2021 LAKOTA WEST HIGH SCHOOL ARTS & CRAFTS SHOW

Saturday, Oct. 2, 9:00 a.m. – 4:00 p.m., and Sunday, Oct. 3, 10:00 a.m. – 3:00 p.m.

Always the first full weekend in October, the Lakota West Arts & Crafts Show, going strong for over 43 years, has come to be known as one of the premiere arts & crafts shows in the area. We continually strive to provide the highest quality show for both our artists and our shoppers. By filling out and submitting the enclosed application, fees and other requirements, you’re agreeing to the rules of participation as follows:

ART & CRAFT MEDIUM:

This is a juried show. Previous participation doesn’t guarantee future selection. All items must be original art/craft, handmade by you, using a minimum 3-step process. No commercial, retail, mass-produced, food (except those juried), health/cosmetic, or flea market type items. Only items for which you submitted photos and were juried by are acceptable in your booth. Booths will be reviewed for quality, presentation, descriptions matching those on the application, and ample inventory for this 2-day show. We prefer only one medium per booth, with a strict limit of no more than 2 mediums (type of art/craft) and 2 artists/crafters per booth.

BOOTH SIZE / COST / REFUNDS:

Most booths are 10 feet wide by 8 feet deep. Some spaces are 11-12 feet wide by 7 feet deep. All spaces are at least 80 sq. feet, with the exception of the locker bays on Main Street (some of which are irregular in shape) which equal approx. 1 ½ spaces. Double booths will be limited and are not guaranteed. No NEW double booths on Main Street will be available. Cost is $90.00 per booth space (limit 2, side-by-side); full locker bays (limit 1) are $195.00. Electric is very limited and not guaranteed. If applying for electric, a separate $15 check must be included with the application. If we cannot provide electric, your $15 check will be returned with your confirmation letter. Applications, fees, and required items must be received by April 1, 2021. Late or incomplete applications will cause your space to be forfeited.

Applications are processed in the order in which they are received. Preference will be given to returning crafters requesting the same space they had last year, although the LWHS Arts & Crafts Committee reserves the right to assign booths at their discretion to provide their desired show layout. Refunds will be issued if we are unable to accommodate requests for double booth spaces or electric. Refunds will be issued at the discretion of the Craftshow Committee. If we are unable to fill your spot, NO refunds will be issued. If you are unable to occupy your space, you must notify the LWHS Arts & Crafts Committee in writing to insure your future participation in our show. YOU MAY NOT SUBLEASE YOUR SPACE. This is imperative to maintain the integrity of the show.

BOOTH LOCATION/DISPLAY:

Enclosed you will find a general map indicating where booths are located at Lakota West. We will use the Auxiliary gym, Upper gym, Lower gym, Cafeteria, and Main Street. You will have the opportunity to indicate your preferred areas on the enclosed application form. If you are a new Vendor, PLEASE SUBMIT 3 PHOTO’S OF YOUR ART/CRAFT AND 1 OF YOUR BOOTH DISPLAY. Application photographs become the property of the Lakota West PTSO and will not be returned.

Tables and chairs are not provided; you must bring your entire set-up. We require a neatly designed, organized, and “dressed” booth. Tables must be attractively SKIRTED TO THE FLOOR. Bins/ boxes must be stored out of sight or in your vehicles. Attention to these details brings customers into your booth, resulting in increased sales. Booth spaces must be returned to their original condition following the show.

PTSO RAFFLE:

The LWHS PTSO will once again hold a raffle showcasing the work of a select number of crafters. Crafters are encouraged to participate. This raffle has been very well received in previous years, bringing added exposure (and hopefully added sales) to those crafters who are featured. In exchange for your donated item, the PTSO will prominently display your item in our raffle space on Main Street, with a sign indicating your name and booth location so that shoppers can readily find your booth. Please indicate your interest in this raffle on your application.

PUBLICITY:

The show will be publicized with extended community coverage in the form signs, fliers, newspapers, event bulletin boards, church bulletins, social media (Twitter, Facebook, etc), School system mailings, school marquees and on line Event calendars. We are very aware that extensive publicity equates to a successful show. However, our township (West Chester) and neighboring township (Liberty) have put new restrictions on signage within the community which limits the number of signs we can post. Please share our show with your friends and neighbors; share our Facebook page (Lakota West PTSO Arts & Craft Show).

SET-UP/TEAR DOWN:

Set-up will be on Friday evening from 5:00 to 9:00 pm. or Saturday morning from 7:00 to 8:30am. MUST be completed by 8:15am Saturday, as we have the Early Bird Entry at 9am.

All booths must be stocked with ample inventory for the duration of the show; all booths must remain open until 4:00 p.m. on Saturday & 3:00 pm on Sunday. Those who leave early on Saturday or begin breaking down their displays before 3:00 p.m. on Sunday will not be invited back next year.

SMOKING / BURNING / OTHER POLICIES:

Smoking is prohibited on school property, both inside and outside. Due to fire codes and health reasons, there will be no burning of candles, incense, or spraying of any chemicals inside the school. Photography of other vendors’ inventory/display is strictly prohibited. DISRESPECT TO OUR COMMITTEE MEMBERS AND VOLUNTERS WILL NOT BE TOLERATED. Violators to these policies may be asked to leave and will not be invited back next year.
