The PositionThe Admissions Assistant will work as part of a small specialist team who oversee the entire admissions process, from a parent making an initial enquiry to their son or daughter becoming a pupil of the School. The primary purpose of the role is to support the Registrar in delivering this process in a professional, efficient and discreet manner.The successful candidate will be an important public face of the School at all times and therefore excellent communication skills and personal presentation are a vital part of the role at every step of a pupil’s admission. For the majority of prospective parents, you will be their first contact with Sedbergh School and so an outstanding level of customer service is key. The role would thus suit a graduate in Marketing or similar who is looking to secure their first job, or someone who has good interpersonal, administrative and IT skills who is keen to build their career. This is a busy and varied role; the post holder needs to have excellent organisational skills, work well under pressure, be able to demonstrate good use of initiative and the ability to multi-task and prioritise. The post holder will work closely with a range of colleagues within the Admissions and Marketing teams, as well as with other administrative and teaching staff across the School, so good interpersonal skills are vital. The role is permanent and full-time.Principal Tasks:To receive, record and respond to enquiries which come to the School via telephone and email.To arrange and co-ordinate visits to the School for prospective pupils and parents, liaising with relevant staff as appropriate and undertaking admissions related correspondence.To provide detailed advice on entry requirements, procedures and other general enquiries concerning entry to the School.To ensure accurate entry and maintenance of future pupil database records, producing reports on Admissions data as required. To assist with the administration of entrance tests, Scholarship assessments and interviews.To assist the Registrar with updating and co-ordinating all new starter information, disseminating as required.To liaise with the Marketing Department and assist with the organisation of events for prospective families; on occasion, the post holder may be required to attend such events to assist with administration.This list is not exhaustive, and the successful candidate will assist with general Admissions Department administration, as requested by the Registrar.Person SpecificationPossess excellent interpersonal skills with the ability to communicate with a wide range of people, demonstrating patience, tact and sensitivity. Have a confident and friendly telephone manner.Excellent written communication, numeracy and IT skills (Outlook, Word and Excel) are vital for this role. Experience in the use of databases will be advantageous, although training on the School’s database will be provided. Experience of delivering high quality customer service.Possess a high level of administrative and organisational skills, with excellent attention to detail and accuracy. Have the ability to manage multiple tasks under pressure and with rapidly changing deadlines. Flexibility with regard to both duties and to working hours is important.Confident interaction with colleagues, members of the extended Sedbergh community, parents, pupils and visitors. The Admissions Assistant is a key element of the face Sedbergh presents to the world.Able to work independently, but also to work well with colleagues; working as part of a team is important.Be self-motivated and take the initiative in their own work and also in managing tasks or problems which may arise.Possess the skills to work with discretion and diplomacy.Flexibility to occasionally work early or late, as necessary. Time off in lieu will be given.An appreciation of the School, its tradition and history. Previous experience of working in a School environment is desirable, but not essential.Articulate, smart and professional in presentation, with a cheerful personality. A good sense of humour will help!Start dateTo be negotiated with successful candidate.Terms and ConditionsSalary:?18,200 – ?20,200 per annum dependent on experienceWorking hours: Monday to Friday 09:00 to 17:30. Up to one hour for lunch may be taken.Holidays: Five weeks holiday per year, plus Bank Holidays; you will be required to work the Early May Bank Holiday, but will be given time off in lieu during School holidays.
