Request for Proposal: Anniston City School SystemBID# 2021-001Issued by:Anniston City SchoolsRepresentative:Cindy Swainswainc@anniston.k12.al.us Introduction and BackgroundAnniston City Schools is in need of continued network infrastructure updates and upgrades and is currently accepting proposals in response to this Request for Proposal in order to find a substantially qualified vendor to provide these necessary upgrades. With these critical upgrades to the network, Anniston City Schools aims to:Upgrade internal structured cabling in all areas of the school system. Replace cabinets where a well-ventilated racks are needed, closet cleanupsUpgrade UPS for our eligible equipment.The purpose of this Request for Proposal is to find and validate a vendor that will strive to provide the best possible service and value to the Anniston City School System. Although price is undoubtedly a concern, Anniston City Schools will award contractual service with the consideration of other criteria, as well. Anniston City Schools will only accept bids that qualify for E-Rate and USAC funding. For more information on possible criteria, please read the Evaluation Factors section. Submission Guidelines and Further RequirementsThe following section applies to any and all applicants for this Request for Proposal:Primarily, Anniston City Schools will only consider qualified individuals or firms with prior and referenced experience on projects of a similar size and scope. Additionally, Anniston City Schools will only consider vendors that accept E-Rate and USAC funding. Interested vendors and bidders should notify the aforementioned representative for Anniston City Schools. Interested Parties should provide the details of at least one project of similar size, including references. Additionally, examples of the completed work would aid in consideration. A technical proposal must also be provided. The technical proposal should set an overview of the proposed solution as well as resumes of key interested parties. The technical proposal must also provide a timeline. A price proposal in necessary with any interested bidder. This proposal should indicate the overall fixed price for the project and any additional rates (hourly, tax, and/or other factors), should Anniston City Schools decide to award a contract on an hourly rate, rather than a single price. Proposals must be signed by a representative that is authorized to commit resources from the vendor’s company. If the bidder/vendor has a standard set of terms and conditions that apply to all proposals, please submit them with the requested information. All terms and conditions will be subject to scrutiny and negotiation. Proposals must be submitted via email by February 16th, 2021 at 10:00 AM. to be considered. Interested parties can request a for a walk-through of our locations.Proposals must remain valid for a period of 60 days. Anniston City Schools anticipates selecting at least two vendors/bidders to have an in-depth discussion with. The school system will award one of these selected vendors. All bids and vendors must understand that all funding is contingent upon approval from E-Rate and USAC, and any other budgeting restraints aforementioned by ACS.Project DescriptionThe purpose of this project is as follows:To upgrade, or replace as needed, some network cabling (Cat 6) for Anniston City Schools, including but not limited to Anniston High School, Anniston Middle Schools, Cobb Preparatory Academy, and the Anniston City School Board. In addition to any cabling, Anniston City Schools is also seeking to rs, UPS, and some racks. All prospective bids are contingent upon E-Rate funding. Project ScopeThe successful bidder will be responsible for the supply of following supplies: Cat 6 or fiber runs, regardless of brand name. Caching servers BranchCache in Windows Server 2019All necessary racks, regardless of brand name. UPS Tripp Lite Smart pro Series AGBP4793 or equivalent. Acceptance of the work and contractual employment of a potential vendor is contingent upon the following:Bidder/Vendor understanding of budget constraints and acceptance of E-Rate and USAC budgetary support. Acceptance of proposed walk-through of facilities and supply of references from past projects of a similar scale. Agreement to a third-party arbitration to finalized contractual terms if necessary. Ability to work within Anniston City Schools budgetary constraints.Agreement to a forthcoming proposed timetable.
