WARSAW COMMUNITY SCHOOL ATHLETIC FACILITY RENTAL PROCEDURES & RATES (Pilot Program)2019-20 SCHOOL YEARAdministrative Guidelines for Facility RentalsPriority of School Activities The time or nature of rental usage shall not interfere with scheduled school activities. Official school activities shall have priority over all requests. In the event a school activity needs to be rescheduled at the same time as a previously approved non-school usage, the non-school usage must either be rescheduled or cancelled. For Profit Activities It is preferred that WCS facilities not be used for profit making activities unless the renter has for their primary objective community betterment and/or charitable purposes. Exceptions may be made for local businesses conducting community performing arts activities (e.g., recitals, plays, concerts) or trade shows. It is not acceptable for WCS facilities to be used as alternate business sites for ongoing for- profit activities. Community Emergencies Facilities shall be made available without charge to agencies such as the, Red Cross, Civil Defense and Salvation Army during emergencies. Equal Access It is the policy of WCS not to deny equal access or a fair opportunity to, or discriminate against, any students who wish to conduct a meeting within that limited open forum in the high school on the basis of the religious, political, philosophical or other content of the speech at such meetings. Waivers Certain activities benefiting the corporation, WCS students and/or jointly sponsored by WCS may have all or partial charges waived. Employee Wages Regular school employees are paid at their overtime rate for working non-WCS rentals only when their total hours exceed 40 hours for the work- week. Pool lifeguards and supervisors are paid at their regular rate regardless if a WCS or non-WCS rental. They are only paid overtime when their total hours exceed 40 hours for the work-week. FACILITY RENTAL PROCEDURESRENTAL CATEGORIES:USER GROUP CLASS IWarsaw Community Schools user groups affiliated with the high school and development of future athletes for Warsaw HS. No money is collected from participants and/or admission fees are charged. If any money is collected then all funds raised will be deposited to WCHS athletic department.USER GROUP CLASS IIWarsaw Community Schools user groups affiliated with the high school and development of future athletes for Warsaw HS. Money is collected by the outside organization and/or admission fees are charged and deposited outside of the Warsaw Community Schools Corporation. Money collected from rental rates will be deposited with the high school book keeper into a separate rental facility usage account.50% of these proceeds will be given to the corporation for utilities costs, future repair & maintenance, restroom supplies, etc.50% will stay at the high school for the athletic department to use as needed.USER GROUP CLASS IIIUser groups who ARE NOT affiliated with the high school and development of future athletes for Warsaw HS. Money collected from rental rates will be deposited with the high school book keeper into a separate rental facility usage account. 50% of these proceeds will be given to the corporation for utilities costs, future repair & maintenance, restroom supplies, etc.50% will stay at the high school for the athletic department to use as needed.MULTI FACILITY USAGE TOURNAMENTS: Option to have money collected be a percentage of the gate and/or entry fee’s in lieu of rental rates and custodial fee’s.GENERAL GUIDELINES:Facility Host: $15/hr. Assigned if user group does not have access to facility from a current WCS employee.Custodial fee: $20/hr x 2 custodians. Minimum of 2 hours. Basic cleaning will be expected from user group (see attachment). Otherwise, a portion or all of deposit may not be returned. Custodians will be assigned as determined by athletic director with large participation (100+) and/or concessions/food made available during rental.Outdoor Field Lights: $50/hrSecurity Deposit: There will be a $250 security deposit collected for Class II and $500 security deposit collected for Class III user groups.Concessions and admission charges: Class I & II user groups will have the option to sell our concessions and keep admission revenue. Athletic department will manage concessions and admission/ticket takers for Class III user groups Snow Removal: There will be an additional charge for snow or ice removal.No rentals will be allowed during the following times:During the school day from 7:00am – 6:00pm & not after 10pm.During holidays and when school is not in session including summer months. Tournaments & special events would be an exceptionNo food or drink besides water is allowed on the Field House Floor or bleachersFood and drink will be allowed in the field house classrooms and lobby area only.High school youth development camps: directed, run, and operated by WCS employee(s) can be paid up to $20/hr for their time and services to host camp. These fee’s will only come from camp proceeds. All camp funds will be deposited into WCHS team account. The Superintendent is authorized to make special arrangements for groups that rent our facilities on a regular recurring basis each year.Charges may be waived or adjusted by the MUNITY USAGE GUIDELINES:Availability (only when school is in session)Monday, Wednesday, Friday: 6:00am – 7:00am Tuesday & Thursday: 6:00pm – 8:00pm Subject to share facility with other user groups or be closed completely to community for Class III user group requestsCost: INDIVIDUAL$2.00= Individual Session$15.00= Personal Monthly Membership$75.00= Annual Membership FAMILY$5.00= Immediate Family Individual Session$50.00= Immediate Family Monthly Membership$150.00= Immediate Family Annual Membership FREEWCS Staff & their immediate family5 and underAge RestrictionsUnder 18 years of age must be accompanied by an adult.FACILITY RENTAL RATES: ?
