1 The Basics

In this chapter you will learn how to activate the library system, select activities from a menu and to obtain online help.

1 Starting and Quitting the Program

You must have a user name (or login ID) and a password to use the computer. If you don’t have them, talk to your DP Support personnel. In addition you must also know the Library System password so you can run the program.

To start or run the program LIB_MAIN,

• Login to the system by entering your user ID and your password, pressing ( (the key) each time. That is,

Username: your name here

Password: your password here

• When you see the system prompt, usually a $ sign, enter the program name. That is,

$ LIB_MAIN (

• You are now asked to enter the Library System password. Type it in and then press ( .

• You now see the Library System main menu, shown in the following figure.

To quit the program,

• Press X . The Library System main menu closes and you are taken back to the system prompt, the $ sign.

• Now, enter LOGOUT and then press (. That is,

$ LOGOUT (

Important: You must always log out when you leave your terminal unattended to prevent possible unauthorized access by other people.

2 Working With Menus and Windowed Programs

A menu is just a list of choices. Computer menus are very much like restaurant menus: from a list of programs, you simply pick the one you want to run. For example, the Library System’s main menu, shown above, lists the things that a librarian could do.

To select an item from this menu, highlight your choice (using the ( or ( arrow key to move the highlight bar) and then press ¿. Accelerator keys are also available. These are the letters assigned to each menu item, for example, A for Additional Menu Options. To select an item, simply press the accelerator key.

Once selected from a menu, a program would present itself as a rectangular portion of the screen called a window. Some, like Additional Menu Options, would simply open another menu. But many programs use formatted screens to present information to you in an easily readable form. A formatted screen is essentially the electronic equivalent of a paper form. See, for example, the Group Checkout (By Teacher) window shown below.

The window can be scrolled one line at a time by pressing the ­ ¯ keys, or a page at a time using the or key. In addition, certain keys have certain significance to the program and allows you to perform various functions or activities. These keys, known as function codes, are shown at the bottom of the window along with a very short description of its function. Normally, they are the first letter of a function, for example, C for Change, D for Drop, and so on.

3 Getting Help

The Library System provides various kinds of on-line help. They’re context-sensitive and are readily available whenever you press the key or, if your keyboard doesn’t have this key, press CTRL H (that is, press the key and hold it and then press H). Among them:

• an explanation of what the window is all about,

• additional information about the highlighted row

• if the cursor is in a particular field (waiting user input, for example), an explanation of what the field is about

• an explanation of the various function codes

Now that you know how to login and logout of your computer, start and stop the Library System and select a program to run from a computer menu, you are now ready to move on to the next few chapters of this document and learn to do the following:

2 Customizing Your System

To a certain extent you can customize the way the Library System behaves. You do this by specifying what is known as parameters, in response to questions that are asked in the Parameter Update Screen, shown here.

When the system is installed, the installation program provided by Digitronics Software sets up default values for each parameter. Here’s an explanation of what the various parameters mean:

School: This is your school location number. You don’t change this one.

#Tracks: This indicates how many tracks there are in your school, if your school is year round.

Password: It is recommended that you change the password if you feel that it has been compromised.

Librarian: This is the librarian’s user name as set up by your Data Processing personnel. This normally changes only if there is a new librarian.

ID#: This is the librarian’s Patron ID number. This is optional and thus, it may or may not be specified.

Include Track Schedule In The Calculation? This is normally coded Y. Note that the track schedule, a record of school holidays, is maintained by the Student Administration area and interfaced from the Student System to the Library System.

Automatically Enclose Search String With A Wildcard? The wildcard character (*) can be used to tell the system to search only those that

begins with the search string, by placing the wildcard after the search string, eg,, *MAN

ends with the search string, by placing the wildcard before the search string, eg., MAN*

contains the search string, by enclosing the search string with a wildcard, eg., *MAN*

Coding this field with a Y will automatically enclose the search string with the wildcard, meaning that the file is always searched for those that contain the given search key.

Automatically Hold Checked-In Items in Reserve? The system allows you to hold an item in reserve for a particular patron by scanning the item’s barcode. However, by indicating a Y here, you may let the system automatically hold an item in reserve for the patron atop the reservation list ( first come, first serve) as soon as someone checks in that item.

On Checkin/Checkout Screen, Show Teacher’s Overdue Books? The Check In/Checkout/Renewal Screen of the Main menu always alert the librarian when a patron owes something, such as fines for lost, damaged or overdue book. For teachers you may decide to get the system to keep quiet, and thus you may leave this field blank.

Beep When the Item is Due Within __ Day(s) The beep is intended to get the librarian’s attention whenever an item with a very short loan period (eg, overnight) is being checked out.

Password Is Required To Process Fines Over __ Dollars This is designed to disallow certain personnel from handling large sums of money. Beyond the amount indicated here, a password is required.

When Searching, Max Number of Printed Pages Allowed This indicates how many pages a library patron can print when doing library searches. Since most patrons are students, it may be necessary to set this number low.

Amount Charge To Patrons For Each Printed Page This is the amount charge to patrons for each page printed as a result of doing library searches.

1 Activating the Parameter Update Screen

The Parameters Update Screen is not readily accessible from the main menu but is one of several that are under the Password Protected Menu, which as its name implies can only be activated from the main menu by entering a password. To activate the System Parameter Screen, do the following:

• From the Library System main menu, press the key.

• Enter the Library System password. You should now see the Password Protected Menu opening on top of the previous one. Here’s what the screen looks like.

• Activate the Parameters Update Screen by highlighting it and then pressing ( (or you may simply press the accelerator key, P).

• Enter the necessary changes.

• Press ( when finished. This will take you back to the previous screen.

3 Circulation Rules

Circulation rules govern the way a particular group of patrons use a particular media. Thus, there is one set of rules for each type of patron and for a given type of materials. For example, students may be allowed to borrow books (media type 010101) from the library for only 10 days while teachers may keep them for a year, or students may have to pay daily rental for videos but not teachers .

There are five basic patron types:

00 Local students

31 Teachers

32 Staff (other than teachers)

33 Non-resident students

34 Parents (and everyone else)

When the system is first installed, a circulation rule is defined for each patron type for books (media type 010101) and for video tapes (media type 030103), with default values: 14 day loan period, 3 day grace period, etc. Right after installation, you should look into these default values and change those that need to be changed.

1 Defining Your Circulation Rules

The Circulation Rules window is not readily accessible from the main menu but is one of several that are under the Password Protected Menu, which as its name implies can only be activated from the main menu by entering a password. To activate the Circulation Rules window, do the following:

• From the Library System main menu, press the key.

• Enter the Library System password. The Password Protected Menu now opens. (See Chapter 2 to see what it looks like.)

• Highlight the menu item Circulation Rules and then press ( (or you may simply press the accelerator key, R). The Circulation Rules window now opens. Here’s what it looks like:

The window shows the following information:

• patron type and description (TYPE, DESC)

• media type (MEDIA) and description

• whether to keep a history of what a patron borrows (KEEP HIST)

• loan period, in days

• grace period, in days

• renewal period, in days

• maximum number of renewals (MAXIMUM RENEWAL) and phone renewals allowed (MAX PHONE RENEWAL)

• reservation period, in days

• maximum number of reservations allowed at one time (MAX RESERVATION)

• maximum number of overdue notices to be sent (MAX #NOTICES SENT)

• number of items that can be checked out at one time (CHECKOUT MAX)

• number of items that can be checked out per subject at one time (SUBJECT MAX)

• number of days from due date to when the patron is notified (NOTIFICATION)

• number of days from due date to when the patron is warned that that the item will be declared lost (WARNING)

• number of days from due date to when the item is declared lost (DECLARED LOST)

• amount charged for the original and replacement cards (ORIGINAL CARD, REPLACEMENT CARD)

• amount charged daily for overdue item (DAILY FINE)

• maximum fine to be charged: actual cost (COST) or replacement (REPLA), and if not specified, the default maximum (DEFAULT MAX)

• daily rental, if applicable

The bottom portion of the window shows the various functions or activities that you can do. Normally, the first letter of a function is designated as the function code, which is the key you press if you want to activate that particular function.

1 Browsing the Circulation Rules

Press B to browse backward and F to browse forward. To directly display a specified record, enter G and then specify both the patron type and the media type.

2 Maintainance

The Add, Change and Drop functions are the basic tools to use for maintaining the database. You add a record when it ought to be there, change it if it is no longer current and drop it from the file if it's no longer needed.

1 Adding A Record

To add a new record,

• Press A. The window will clear and you are then prompted to enter the patron and the media type.

• Type in the patron type and the media type and then press ¿.

• Type in everything else. Press to move from one field to another. Press ¿ only when you're done.

• Confirm your intention to add a record.

The Kopy function also lets you add a new record. But, unlike Add, it allows you to copy information from the displayed record, which is desirable if this record contains information similar to the one you are about to add. To copy,

• Display the record that you want copied and then press K.

• Enter a new patron type or a new media type or both.

• Confirm your intention to add the record.

• If there's any information that you want to change, use the Change function (see next section).

2 Changing A Record

Information shown on the screen is divided into several groups to facilitate data changes. For example, if you want to change the number of days from due date to notification, you can go straight to Group 4, where it is located, instead of going to the top of the screen and work your way into Group 4.

To change a record,

• Display the record that you want to change. Use the B, F or G function codes to do this.

• Press C and then enter the group number, where the field that you want to change is. The cursor will move straight to the first field of the specified group number.

• Make the necessary changes. Press to move from one field to another. Press ¿ only when you're all done.

3 Dropping A Record

You can drop or delete any record with the exception of those that are for books (media 010101) and for basic patron types (00, 31, 32, 33 and 34).

To drop or delete a record from the file,

• Display the record that you want to delete. Use the B, F or G function codes to do this.

• Press D and then confirm your intention.

4 Library Calendar

There are two types of calendars: the library calendar, which you maintain, and the track (or school) calendar, which the school administrator maintains and which you don’t normally change. Thus, in this chapter you will only learn how to maintain the library calendar.

The library calendar is not readily accessible from the main menu but is one of several that are under the Password Protected Menu. To activate the library calendar, do the following:

• From the Library System main menu, press the key.

• The Password Protected Menu opens. (See Chapter 2 if you want to see what it looks like.)

• Highlight the menu option Calendar and then press ¿, or you can just press its accelerator key, C.

• You are now asked whether you want the library calendar or the track calendar, that is,

Library [L] or Track[T]=>

Press L to select the library calendar.

• The library calendar now opens. Here’s an example of how it looks.

1 Updating the Calendar

Alongside each day of a calendar month is the holiday mark or event code, a code indicating the type of event that takes place during that day. Depending on how it is coded, an event code may either indicate a library holiday (when the library is closed) or it may simply indicate an event worth noting (your birthday, for example). The system considers all event codes from A through Z as holidays. Others (digits 0-9 and special characters such as + and =) are considered notational or “business as usual”. Event codes, in conjunction with circulation rules , play a significant role in determining the loan and renewal periods and the calculation of due dates.

The bottom portion of the window shows the various functions or activities that you can do. Note that pressing X has been the standard way to exit and is implicit in all pop-up windows.

1 Browsing the Calendar

Press B to browse backward and F to browse forward. To directly display a specific month, enter G and then specify the year and the month number (January = 1, February = 2, and so on).

2 Maintaining the Calendar

Whatever maintenance is required, it is few and far between. The Add, Change and Delete functions are what you use to maintain the calendar. You add a new calendar year when you get close to the end of file or delete it when it is already well back into the past (for example, you may decide to keep only 7 years). Most often, maintenance simply means marking the calendar for holidays and other special events that are of interest to the library.

To add a new calendar year, simply press A. Note however, that the newly added calendar year does not contain any holidays or event codes.

To delete a calendar year, display any month of that year and then press D. The system will ask you to confirm your intention before deleting a calendar year.

3 Marking the Calendar

When a new calendar year is created, it is devoid of any holiday marks or event codes. To mark the calendar with event codes,

• Display the month number when the event occurs. Use the B, F and G function codes to do this.

• Press C (i.e., Change)

• Move the cursor to the event field and enter the event code. Press to get a list of what the various codes are.

• Press to move from one field to another. Press ¿ only when you're all done.

4 Printing a Calendar

To print a library calendar, first display any month of the calendar year that you want printed (use the B, F and G function codes to do this) and then just press P.

The printed calendar shows three months on each page and includes a description of any special event (for example, Thanksgiving Day) which occurs during the month.

5 Materials & Inventory File Update

Information about each library material is represented by a BOK record and stored in the Materials file. Each record is assigned a unique ISBN number. In the case where a valid ISBN is not available (for example: books published in the forties, video and audio cassettes), a bogus ISBN is internally generated by the system and not normally shown to the user. This number consists of a 9 as the first digit followed by a dash, then by your district location number and finally, by a system-generated sequential number. Also, in the case where an item is given the same ISBN number (a set of encyclopedia, for example), a new 2-digit sequence number is assigned to each duplicate ISBN.

In addition to the ISBN, each record also contains a Library of Congress number if available and, in essence, two types of information: external and internal. External information is obtained from vendors or from the OCLC (ONLINE COMPUTER LIBRARY CENTER,INC). These include information such as a book's title, author, publisher, copyright, call number, abstract, etc. Internal information is obtained from within: some are input manually, for example: shelf location, number of copies, while others are generated by the system such as monthly statistics.

Most information come externally and are processed automatically by your DP Support personnel by running the appropriate interface program. All you need to do is provide what's missing.

In this chapter, we will discuss the Materials File Update window, its features and capabilities.

1 Materials File Update Window

The Materials File Update window is activated from the main menu by highlighting and then pressing ¿, or by pressing its accelerator key, M.

To facilitate data changes, the screen is divided into four groups. For example, if you want to change data that are in group 3, you can go directly to that group instead of starting at the very beginning and work your way into group 3.

Group 1, DESCRIPTION, shows the following:

• the ISBN number, ISBN. In the case where a book is given the same ISBN, a sequence number, shown within square brackets, is assigned.

• OCLC, a code indicating the various condition for interfacing with OCLC and vendors:

Group 2, TEXTBOOK and COURSES, shows information relating to textbooks.

• TEXT, a code indicating whether or not the library item is a textbook

• DEPT, a free format field to indicate the department that the textbook is for

• GR/LV, the grade level deemed appropriate for the material

• RD/LV, the reading level appropriate for the material

• TCHR-ONLY, code indicating whether or not this textbook can only be checked out by teachers

• COURSES, which identifies the courses that the textbook is for

Group 3, SUBJECT, shows the codes to indicate the subject areas that the material is said to cover.

Group 4, MISCELLANEOUS, shows the following:

• BIND TYPE, i.e., whether the material is on paperback or hardback

• REPLAC, the replacement cost, or how much it will cost you to buy a copy of this item today. You may set the circulation rules to point to this amount as the maximum that can be charged for lost or damaged material.

• ACTUAL, the price you actually paid for a single copy. You may set the circulation rules to point to this amount as the maximum that can be charged for lost or damaged material.

• TOTAL NO OF COPIES, including those that have been declared lost, damaged, etc.

• COPIES ON HAND, which excludes those that are lost, weeded, loaned out or transferred to another school.

• COPIES CHECKED OUT

• LAST CHECKED OUT, the date when a copy was last checked out

• INTERFACED, to show which interface program, if applicable, was used to obtain information and when

The bottom portion of the screen contains three fields that are used for communicating with the system. These are

1. function field, where you input the code (function code) which identifies the type of activity or function that is to be performed,

2. reference field, where you input additional information for reference, and

3. message field, where system messages are displayed

2 Function Codes

Listed at the bottom of the screen are the various types of activities or functions that you can do. The first character of a function is usually, but not always, its function code, for example: A for Add, B for Backward, F for Forward, etc.

Briefly, these functions are:

3 Browsing

Use the Backward and Forward functions for browsing. That is, press B to browse backward and F to browse forward. You can also use the Get function to directly display a specified record. Simply type G and then enter any of the following: the ISBN, the Library of Congress number or the title.

4 Maintainance

The Add, Change, Drop and Kopy functions are the ones you use to maintain the database. You Add a record if it ought to be there, Change it to make it up to date or Drop it from the file if it is no longer needed. Kopy allows you to create a record, like the Add function, by copying information from the displayed record.

1 Adding A Record

As mentioned in the beginning, most information will come externally, from OCLC or from the vendor, whichever is being used, and will be processed by your data processing personnel using interface programs such as LIB_DISC. All that's left for you to do is provide what's missing. Thus, you don't often add new records but change it.

Nevertheless, if you need to add a record,

• Press A. The screen clears and the system now prompts you to enter the ISBN number, the Library of Congress number and the title.

• Enter one or all of the following: ISBN, Library of Congress, title. If a record is found in the district and in your school database that matches what you've specified, character by character (or digit by digit) from left to right, it will be shown to you in a window. For example, if we specify only a title, MAN, a list of items whose title starts with MAN will be shown, as in the following.

If the item (or book) that you ‘re about to add is on the list, just highlight that book and then press U. To be sure you can obtain additional information about the highlighted row by pressing the key (if you don’t have it, press ). Information such as the abstract and USMARC will then be made available to you.

Press X if the item is not on the list. Then when the selection window closes and you’re back at the Materials File Update, enter additional information about that item.

• If you want to enter abstract or keywords, use the T function code. A window will open to let you enter them.

2 Kopy Function

Kopy is used in the case where the same ISBN is assigned to two or more different items.

The Kopy function allows you to create a new record by copying information, including the ISBN number, from the displayed record, but is given a new sequence number. This is ideal if a record contains information similar to the one that you are going to add; for example, an encyclopedia. You simply make a copy of the record and then use the Change function to change information that is different.

3 Changing a Record

Information that's presented on the screen is divided into four groups:

1. DESCRIPTION, which contains basic information about the library material

2. TEXTBOOK, showing which courses the library material can be used for

3. SUBJECT, showing which subject areas the library material can be said to fall under

4. MISCELLANEOUS, which shows miscellaneous information about the material

By referencing the group number, you can move the cursor directly to that group. For example, to change the subject area code,

• Press C and then enter a 3, the group number, in the reference field. This moves the cursor to the first field of the subject area, Group 3.

• Now you can enter the necessary changes.

Press to move from field to field. Press ¿ only when you're finished.

If you want to enter or change the abstract or keywords, use the T function code.

4 Deleting A Record

You should never delete a record from the file unless it was entered by mistake.

To delete a record,

• Display that record first. Use the B, F or G code to display it.

• Press D to delete the record and then confirm your intention when prompted to.

5 Scan to Assign a Barcode to a Physical Inventory

Assigning a barcode to an actual physical inventory requires that (1) you identify the book and then (2) you scan the barcode. Scanning the barcode label creates an inventory record or a “copy on hand”. For efficiency, you should put together all copies of the same book in a group before you commence scanning. Thus, for each group,

1. Display the material master record using either the B, F or G function code.

2. Press S to activate the scanning function and then scan the barcode on each copy of the book. Here’s what the screen looks like at this point.

5 Modify Status, Dewey, Shelf, Location

This option allows you to update the status, as lost, damaged, etc., change an item's Dewey number and shelf, or if the school has more than one library location, update the location code. Here's an example of the window:

7 Reservation

The window shows the names of those who have a reservation, date and time of the reservation, the barcode and the holding period in days (if an actual book is held). It allows you to add a reservation, change the holding period and time, drop or delete a reservation, sort the list in chronological order, print the list, and scan to reserve a barcode. 6 Patron File Update

The patron file stores information about library patrons—name, address, phone numbers, etc. Each patron is represented by an LPT record, which is identified by a unique ID number. The first two digits of the ID number indicates a type of patron to which an individual belongs. A patron type can be any of the following:

The Student System interface programs, if implemented in your school, generate LPT records for local students and teachers, based on information obtained from the Student System databases. Thus, the LPT records for local students and teachers always reflect the latest information found in the Student System. Consequently, day to day maintenance of the LPT records for local students and teachers is, under normal circumstances, not necessary.

The patron file update window, which is available from the main menu, is used to maintain the patron file. In this chapter, we will discuss this window, its features and capabilities.

1 Patron File Update Window

You activate the patron file update window from the main menu by highlighting it and then pressing ¿, or by pressing its accelerator key, P. Here is an example of the window:

Note: You can only add a local student or a teacher to the file if the patron is in the Student System but not in the Library System. This happens when that patron , student or teacher, has just been added to the Student System database.

• Enter the remaining information.

Press to move from field to field. Press ¿ only when you're all finished.

2 Changing a Record

Information about a patron is divided into several groups to facilitate data changes, so that by referencing the group number, you can move the cursor directly to that group. For example, to change the SEX of the patron,

• Press C and then enter a 3, the group number where the field that we want to change is, in the reference field.

This moves the cursor to the first field of Group 3.

• to the SEX field and change it.

Press to move from field to field. Press ¿ only when you're all finished.

3 Deleting A Record

You should never delete a record from the file unless it was entered there by mistake.

5 Randomly-generated Password

Digitronics Software Library System package also includes an integrated environment for patrons, mainly students. For security reasons, all patrons must have a password and must enter their password to use their environment.

To assign a randomly-generated password to a patron, press P.

6 More Functions

The More function opens a menu which allows you to perform other functions such as displaying all items that are currently checked out to the patron, mark an item as being lost or damaged, and fine the patron.

The window shows the date when an item was checked out and when it is due. It also shows the status code (whether it is lost, damaged, etc.), the item description and bar code. You can obtain additional information about the window and about the highlighted row by pressing . Here's an example of the window:

To mark a copy as lost , damaged, etc., highlight that row and then press ¿. The ® key or also works the same way. The cursor will move to the field captioned S where you can enter the status code. Press to obtain a list of all valid codes.

The top portion of the window shows the patron’s identity, i.e., ID number and name. 4. To renew an item simply highlight it and then press .

4 Changing the Due Date and the Status

The window only allows you to change the status and the due date. You may only change the status to L (if the book is lost) or D (if it is damaged).

Press C to change the status or the due date of the book. Now, enter the L (if lost) or D (if damaged). Or if you only want to change the due date, press and then enter a new due date.

Note: If you declare the book lost or damaged, the system will give you an opportunity to fine the student. Also, the due date is automatically generated based on information set up in the circulation rules.

5 Dropping (Removing) A Record

To drop or delete a particular record (or row), highlight that row and then press D. The system will then ask you to confirm your intention. Note: You should only remove a record if it was entered by mistake.

6 Processing Fines

To process fines, pay or create one, press F. A window, similar to the one shown below, will appear.

7 Selecting Another Patron

Press G to select another patron. Now, scan the ID number. The system then searches the file for all books that are currently checked out to that patron.

To obtain a hard-copy listing, press P. (Note: The listing is not a screen snapshot but contains everything, including those that are not currently shown on the screen.)

8 Group Checkout By Teacher

This main menu option (activated by pressing G) is used for circulating items to a group, for example, elementary school children brought in by a teacher to the library. A window opens wherein the librarian can identify the teacher and then scan books out to the students. Here’s what the window looks like:

1 Report Program LIB18: Teacher-Student Barcode Listing

The report program LIB18: Teacher-Student Barcode Listing, which is available from the main menu option Report Programs (accelerator key R), prints a list of barcoded ID number for a particular teacher and the students in his/her class. You should have a copy of this report before attempting to perform group check in or check out.

As soon as the Group Checkout window opens, you are prompted to enter or scan the teacher’s ID number. The system then searches the file for all students under the specified teacher, and if any student has an item currently checked out, displays it. Only then will you be able to perform any of the various functions.

2 Checking Items Out

From the Group Checkout window, press O to begin.

The system then continually prompts you to enter the student ID number followed by the book’s barcode until there’s an error or until you enter nothing, that is, when you press the ( key to indicate that you are finished. The student’s name will automatically appear after you scan the ID number; the title and due date will automatically appear after you scan the book’s barcode. Here’s what the screen looks like.

1 What if the student’s name and barcoded ID is not on the report?

If it happens that the student‘s name and barcoded ID number are not on the LIB18 report, as in the case of a new student, you may obtain the student’s ID number by activating the library system’s instant query (see Chapter 12 for details) and highlighting the menu option Patron Query. Briefly, here’s how you do it:

• Press to suspend what you’re doing and open the Library System Query window.

• Highlight the option Patron Query and then enter the student’s last name. All patron’s whose last name matches the one you’ve entered appear.

• To close the window and return to what you were doing (before you pressed ), press X.

3 Checking Items In

From the Group Checkout window, press I to begin.

The system now prompts you (and will continually prompt you) to enter or scan the book’s barcode until there’s an error or until you enter nothing, that is, when you press the ( key to indicate that you are finished. 8 Sorting and Printing

When the Group Checkout window initially appears, it lists students in alphabetical order by name. As you add records to the list, however, they get appended to or added at the end of the list, causing it to be out of order. If it becomes necessary to sort the list in alphabetical order by name, simply press S.

For various reasons a hard-copy listing may be necessary. If so, press P. (Note: The listing is not a screen snapshot but contains everything, including those that are not currently shown on the screen.)

9 Renewal

Renewal is performed by pressing R and then scanning the book’s barcode. The book does not need to be currently on the display screen; the system will locate it and highlight it for you.

If the barcode is not readily available but the student ID is, you may enter or scan the student ID number instead. The system will locate the student ID and highlight it. Note, however, that if the student has checked out more than one book, the book may not necessarily be the one that is highlighted.

The system automatically increments the number of times renewal has been granted (RN). Also, the due date is calculated from the present based on the renewal period specified in the circulation rules.

9 Library Search

To perform a search, highlight Search Library Catalog from the main menu and the press (, or you may simply press the accelerator key, S. The search window opens and prompts you to specify how

1 Performing a Search

Search filters the screen so you only see the ones that meet your specifications. You may search by author, title and key word. You may also search videos only. Here’s how:

• From the main menu, highlight Search Library Catalog and press ( (or press the accelerator key S) to activate the search window.

• After the search window opens, press S. The system will ask you how you want to perform your search, that is,

• Press A to search by author, T to search by title, V to search videos only or W to search by key word. When you search by author, you will then be asked to enter the author’s name. When you search by title or videos only, you will then be asked to enter the title.

Enter Search Words

The more key words you enter the fewer the number of books that will qualify. Any word that is contained in the title or in the abstract that is deemed significant is considered a key word. Articles (a, an, the) and prepositions (to, on, by) are insignificant and, therefore, not considered a key word. In addition, the author, vendor and publisher's names are considered key words along with the book's series and notes. You may also enter key words yourself using the Master File Update screen of the main menu.

The WITHIN specifier may best be explained by an example. Imagine that we’re searching for John Kennedy . Simply entering John Kennedy would qualify anything that contains John (like John Wayne) and Kennedy (like George Kennedy). By specifying WITHIN 2 WORDS would only qualify anything that contains John and Kennedy if they’re separated by two words or less. For example, John Kennedy, John F. Kennedy, John Fitzgerald Kennedy.

10 Report Programs

Digitronics Software Library System package includes plenty of pre-programmed reports. You can print any of these reports by simply selecting it from a menu.

From the main menu, you activate the window, which essentially contains a menu, by highlighting it (and then pressing ¿) or by pressing its accelerator key, R. Here is an example of the window:

What happens next depends on whether you’ve entered the patron’s ID number or the book’s barcode.

Of course, if you’re not going to hold an actual book for a patron (hence, don’t have the barcode), you must enter the patron’s ID number.

But what if you don’t have the patron’s ID number either? Then you must use the Reservation System under the More Function of the Material’s File Update (see Chapter 5) or the Patron File Update (see Chapter 6).

When you scan a book’s barcode from the main menu, the reservation window opens in the form shown below, showing the ISBN and the title of the book you’ve scanned atop the screen, and the barcode that you’ve scanned at the rightmost column of the first empty row. The system now asks you to identify the patron that you want to reserve the book for. Respond by entering the patron’s ID or name, if you don’t have the ID number.

The system will automatically provide the rest of the information such as the patron’s first and last name (if you scan the ID number), the reservation date (DATE) and time (RSV-TIME) and the reservation period in days (DA) based on the circulation rules.

3 Making Reservations

Whether you are in the patron’s or the book’s reservation window, you can use either the Add or the Scan function to make a reservation. Use the Add function to reserve a book when none is available; use the Scan function when one is available and you want to place it on hold for a particular patron.

To use the Add function,

• Press A.

• If you’re using the patron window, the system will ask you to identify the book that you’re reserving for the patron by entering its ISBN, Library of Congress or its title through a tiny pop-up window, as shown here.

The system will then search the database for the one that matches what you’ve specified. If more than one matching record is found, a window will open listing all of them. You can then select the item that you want from this list by highlighting it and then pressing ¿.

If you’re using the book window, the system will ask you to identify the patron that you’re reserving the book for by entering the patron’s ID number or his name. The system will then search the database for the one that matches what you’ve specified. If more than one matching record is found, a window will open listing all of them. You can then select the patron from this window by highlighting it and then pressing ¿.

To use the Scan function,

• If you’re using the patron window and then you press S, you will simply be asked to scan the book’s barcode. The system will automatically hold the book for the patron for the number of days that is specified in the circulation rules.

• If you’re using the book window, you must first highlight the patron’s name to identify the patron before you press S to scan the barcode.

1 Modifying Reservations

The Change function can only be used to change the reservation period.

To change the reservation period,

• Highlight the reservation.

• Press C or you can just press .

• If you’re using the patron window, you can only change the holding period.

• If you’re using the book window, you may change the reservation date and time and the holding period.

2 Removing a Reservation

The Drop function is only used to remove or delete a reservation from the file. You should only remove a reservation when it was entered by mistake.

To remove a reservation from the file,

• Highlight the reservation.

• Press D.

• Confirm your intention when prompted.

3 Printing The List

} To print the reservations and get a hard-copy listing, simply press P.

Another feature that may prove to be indispensable is the Library System Query. Wherever you are in the system, by pressing (that is, holding the key and pressing N), you can suspend whatever it is you are doing to open a window, shown below, that will let you obtain various kinds of information.

Bar Code Query. This option allows you obtain information about a particular barcode.

Calendar. This option allows you to look at the calendar

Patron Query. This option allows you to specify a patron and see the books he/she has checked out or see any fines outstanding.

Circulation Rules. This option allows you to look at the circulation rules.

Title Query. This option allows you to specify a book by its title and see the barcodes, status (damaged, lost, etc), borrower, and due date.
