Guide for Preparation of Technical Paper and Presentation

A presentation before the Sheet Metal Welding Conference (SMWC) involves two steps: writing the technical paper and preparing an oral summary. The technical paper is not limited in length; however, the oral summary should not exceed 25 minutes and should only highlight the major details of the paper.

Exceptions to the following guidelines, while discouraged, will nevertheless be considered. Any questions regarding the preparation of the technical paper and oral summary should be directed to either of the Technical Chairmen:

Preparation of the Technical Paper

Title/Author Verification Please supply the final title of the paper (if it differs from the abstract), the full name and company of the person who will present the paper, as well as the full names and companies of each of the co-authors by May 9, 2018.

Manuscript Deadlines All manuscripts (electronic format) need to be received by the Technical Committee by August 1, 2018 to ensure inclusion in the published proceedings. No exceptions. The Technical Committee will review the manuscript for format requirements.

Contents of the Technical Paper A typical technical paper consists of the following:

? Title ? Abstract ? Objectives ? Introduction ? Text ? Summary and Conclusions ? References and Appendices.

Title - The title states the scope and subject of the paper. Titles should be short, simple, and explicit. Since this is a technical paper and not a sales promotion, company or trade names in titles should be avoided.

Authors - All authors should be listed below the title and centered in upper-/lower-case letters. Affiliations should be listed on the following line bolded and centered. There should be a line space above and below the names/affiliations.

Abstract - Although this portion was previously submitted to the SMWC Technical Committee Chairman, it should still be included as part of the SMWC literature along with the other sections of the manuscript.

Introduction - The introduction gives the reason that the paper was written and its scope. The introduction should be included in the first few paragraphs of your paper. The introduction should be kept under 1 page.

Organization of Text - When preparing the body of the paper, the following should be kept in mind:

1. The writing must be objective 2. Editorial comments are out of place 3. Personal remembrances and anecdotes are not appropriate 4. Commercialization is not appropriate 5. Opinions are not appropriate for the text; they may be appropriate, however, for the oral

presentation 6. Metric units are preferred.

Summary and Conclusions - Summary and Conclusions are counterparts of the introductory statements: there was a specific problem, a planned investigation, this is what was found, and this is what it means. Every technical paper should have a summary; the nature of the paper may make conclusions either unnecessary or impossible.

The simplest way to summarize or conclude is to itemize 1, 2, 3, etc. The reader should be able to find supporting evidence in your text or reference for each point.

References - References cite where information was obtained. Citing information is the standard method for authenticating data, crediting another worker in the field, and guiding the reader to supplementary or collateral information. References are the last major heading and should appear as they are in the text. Please use AWS format.

Appendices - Any bulk of information that interrupts the flow of thought in your manuscript is best put in an Appendix. Usual examples are large tables or long derivations, but there is no set rule.

Fonts - Arial or Helvetica with 14-point font for the title and 11-point font for the text is the preferred format (see attached example).

Page Numbering - Number each page in the bottom center.

Margins - Margins should be 1 in. (top, bottom, left, and right) and left justified.

Spacing - Papers should be single spaced with a line space above and below each heading.

Paragraphs - Do not indent paragraphs. Leave one line space between paragraphs.

Headings MAJOR HEADING: Upper-case letters, bold, centered.

Sub Heading: Upper-/lower-case letters, bold, underlined, flush left. Sub-Sub Heading: Upper-/lower-case letters, bold, flush left.

Figures and Tables - If possible, all figures (photographs, drawings, and diagrams) and tables should be placed within the text. Figures and tables, respectively, should be numbered consecutively. Both figure captions and table titles should be bold with upper-/lower-case letters. For figures, the caption should be below the figure and left justified. For tables, the title should be above the table and left justified.

Preparation of the Oral Presentation

Contents of the Oral Presentation The oral presentation is not to exceed 25 minutes. Time is not available for a paper to be read in full - and even if it were, a word-for-word presentation would become monotonous. Prepare notes outlining principal points as a memory aid. Open by stating the purpose and the problem. Give only brief supporting data most needed to lead to forceful presentation of conclusions. Be sure to allow time to present all conclusions. A 5-minute question and answer or discussion will follow each presentation.

Visual Aids (Mandatory) Visual aids are mandatory. A loaded laptop data projector (or USB drive) is the preferred style. The following guidelines should be used when preparing your slides:

? Slides must be readable at a distance of 50 feet (18-point font minimum). ? Slides should be restricted to a maximum of 15 to 20 words or 25 to 30 items of

tabular material. ? Only data that you plan to discuss should be on the slides. ? Any graphs should be made simple, with no more than two to three curves. ? If you must refer to one slide on several occasions during your presentation, use

duplicates instead of trying to return to the original. ? Sequence of talk = sequence of paper.

A projectionist will be not be on hand for assistance.

Literature and Handout Material All literature or handout material must be of technical nature (i.e., not sales-oriented). A sample must be sent to your Technical Session Chair in sufficient time to allow review and approval prior to its distribution at the session.
