Established in February, 2005, TACO MobiApps Telematics Limited (TMT) is a joint venture between TATA AutoComp Systems Limited and MobiApps Holdings Pte Limited, Singapore. The sales revenue of the company in 2005 – 2006 was U.S $ 2.2 million.

Situation

According to a Financial Times report (May 30, 2005), the truck traffic in the country was over 3 million. The logistics market in India constitutes approximately 13 percent of the gross domestic product (GDP). With companies striving to cut costs and be more competitive, the demand for effective vehicle tracking systems or e-logistics market in the country is rising sharply. With current estimates of only 30,000 vehicles having tracking systems, industry experts’ estimate a growth rate of 50 - 100 percent for the next 5 years, for such equipment.

TACO MobiApps Telematics Limited (TMT) provides user-friendly integrated telecommunications and informatics (Telematics) solutions for a diverse range of applications including: transportation and logistics, Business Process Outsourcing (BPO), emergency services that include ambulance, police and fire brigades, city taxies and schools. It has entered into a strategic tie-up with Lucas India Service for the installation of its devices. The company is targeting revenues of U.S $ 5.5 million in 2006 - 2007, in which it aims to sell 40,000 units.

The company’s solution, Tracko, combines Global Positioning System (GPS) technology with Global System for Mobile (GSM) communication networks. It currently has over 200 customers with an installed base of 6,000 units. The company has established regional offices at Pune, New Delhi, Bangalore and Kolkata, with a pan India dealer network to provide sales and customer service support.

The management at TACO MobiApps was looking for an integrated solution to streamline its trading business of Global Positioning System (GPS) equipment.

Solution

“We evaluated various products including Microsoft® Dynamics™ NAV 4.0, PC Soft, SAP, etc., but finally chose Microsoft Dynamics NAV 4.0 as it offered a lower total cost of ownership, ease of use and customization,” recalls Narayan Saralaya, Associate Finance, TACO MobiApps Telematics Limited.

With assistance from its technology partners, PricewaterhouseCoopers Pvt. Limited, a Microsoft Gold Certified Partner, Dynamics NAV was implemented at its Pune head office. The implementation completed in December 2006 and took six weeks to go live.

PricewaterhouseCoopers Pvt. Limited implemented the general ledger, purchase and payable, sales and receivables, inventory management, and service billing modules.

“The general ledger module has enabled us to generate product specific, area specific and customer specific reports and also internally analyze such reports (using Analysis by Dimension),” says Narayan Saralaya.

The sales and receivables module enables the company to track customer billing for the equipments sold; equipment with the assigned serial number; sales return till the purchase return transaction. The module also keeps a record of customer summary and collection reports.

The inventory management module enables the staff to keep a check on item code definition, item categorization, item check and item tracking with serial number with the Pune head office and regional offices.

TACO MobiApps has a tie-up with mobile service operator, Airtel for its call and SMS services with in-built Global Positioning System (GPS) equipment. TACO MobiApps portal, , tracks vehicles using Global Positioning System (GPS) for its customers. This data is downloaded from the Internet and converted to Microsoft Office Excel 2003, which is then imported into Microsoft Dynamics NAV 4.0. Dynamics NAV checks the format and validates it within the given parameters before importing it into the system. The system checks the customer identification, plan number, for the given service. On the basis of the data imported, Microsoft Dynamics NAV generates invoices for the customers automatically.

Benefits

The solution has enabled the company to streamline several business processes ranging from inventory management to business planning and payroll.

Improved Inventory Control by 30 Percent

TACO MobiApps personnel are now able to track each sale and purchase item with the accompanying serial number. This has enhanced tracking and also improved inventory control by 30 percent. “We are now able to track the sales and purchase transaction with the drop shipment.

We also have instant access to details on from purchase to sales and sales return up to the purchase return tracking for specific equipment,” says Narayan Saralaya.

Improved Customer Satisfaction

Narayan Saralaya adds, “In addition to the telematics solution, features such as auto generation of services bills and availability of MIS data have boosted our customer satisfaction significantly.”

Improved Business Planning

TACO MobiApps personnel are now able to generate Management Information Services (MIS) reports region wise, product wise, division wise, and department wise. This has improved business analysis, business planning and business control.

Improved employee productivity by 40 percent

Narayan Saralaya remarks, “Earlier it would take our staff 10 days to generate a service billing invoice. They are now able to generate the same invoice within 2 days. This has enabled our staff to spend less time on routine tasks, payroll and paperwork, and concentrate on growing the business,” reiterates Narayan.

Real Time Management Information Services Reports

Taco MobiApps management now has real time access to cash flow and fund flow statements. “We are now able to compare previous years’ reports with the current year. This has helped us concentrate on improving our business performance year-on-year,” reiterates Narayan Saralaya.

Auto Generation of Service Bills

With the implementation of Microsoft Dynamics NAV 4.0 TACO MobiApps personnel are now able to import service data from third party solution and generate invoices from the imported data. The solution calculates the Web usage and SIM card usage in the GPS TRAKO machine. It also checks the applicable plan for the customer and generates the bill automatically. Narayan Saralaya concludes, “This enables our employees to focus on critical activities rather than spending time on invoice generation. Initially we used to take ten days to generate a service billing invoice. With the implementation of Microsoft Dynamics NAV 4.0, we have reduced the time to two days.”
