Position Inventory Controller

Reports to Purchasing Manager

Overview

The primary responsibility of this role is:

• To manage and accurately account for all inventory items.

Functional Relationships

• General Manager, Purchasing Manager, Purchasing / Receipting Staff, Assistant Manager, Produce Manager , Compliance and Asset Manager, Day, Night supervisors, Day, Night store staff, Accounts Payable staff, Sales Manager and staff.

Key Responsibilities

Stock Control

• Ensure stock is rotated on a first in – first out basis (FIFO).

• Undertake investigations to locate missing stock and perform appropriate auditable real-time adjustments

• Maintain and reconcile on a daily basis stock returned for credit, establish robust mechanisms to accurately track and reconcile stock for crediting

• Monitor use-by-dates and prepare stock disposal sheets for urgent sale before expiry by sales staff

• Ensure sales staff are fully briefed on a daily basis of product saleable that is for disposal and that the product is correctly picked and loaded.

• Ensure stores staff are aware of items nearing expiry must be picked first for sale.

• Establish and maintain a short dated stock bin to avoid any confusion between same product lines sold at discount to dispose as opposed to stock with good dates.

• Maintain F2F transfers and ensure correct procedures are recorded as required by the Food Control Plan.

• Ensure stock going into short dated/quarantine bin is removed from inventory system for sale by the completion of a real-time post dated order to remove from sale opportunity.

• Ensure this is completed and stock issue resolved to invoice or separate sale within a week and by month end.

• Undertake appropriate stock disposal for expired and damaged stock

• Undertake RFC submissions for damaged, credited and expired stock as and when required

• Establish stocktake 3 monthly timeframes and undertake full company stocktakes, including all real-time functions

• Undertake frequent bin localised stocktakes on a regular basis depending on need, stock value or attractiveness.

• Undertake cyclical stock counts on major category lines weekly or as required, e.g. Streets, Mrs Mac’s, Meat, F2F products.

• Maintain Bin Locations in real-time System.

• Check, reconcile and act on all damaged / missing / quarantined stock on a daily basis

• Undertake stock isolation and associated actions required for notified stock recalls – notified lines to be quarantined.

Food Safety

• Ensure that damaged stock and Supplier claim stock are kept in separate, clearly labelled areas of the Warehouse. Any stock being returned to the Supplier must be accompanied by a Request for Credit – Supplier form.

• Observe Company policies on personal hygiene, wounds and infectious illnesses

• Oversee and assist with cleaning duties. The Warehouse and Freezers must be kept tidy and free from rubbish.

• Ensure that damaged and unsaleable products are removed from picking locations, repacked and stored in a location solely for this purpose.

• Maintain all stock records as required within the Food Control Plan.

Inwards Goods

• Follow the Branch Inwards Goods Procedure, (recommend changes and efficiencies)

• Assist with the unloading of inward goods

• Ensure there is an accurate count check of all inward goods on arrival into store including temperature compliance

• Check that stock descriptions, pack size and quantities are accurate. Verify that packaging and labelling will meet our storage and picking requirements

• Ensure Purchasing staff is notified by notation on the packing slips of any stock balance or item description discrepancies when receipting stock in Realtime System.

• Record all inward goods on to the Daily Product Receiving Form

• Reconcile all inwards goods to a copy of the PO and submit same to receipting Clerk

• Receipt stock as and when required into Realtime

• Ensure all Food Control Plan requirements are undertaken and returns completed

• Ensure that all goods received are free from contamination or damage according to the published Standard Operating Procedure before signing documentation

• All damages are to be noted and brought to the attention of the deliverer who must clearly sign acknowledgement of the damages

• Ensure all damaged stock if not immediately returned is isolated in appropriate quarantine area, labelled for easy identification to packing slip receipt.

• If required undertaken RFC submission to supplier, and discard product on receiving the supplier credit.

• Ensure that any temperature sensitive goods received are placed in refrigeration within Food Control Plan guidelines.

Health and Safety

• Perform daily equipment and machinery safety checks as required before use. Advise your Supervisor of any damaged or faulty equipment immediately.

• Adhere to Health and Safety rules outlined in Item 20 in your Employment Agreement.

Other

• Ensure stock substitutions are noted on pick sheets

• Pack and load stock off invoice for delivery runs when required

• Relieve for Receipting Clerk when required

• Rostered Weekend Despatch Supervisor Duty when required

Key Performance Indicators

• Accuracy of inwards goods documentation received including time, descriptions, quantities, temperature, dates

• Receipting accuracy

• Correct and robust auditable record maintenance

• Effectiveness of relationships with delivery personnel

• Accuracy of picking and packing orders

• Accuracy of Bin Locations

• Stocktake accuracy to stock on hand with minimal variance + or - $100.00

• Completion of missing stock investigations on a daily basis

• Completion of damaged stock disposal daily

• Accuracy of stock control for missing, damaged and credit items

• Accuracy of stored stock documentation and procedures

• Competent relieving of other required personnel tasks
