This year we are celebrating our 10th anniversary with Barbara Hepworth: Art & Life, the largest exhibition since the artist’s death in 1975. The commercial events operation provides vital income to ensure the gallery’s continued viability and sustainability. The gallery and garden provide a unique venue for weddings, private and corporate events, outdoor events, filming, and photoshoots. This is a hands-on role, where you will be responsible for growing the business, ensuring the smooth planning and delivery of all bookings, and overseeing every aspect of event delivery. You will work closely with other teams including catering, exhibitions and marketing. KEY RESPONSIBILITIES AND RESULTSPro-actively drive sales of The Hepworth Wakefield as a venue for corporate and private events, and film and photography shoots, and achieve income and expenditure targets, sourcing new leads and researching markets to identify revenue opportunitiesEnsure efficient and accurate communications with clients, ensuring their queries are answered in a timely and profession manner, and conduct site visits to assist clients in the planning of their eventNetwork and build relationships with clients including but not limited to private clients, businesses, wedding planners, filming and photography agencies and media contacts.Act on behalf of our caterers (a combination of in-house catering and external event caterers), maximising sales by identifying client needs and suggesting menus. Ensure meticulous planning and hands on management on the day of the event to ensure that all runs smoothly including liaising with suppliers, overseeing the set-up and take down and that all post event procedures are completed. Plan staff resource in liaison with THW’s catering manager. Manage all administrative aspects of bookings including the preparation of contracts, invoices, event plans and enquiry logs, utilising the booking software (Gamma)Maintain accurate income and expenditure records for each event and ensure all financial procedures are adhered to. Provide accurate sales information for the quarterly management report for the enterprises board.Working with the marketing team, develop and implement the commercial events marketing strategy to include but not limited to print media, digital listings, social media and web pages, and attendance at wedding fairs and other external events. Liaise with other departments to negotiate use of multi-functional spaces for commercial events, such as the learning studios and gallery spaces. Ensure all licensing, security, fire and health and safety regulations and procedures are adhered to.additional INFORMATIONThe Commercial Events Manager will work closely with the Director of Operations and THW’s catering manager, as well as designated external event caterers, to deliver a proactive commercial events sales strategy. Notice period 1 week during probation. The place of work is The Hepworth Wakefield, Gallery Walk, Wakefield, WF1 5AW. 25 days annual leave per annum plus bank holidays (pro rata), rising by a day each year of service up to a maximum of 28 days.
