Equipment Damage Reporting

Identifying and reporting new damage to equipment when it is returned is our primary method to preserve and protect our fleet and to collect for damages from those individuals who are financially responsible for it.

The Equipment Damage Report (EDR) in conjunction with our Quick Claim Settlement procedures are the two best tools to use when collecting or reporting new damages.

FAST FACTS:

1) Did you know that U-Haul collects from Republic Western 60% of the accident claim total of any Equipment Damage Reports that are completed correctly and on time?!

2) Locations that create and EDR (Equipment Damage Report) AND use QCS to collect from the customer at the time of return will receive 35% of what they collect!

3) To qualify for 60% of the claim total

a. New damage must be reported by an Equipment Damage Report within 15 days of the incident.

b. A damage collection estimate from the Repair Shop must be completed within 15 days of the Equipment Damage Report.

The Shop’s role when receiving equipment that has accidental damage.

1) Check equipment for any accidental damage.

2) Check for an EDR that match’s the equipment damage.

3) Take 2-6 pictures of the damage if none have been taken, upload to EDR as needed.

4) If damage is severe, check to see if equipment will be placed on hold (EOH).

5) Generate a Damage Collection Estimate or Repair Statement for the damaged equipment.

6) Make necessary repairs provided the equipment is not on an insurance hold.

7) Clear EDR’s off of shop list.

When equipment shows up at your Shop with accidental damage, each piece of damaged equipment will need its own EDR (plus Shop provided DCE and pictures) for repairs.

Shops can check to see if equipment has an EDR by looking in CMT (Claims Management Tracker), and if none found, your EDR team in Phoenix can generate one for you by emailing the necessary information to EDR@. Shops may also attach any needed documents (pictures and DCE) to the EDR through CMT on .

Clearing Estimates

When clearing estimates in ARMS you can clear EDR’s by going to Repairs > Pre inspections >Clear EDR, after repairs are completed. If you are unable to clear an EDR using the above method send an email to EDR@ and they can clear it for you. When emailing your request to clear an EDR please use this format:
