Tokarski Date: September 2020JOB SUMMARYUnder the direction of the Fitness Center Manager this position is responsible to provide leadership in the Exercise Class Programs and the operation of Integrated Health Practices at the U.W. Health Research Park Clinic. The incumbent will assist in budget preparation and program promotions while coordinating and integrating activities with other departments. The incumbent will also supervise and mentor fitness instructors while at the same time assuming teaching responsibilities integral to the success of these programs. The incumbent will collaborate in the development and implementation of a long-range strategic plan for both programs for the University of Wisconsin Hospital and Clinics.The programs serve a diverse clientele and problems encountered can be challenging and require a high level of independence in decision making. Creativity, innovation and good communication skills are necessary. A high degree of organizational and interpersonal skills is required for the position. The incumbent requires the ability to independently plan and organize his/her work schedule and to organize and lead staff in-services. A wide variety of internal and external contact relationships are involved in performance of the duties of this position. The incumbent interacts with employees at all levels (managers, medical, peers, and clerical). External contacts necessary in this position include referring physicians, athletic department personnel, scientific community, local and regional recreational community, service clubs, and local media.MAJOR RESPONSIBILITIESIntegrated Clinical PracticesLifestyle coordinator for Fitness Center, Integrative Medicine and other ancillary clinics/programsMaintain a regular customer workload of 75%, and 25% to coordinate scheduling and data management systems.Oversee triaging of new class participants – including organization of staff responsibilities and direct contact with new municate essential information in a timely manner to clinic managers and medical directors so that they understand the short- and long-range goals of the Integrated Clinical Practices program.Respond to questions, concerns and needs of all health care providers in a timely fashion.Build a cohesive work group. Personnel duties include creating a staff schedule, monitor and approve payroll, and conduct work observations and performance reviews, using input from various sources. Performance reviews will be completed and delivered to Human Resources in compliance with UWHC policy. Work closely with staff to facilitate achieving their performance goals.Coordinate staff in-services and other ongoing training opportunities for staff. Promote ongoing continuing education regularly as it relates to the needs of the customers and health care provides who are the sources of referrals.Help maintain adequate resource materials for staff.Present equipment and purchasing needs to the Fitness Center Manager for approval.Respond to customer questions and concerns in a timely fashion and work with customer relations as necessary to promote the highest degree of customer service.The incumbent requires creativity, innovation and good communication skills. External relationships necessary to this position include referring physicians and health care providers outside of the UWHC system, insurance companies, scientific community, local and regional business community, service clubs, and local media.Must have an ability to perform publicly including market internally to staff and clinics within the UWHC system and externally to physicians, HMOs and the public, as well as performing public speaking and outreach to the community, physician groups and other targeted parties.Performance measures:Develop a prominent, effective and highly visible integrated clinical practice.Program meets budget targets.Program achieves the mission of U.W. Hospital and Clinics of research, education, and community outreach.Programs must enhance the credibility of the UW Health system both in the community and on a national level.Effectiveness of the program is evaluated through performance evaluations at which time changes and improvements are made.Team Leader ResponsibilitiesTeam Leader for land-based classes (weight training and sport performance programs).Work cooperatively with the Sports Medicine Program Supervisor to recruit, hire and train instructors of the program areas assigned. Responsible for timecards and appropriate documentation of staff time.Insure adequate coverage of all classes, or in the case of a class cancellation (due to weather or sickness), an appropriate plan for offering a make-up class or other compensation to participants. Communicate details to all necessary parties (SM Program Supervisor, Front Desk, Instructor(s), and participants).Communicate essential information in a timely manner to instructors so that they understand the short- and long-range goals of SMC and the UWHC system. Contribute to Monthly Instructor Updates and other instructor communications.Conduct instructor observations (minimum of 1 observations/session) and performance reviews, using input from various sources. Performance reviews will be completed and delivered to Human Resources in compliance with UWHC policy. Work closely with instructors to facilitate achieving their performance goals.Respond to instructor questions, concerns and needs in a timely fashion. Coordinate instructor in-service trainings (minimum of quarterly sessions) and other ongoing training opportunities for instructors.Maintain adequate resource materials for instructors.Attend Class Committee Meetings and 5680 Group Meetings to assist in setting priorities, develop long-range plans and successfully market the programs of SMC.Present equipment and purchasing needs related to classes to the SM Program Supervisor for approval.Assist with registration process.Respond to customer questions and concerns in a timely municate any unusual class circumstances to the front desk and other necessary parties.Schedule work hours around classes/programs as needed.
