better organized, you will need to add a PST file to Outlook to get your old information synced and up and running. Open Microsoft Outlook. Select the "Tools" tab and select "Options." Select the "Mail Setup" tab; then select "Data Files" from the Options task window. Click the "Add" button from the Outlook Data Files task window. Select "Office

Outlook Personal Folders File (.pst)" from the New Outlook Data File task window. Click "OK." Browse to the PST file you want to add. If you would like to add a new PST file, select a file name and click "OK." A window will show that the PST file was added to Outlook. Select "Close" and then "OK." The PST and OST files store Outlook data on a Windows computer. PST files are typically used to store Outlook data on a computer using Outlook as a standard email client, which is downloading mail from an

online source such as a POP3 mailbox. PST files are a necessity when Outlook is used this way. OST files store messages and other data in the same way but are offline storage files used alongside an Exchange server. OST files maintain an offline copy your Exchange server mailbox on your individual computer. OST files are optional. You can access

all data from the Exchange server, but OST files provide faster data access. As well as for day-to-day data storage, you can us PST files to export Outlook data for use on another computer. OST files allow you to access the most recently synchronized copy of your Exchange server data while not connected to your company network -- an invaluable

feature for remote workers. Windows/Linux (Thunderbird): Import Outlook's PST files and choose which email folders to bring into Thunderbird with PST Import, a free extension for the open-source, cross-platform email manager Thunderbird. While Thunderbird can import certain messages and settings from an existing Outlook installation, the PST

Import add-on lets you set up email on Linux systems, and gives Thunderbird users the ability to pull specific email folders from a stand-alone PST file. depending on whether you want to backup, restore, or move your data. To explain the difference between PST and OST files, we have to explain a bit of technological history¡ªspecifically, the difference between the POP and IMAP email protocols. Here¡¯s a quick overview. What Is POP? The traditional email protocol used in dial-up times was Post

Office Protocol (POP). The current version of POP is version 3 (POP3). POP downloaded all your emails to the client, and then, by default, deleted them from the email server. This meant only a copy of your emails was on your computer. You could configure POP not to delete emails from the server. However, in those days, people normally checked

their email from only one computer, so there wasn¡¯t really a need to keep a second copy on the server. When you use POP, any changes you make in your email client aren¡¯t reflected in the email server. If you delete an email in the email client, nothing happens on the email server, and vice versa. Messaging Access Protocol (IMAP) is a more modern protocol that downloads a copy of your email from the server to the client on your computer. Any changes you make in your email client are synced with the server. If you delete an email on your computer, it¡¯s also deleted on the email server, and vice versa. IMAP is much more suited to the

modern world. We now access the same email account on multiple devices and most people have ¡°always-on¡± broadband or fiber connections, and mobile data. Everything you do with your email is synced if you use IMAP. For example, if you send an email from your phone, you can look in the ¡°Sent¡± folder on your tablet, and the email you sent will be

there, as well. This is why we recommend using IMAP unless you have a specific reason to use POP3. It¡¯s also important to note that Microsoft uses Messaging API (MAPI) rather than IMAP for its email accounts. While they do differ, MAPI and IMAP both sync your emails between the client and email server. POP, IMAP, and PST and OST Files

can¡¯t import an OST file into Outlook¡ªbecause you don¡¯t have to. If you¡¯re setting up Outlook on a new machine and connecting to your email account via IMAP or MAPI, all of your emails will be on the server, and they¡¯ll download automatically. PST and OST files is the contents of a PST are only available in that file. The contents of an OST, however, are also available on the email server and any other device you use to access your email account. When Do You Need Them? Most of the time, you won¡¯t have to worry about PST and OST files. You¡¯re unlikely to see or directly access either

unless you go looking for them. They¡¯re really only important when you¡¯re moving data to a new computer or want to archive your emails. If you use a POP3 email account, you¡¯ll have to copy the PST file to your new computer, and then import it into Outlook, or you¡¯ll lose all your emails. If you use IMAP or MAPI, you only need to be aware of the size

of your mailbox on the email server. If you ever reach the maximum size and want to keep all of your emails, you¡¯ll have to export a chunk of them into a PST file, and then delete them from the email server. You¡¯ll then still be able to view those emails if you import the PST file into Outlook, but they¡¯ll no longer be on the email server. A file with the

.PST file extension is an Outlook Personal Information Store file that stores personal information used in Microsoft Outlook and/or Microsoft Exchange. They might include messages, contacts, attachments, addresses, and more. Outlook Personal Information Store files have a file size limit of 2 GB, after which the email program might take a

performance hit. You can make the PST file smaller with Oversized PST Recovery Tool (also called PST2GB). It will trim anything past 2 GB and make a new PST file of a proper size. Outlook Offline Folder (.OST) files are similar to PSTs except that they support larger file sizes and are used as a cache for MS Outlook's Cached Exchange Mode feature.

PST files are most often opened in an email program that can use the data, like Microsoft Outlook (more on how to do that below) or Microsoft Exchange Server. Microsoft Outlook Express can import PST files, too, but it doesn't save information to a PST file like Outlook does. To open PST files in Microsoft Entourage on a Mac, use Microsoft's PST

Import Tool for Entourage. You can open a PST file without a Microsoft email program by using PST Viewer Pro. Since it's not an actual email client, you can only use it to search for and open emails or convert and extract messages out of the PST file. Email Open View Pro is another full-featured tool that can open PST files. It supports exploring the

PST file even without an email client on your computer so that you can export the messages in other formats like EML/EMLX, MSG, or MHT. It can extract emails only or the attachments, too, as well as make an HTML index of all the messages. If you have a corrupted PST file or one that won't open, try Remo Repair Outlook (PST). Did you

accidentally delete your PST file or wipe it during a format? Try looking for it with a free data recovery tool. Older Outlook PST files are one of those really important files that are easy to forget to back up. PST files in their original format with the .PST file extension aren't compatible with a huge variety of programs. However, you can do some

extracting or converting to make the embedded emails work in other programs. For example, the best way to get your PST file on Gmail or your phone is to set up the same email account (the Gmail account or one you use on your phone) on your computer and then import the PST file so that the two are merged. Then, when you sync the email client

with the email server, the emails can be sent to Gmail, Outlook, Yahoo, or whatever other email service you used with the desktop client. The Email Open View Pro tool we mentioned above is another way of "converting" PST data into other formats (you can convert every email at once or only specific ones you want). You can also save one or more

emails from within the PST file to PDF or a number of image formats. Stellar PST to MBOX Converter for Mac is a program that can convert the PST file to an MBOX file (E-Mail Mailbox format) so it can be used with Apple Mail. You can move your PST file anywhere you like, and even make a backup copy of the PST file in case your current one is

deleted or gets corrupted. However, you first have to find where the PST file is being stored, which you can see through your Account Settings screen. Getting there is a little different depending on your version of MS Outlook, but here's how to do it with the most recent versions: Open File > Info > Account Settings > Account Settings. In the Data

Files tab, select Outlook Data File. Choose Open File Location. Make sure Outlook is closed down, and then you can copy the PST file anywhere you like. Another option is to use Outlook's built-in export function to save the PST file to your hard drive, flash drive or elsewhere. Use the File > Open & Export > Import/Export > Export to a file > Outlook

Data File (.pst) option for that. It's easy to restore a PST file in Outlook or add an additional PST file so that you can switch between data files to read other mail or copy messages to a different email account. Return to Step 2 above but choose Add to add a PST file as another data file. If you want that one (or a different one) to be the default data file

The .PST file extension shares a striking resemblance to a number of other file extensions even though they aren't related and can't open with the same programs as the ones mentioned above. For example, PSD, PSF, and PSB files are used with Adobe Photoshop but share two of

the same letters as PST files. Some other examples include PS (PostScript), PSV (PlayStation 2 Save), PSW (Windows Password Reset Disk, Password Depot 3-5 or Pocket Word Document), PS2 (Microsoft Search Catalog Index or PCSX2 Memory Card), and PTS (Pro Tools Session) files. This is especially true for PST files that are stored in locations where they might be accessed by more than one user at a time.4. They make

e-discovery more difficultData that is stored in a PST file exists outside of the Exchange information store. As such, PST data is not analyzed when you use the native Exchange Server e-discovery tools. There are third-party e-discovery tools available that can analyze PST files (assuming that the tools have access to the files), but there is no question

that the use of PSTs complicates the e-discovery process.5. Network-connected PSTs are not supportedIt was previously stated that PST usage can be problematic due to the fact that PSTs are often stored on workstation hard drives or removable media, and therefore do not tend to be backed up. Unfortunately however, Microsoft does not support

storing active PST files on network shares. Placing an active PST file on a network share increases the odds that the file will become corrupted (at least that¡¯s what Microsoft has always preached).6. PST files are local to a deviceToday it is common for users to access mailbox data from a variety of devices. They might access their mail from a PC while

working at the office and from a smartphone while on the go. However, PST files are device specific. If Outlook stores data in PST files then the data will only be accessible using that copy of Outlook. The data will not be accessible to any other device that accesses the corresponding mailbox.7. PST files only work with OutlookAnother disadvantage to

using PST files is that they only work with Outlook. Mobile devices that attach to Exchange mailboxes using ActiveSync cannot open PST files. Similarly, Outlook Web App does not include any support for PST files. 8. PST files can be used to circumvent message lifecycle management policiesSome organizations put policies into place to regulate

message lifecycles. For instance, an organization might automatically purge messages of a certain age. The idea is that once a message is old enough that the organization is no longer required by law to keep a copy then the outdated messages can be purged to keep them from being subpoenaed in the event of litigation. If a user stores old messages

in a PST file then they have effectively circumvented the message lifecycle management policies. Doing so may eventually put the organization at risk in the event that the messages are ever subpoenaed. 9. Shared PSTs are problematicI mentioned earlier that PST files were sometimes prone to corruption. One thing that is known to greatly increase

the chances of a PST file becoming corrupt is sharing a PST file among multiple users. This is especially true if two users simultaneously attempt to open the same PST file.10. PST files increase the cost of doing businessPST files have a tendency to increase the administrative burden. Administrators might be asked to discover PST files across the

organization, or a user might ask an administrator to try to recover data from a corrupt PST file. In either case, there is a cost associated with the extra administrative effort. Likewise, there might be costs associated with data loss or inappropriate data exposure.
