, from time to time, training courses or other meetings as required by his/her own training needs and the needs of the school.

• This post is subject to an Enhanced level DBS check.
