Dear Resident:

In order to serve you properly, it is necessary to enter your apartment from time to time to perform certain preventive maintenance procedures (such as changing HVAC filters), and to accompany and supervise certain contractors (such as pest control). While we try to make every effort possible to accommodate your schedule, there are times when we must enter your apartment, in your absence, to ensure continuity of our preventive maintenance program and contracted services.

Your lease gives us the right, upon notification to you, to enter your apartment during normal business hours for the purposes of upkeep, to make repairs and to perform routine inspections. Your lease also provides that, in an emergency, we can enter your apartment without prior notice.

This letter shall serve as our notice to you that we will be entering your apartment on _______________________________ , sometime between the hours of 9:00 am and 5:00 PM, to perform the following service:

We are sorry that we cannot be more specific about the exact time of our arrival, but the timing of the service is often dependent upon circumstances beyond our control, for example, the arrival of contractors or last minute emergencies that may take precedence. Please make certain that the Management Office has keys to any apartment front door locks you may have installed since moving in. Your lease specifically states that you may not change your locks without the prior written permission of the management, and that you must provide management with a key to any new locks installed. If we are unable to gain entrance to your apartment because of the presence of unauthorized locks, we will be forced to begin eviction proceedings against you.
