SUBJECT: Guidance for Closing Individuals from Division of Rehabilitation Services (DRS) Waivers

This memorandum is to provide specific guidance for closing individuals out of one of the DRS Waivers when they have chosen to receive services under one of the Developmental Disabilities (DD) Waivers. As you were informed in the April 16, 2010 memo "New Payment Edit Preventing Erroneous Payments under Multiple Waivers", bills began rejecting effective May 3, 2010, if an individual is enrolled in another Medicaid Waiver (copy of memo attached). The other Medicaid Waiver program must be closed prior to the start of services from any of the DD Waivers.

In order to prevent the Billing Reject Code 6Q, Individual is in a DRS Waiver (Home Services Program, Brain Injury or AIDS) please follow the steps outlined below. We are exploring other options to streamline this process, but you will need to follow these instructions for the time being.

For the Home Services Program and Brain Injury Waiver, please follow the three steps below.

1. Please inform the individual or family that they must inform the DRS local office that they have chosen to begin receiving services from the DD Waiver and the date they will begin those services.

2. The DD provider or PAS/ISC must confirm that the DRS services have been suspended or terminated and the last date of DRS services. If you initiate DD

waiver services prior to the end of DRS services, you will not be paid.

NOTE: It is not necessary to obtain a copy of the closure letter from the DRS local office.

3. Notify Vicki Yemm of the closed case and the last date of service from the DRS Waiver program. Vicki's e-mail is Vicki.Yemm@.
